UKG Pro

We use secondary jobs for many of our employees. I wish there was a way to track the effective dates for rate changes on secondary jobs in the job history. Many of our employees work multiple jobs in different programs across our organization and get paid different rates. When these rates change we have no way to track this in UKG with effective dates. We also have issues when an employee is rehired, the secondary jobs does not update with the new effective date and rates that are set for these jobs.

  • Easy to use software. I have had several new HR employees comment on how easy the system is to learn!
  • Problem Solving- Ascentis is always problem solving! When we were in the process of selecting a new payroll company, we needed unemployment claims management assistance for our locations, something Ascentis did not currently offer. The sales rep went out of his way to find a unemployment claims management company that would work with Ascentis and us. That company has helped us keep an 80% win rate for our claims!
  • User conference- Engage is an awesome way to learn more about the products Ascentis has available as well and meet up with the staff you work with every day!

  • Updating the system so it is one platform and not two.
  • Create changes to the benefit enrollment process and upgrade the system so hire dates do not need to be changed to trigger benefits for status changes.
  • Focus updates on HR Admin, mobile application, ATS and transitioning to one platform. Larger areas of focus have been on the payroll portion of the system with a few updates to other areas.
  • When something is broken, quicker turn time on fixing the issue.
  • System needs updates to support AAP reporting.

  • Taxes - I have struggled in this area from the beginning. Even though I do see improvements over the last two years, there is still room for improvement. Locating QVR and receiving multiple emails when it is ready. Look forward to the fall 2021 release on payment services.
  • Cases opened are sometimes not addressed as quickly as I would like to see. Again, this could be related to a lot of my cases are about tax errors, or notices from agencies.
  • BI reports - I used to be able to search and find the reports I want to run, now they do not seem to show up in the search tool. Making more difficult to locate.

Ultipro is by far the very best HCM solution that I've used, and I don't mind acting as a point of contact to anyone that might be interested in hearing from an actual user about my experiences with the suite. Ultipro can pretty much handle anything that you throw at it, while ensuring that what you throw at it is compliant with federal and state regulations. It really is quite simple to use and only gets easier to use the more you use it obviously. I would encourage anyone that is having issues with the suite to partner with their customer success manager to tackle anything that is at any point problematic.

In the 3+ years that we've been live in UltiPro, I believe the core HR/Payroll module went down one time. I don't recall how long it was down for, possibly an hour or two, but thankfully it was not during a payroll week for us so it did not impact us significantly. Other than that, there are some minor outages every once in a while with the Recruiting application, but the communication when those outages occur is very good so you always get status updates.

Pages usually load quickly, once in a while there's an intermittent connectivity issue, but an email notification is sent and it's resolved quickly. Reports complete in a timely manner, even if leveraging the UKG support team to build. Haven't noticed any other integrations being slowed down. We do consistently have reports in the queue to build, and that is why we still have to do [a] double entry with our legacy system until they are replaced.

In-Person Training

First, to clarify our "in-person" training was done mainly through Web-X meetings and conference calls. It was the closest thing we got to as far as an "in-person" training for this software. However, for the large majority of it, this type of training worked out well. We were able to share our screens and the trainer was able to share his/her screen. We could follow along with what we were doing in our database in real time and see how different functions worked and how manipulating our information could produce different results. It was also nice in that it provided for real-time results if something hadn't been coded correctly or we were having issues as to why something wasn't working the way we thought it should be. However, it did have some downsides in that we often had to rely on a conference phone and that made it difficult to hear people on both sides. Also, sometimes the trainers had internet difficulties when working from home and that caused issues with the WebX meetings.

Ascentis HR has a number of online training videos to watch on a number of different topics. I gave it a lower rating because there is not much interactivity with the videos and it seems to cater to really only one or two learning styles. Plus, one has to be pretty motivated to go to a separate area to access the videos and then pull up a specific one to watch it and then learn. From my experience, people know that they are there, many just don't take the time and effort to go find them and actually watch them - especially since the username and password are different from their normal username and password.

I believe if a little more time was spent on the requirements, the recruiting module would not have to be customized again at a cost at a later date.

Ascentis has far better customer service and the implementation experience was also better. The ability to do a lot of customization is also easier with Ascentis as it's smaller organization. The payroll has positive and negatives compared to ADP but the accuracy is the same in both. Ascentis just started their community site which doesn't have a lot of traffic but hopefully can become more like ADP's community site, which was extremely helpful to me as an administrator.

Ultipro has great scalability overall. The core functionality of Ultipro allows for easy replication, while also providing room for customization that is often required during acquisitions/additions of new business units. The only drawback in scalability, is that by design, Ultipro requires knowledgeable end users and internal resources to execute. Although Ultipro provides immense support and service to its customers in all organizational phases, without the proper internal development, scalability could be hampered. At the same time, this is what I personally love about the product; the ability to work within a DIY environment during expansion while still having access to subject matter experts when needed.

  • HR DPT. is much more effective, as we can assess any employee information no matter where we are, etc. This helps to provide information immediately when requested!
  • Employees have access to Ascentis, and therefore to their timecard, open enrollment, etc., from anywhere at any time!
  • Time, PTO requests, employee goals, and evaluations can be approved from anywhere at any time!
  • Recruiting can be accessed any where at any time, and this helps with hiring, internal communication, etc.

  • From a cost/time perspective, it has allowed our small HR department of 10 to manage all HR functions for the entire organization without adding additional staff. We can work more efficiently using the same tool and manage all HR activities through the UKG Pro platform.
  • Streamline different department functions: payroll, HR, employee communications all through one tool.
  • Positive impact with more employees working from home, supervisors ability to approve/deny schedule requests through time management in and outside of the office has been beneficial to approve and accommodate employee schedule changes.
