ContractWorks

ContractWorks is an excellent solution for any organization in our position: going from no contract management solution at all to one that is simple to use, easy to train on, and does the basics exceedingly well. The product is constantly evolving and adding new functionality that we have found very, very useful. Over the years since we adopted it, we have found that our users want more and more out of its functionality, and at times we have had to explain to stakeholders that there are limitations to this software (especially concerning changing the content of a document sent for review in the software itself, which cannot presently be done). It is very easy to manage user roles and permissions, and it's very easy to use the product from any kind of smart device.More sophisticated users that use more sophisticated products already may find that the kind of robust in-software document editing/revision functions that some contract management products offer just isn't here, and that is true. There are reporting features here that are more than enough for organizations starting from scratch, but are probably limited for organizations looking for very granular information about their contracts. There is a significant time investment involved in tagging your contract database when it enters ContractWorks, although I suspect that is true for just about all products. The price represents very good value for money.

Gatekeeper

One of the things I appreciate about Gatekeeper, is that all of the documents are housed in one place. I no longer have to chase department people down for contracts. Having all the terms of the contracts entered into the system helps with keeping track of each of the contracts, and having the ability to monitor them in one place. Coming from a place where there was no system in place, it was a given that auto-renewals would happen regularly. Our Accounting Dept. has also benefited greatly using Gatekeeper. Before, they would have to rely on other departments to get the contracts and terms, which would create a backlog for them, especially if they didn't get it in time before the invoices from the vendors started to come in. Gatekeeper isn't a tool that is specific to one team/department, Gatekeeper can assist everyone that needs to access contract terms/information

Pros

ContractWorks

  • E-sign
  • KPI tracking
  • Notifications of key milestones

Gatekeeper

  • Customer service/support, they're always responsive and eager to jump on calls whenever we need their support. They've never once treated us as "paid invoice" and moved on. They build relationships there at Gatekeeper.
  • They're innovative, improving on their product, when it is already a fantastic resource tool.
  • They have the ability to customize features to fit your needs, that was one feature important to us.

Cons

ContractWorks

  • Allowing changes to documents midway through approvals/signatures.
  • More sophisticated interface for searching in document text would be nice.
  • Some ability to restart agreements that have been declined by intermediate approvers would be nice also.

Gatekeeper

  • This might be more of a personal thing to me, rather than an issue for anyone else, but when I'm working on a specific vendor, with multiple contracts, I have to click the back arrow to get back out to the other contracts within that vendor. It would be helpful to have a feature that you could click on to take you back to that vendor where the other contracts are kept.

My questions are answered just about immediately, and this is true for all members of my team who have reached out for support. Furthermore, when we have asked about features that do not yet exist, we received detailed commentary from the company and its developers letting us know whether we could realistically expect any of those features to come to be. I am beyond satisfied with support.

Alternatives Considered

ContractWorks

ContractWorks is the sole software that I have used. Prior to this, I used a spreadsheet and Outlook notifications to manage contract milestones.

Gatekeeper

  • Since using Gatekeeper we have a better understanding of what contracts we have, and with the customized Workflow they created for us, the contracts flow through the Pipeline based on our DOA. It's a smooth process from the start of redlining and finalizing to finishing it up with Gatekeepers digital e-signature feature.
  • Contracts are not flying all over the place with no structure.
