Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams.Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

FinancialForce PSA

PSA is great at capturing all the data you would need to accurately track and report on consulting projects. It captures project financials, calculates projected GM%, and (among others) allows for hourly tracking of employees, which breaks it up between billable and non-billable for utilization tracking to accurately understand costs. However, the user interface is tough to learn, and the stability of the data reporting functions is questionable. This tool would be great for smaller consulting shops that fit the standard contracting mold. If your business is fairly straightforward without a lot of shades of gray, you shouldn't have much trouble with the tool. However, if your business practices have a lot of exceptions based on clients, then you'll have a tall administrative task on your hands.

  • Great reporting tools for managing billing, estimating, project workflow and other essential project details.
  • Allows for both the agency and its clients to interact on a single platform using role-specific permissions.

  • PSA is data rich. It captures all the data you would need in one form or fashion. If you know what you are looking for, you can find it somewhere. There is a strong reporting function that allows you to create any number of custom reports or dashboards for tracking performance.
  • The tool can scale fairly easily and can take on fair amounts of projects and data.

  • As a web-based platform, sometimes things go down on their end and we lose access to our project management tool to the ire of all.
  • Project searching can be hit or miss, and filtered search often leaves out projects that should have shown.
  • Email alerts are often not as helpful as they seem.

  • The user interface is generally poor. The tool is hard to navigate and it can be difficult to find something that should be sitting on the surface. It also takes way to many clicks to complete basic tasks. Using the tool can be quite an administrative task in and of itself.
  • Always double-check the math in PSA. One missed or incorrect checkbox somewhere and your calculations can be off. It can be frustrating because the math isn't surfaced, so you have to look closely to notice when PSA has done something unexpected. Sometimes the fix won't make sense and will require time spent with tech support to figure it out.
  • Assess the damage after each system update. System updates are great, but can often derail otherwise stable data and calculations. For instance, our last update shifted how our employee utilization rates are calculated to include data that hasn't been entered yet, resulting in lower numbers being reported. This means we have had to take the data outside the system and calculate on our own until the problem is solved.

From my standpoint, FinancialForce PSA is relatively easy to use. As a System Administrator, I am able to maneuver around the software with ease. As a user of FinancialForce PSA, I am able to input my timecards and expense reports without any issues. I have received very positive and very negative feedback about using FinancialForce PSA, however, from users in other functional roles in my organization.

Most of the time it is fine. There are peak periods of usage where performance noticably slows down (i.e., Monday mornings when time is due and many reports are being run)

Appirio did a good job, however, the user team didn’t know enough to make all the right configuration/customization choices. The team focused too much on replicating existing processes vs. reengineering them. In hindsight we should have had deep dive reviews at key milestones and enforced more focus on how the software would operate. We didn’t have access to true best practices expertise. In hindsight, a consultant from the outside would have been helpful to drive this.

ActiveCollab

I have used multiple project management platforms such as ActiveCollab, JIRA, Trello, etc. Trello has great visualization with their (Kanban Board) board system and support drag and drop functionality for managing tasks. ActiveCollab, however, does not have the fancy visualization, but is very powerful when it comes to ticketing, task management, task delegation, time tracking, etc.

  • The To-Do List email every morning helps me mentally prepare and know exactly what I should be doing as soon as I start work.
  • Powerful and useful integrations save lots of time (Google Drive, Slack, Dropbox, Zapier and more!).

  • We used to do our resource management on a white board. This is far more efficient. We are leaps and bounds ahead of where we were operationally in running the business.
  • The credibility of accounting data is far higher than in Open Air. Not all due to the product. When we implemented Financial Force, we used the transition to put in place change controls – much more rigor to support our public company reporting.
