Arena

Arena is the lightest, most intuitive doc control, etc. I've used. Very user friendly and we've had a great adoption rate. Training, projects, quality, compliance, etc all in one place on a platform that all personnel are familiar with is very useful. Support has been terrific - responsive to questions, lots of support in getting set up on a very, very short timeline. Two drawbacks that are not deal breakers for us, but might be for you:
  • As a cloud-based, browser-accessed system with little ability to customize screens, users do a lot of clicking and the speed of retrieval is limited by your internet connection.
  • Our previous system was better from a medical device doc control standpoint in a couple of big ways. One was redlining and collaborative editing. This is mostly done outside of Arena, although there are editions. The other was automatic publishing with watermarks - the old system would automatically create a pdf of any pdf-able file and watermark it depending on lifecycle phase as well as expire it after download after a customizable time. This was very useful for use on the floor. The big problem: it was so non-user-friendly none of the techs would go near it.

CollabNet TeamForge

CollabNet TeamForge is more well-suited for technically knowledgeable users such as developers, systems analysts, QA but not for non-technical users due to the technical data used throughout the tool. CollabNet TeamForge is appropriate for most applications development. In any industry especially suited for high demand software delivery environments.

Pros

  • On many screens, there are multiple options to do other things, such as attach items just created to requests or changes. Each screen has a lot of buttons or commands that can be executed from there, rather than going back to another screen to start doing something else.
  • The Bill of Material expand/collapse options are very useful, and the ability to see at a glance whether items have other pending changes is great. It helps us either consolidate several changes or process them in a specific order as may be appropriate.
  • The request and change worlds are easy to use and configure. We have reduced our engineering change cycle time using these features.

  • CollabNet TeamForge has a simple user interface making entering artifacts fast and painless. This allows the developer to quickly start working on a project and spend less time on administrative tasks.
  • CollabNet TeamForge has quick and easy to use search and reporting capabilities. This saves user time when looking for projects and finding out the status of a project.
  • CollabNet TeamForge has intuitive menu design and layout with efficient hyperlink based navigation. This provides users the ability to multitask effectively working on multiple projects with minimal interruption.
  • CollabNet TeamForge Subversion is a powerful change management tool that's very easy to learn and use. It offers developers both command line and user interface functions and features.

Cons

  • The Reporting module is seriously limited, and really only allows the reporting of rather basic information and from only one module at a time (for example, I have to pull data separately from the requests and then the changes module), then link resulting spreadsheets together to get overall cycle times for our engineering change control process.
  • The Help system should be improved with more details. For example, a recent new feature of using multi-select attributes should be explained in the help section and examples described on how to import data to multi-select attributes.
  • For PDX exports of changes, the FILTER option is still not available. This is very valuable to my company to allow us to filter out files/items contained in changes that are for internal consumption only, that we don't want to share with external parties.
  • The API integration capability is under considerable scrutiny at my company. We deployed it to integrate with our ERP system and it has been a disappointment, to say the least. Not reliable. It takes too long before data transfer can be verified. We are currently considering other options.

  • I would like to see personalization for managing artifacts, that is, allowing the user to customize pages and save personalized settings and then save them as bookmarks.
  • I would like an improved subversion browser such as a graphical user interface rather than a basic file explorer.
  • I would like built in features for CollabNet TeamForge integrated with subversion so that i can associate my private code branches and code changes.

Alternatives Considered

Hard to say, it has been a number of years since I used Agile.

CollabNet TeamForge is superior to Mercury mainly because it has a subversion change management tool integrated with the product. CollabNet TeamForge offers more complexity but with more flexibility for managing and tracking projects. I think
CollabNet TeamForge is more comprehensive than either Mercury and JIRA. They're all user friendly tools with short learning curves but CollabNet TeamForge is most efficient in my experience.
JIRA was recently adopted for particular applications and is currently being evaluated by various technology teams.

Return on Investment

  • Our NPI time has been reduced significantly, as compared to doing manual engineering change orders. We are more able to keep the required documentation for new products on the same timeline with our actual process (ie, having revised/changed drawings available before the start of tooling or pilot).
  • Document extraction and delivery to outside suppliers is also more productive/timely, and we are more assured of providing the current revisions.

  • CollabNet TeamForge has had a positive impact on the efficiency and productivity of managing and completing projects from specifications to software enhancements and from production issues/defects to bug fixes.
  • As a developer, CollabNet TeamForge allows me to focus more on delivering projects accurately and timely while maintaining communications with the business.
  • CollabNet TeamForge Is an efficiency life-cycle management product that helps my team meet business objectives by quickly delivering quality software, documenting projects in a smart and organized way and updating project status to senior management.
  • CollabNet TeamForge Subversion meets developers needs for change management and improves overall software development process in all phases of software lifecycle.
