Microsoft Project

If your organization uses office productivity tools from Microsoft, it is no brainer to use Microsoft Projects. The tool integrates well with other Microsoft tools. It is the most popular project management tool and most people with expertise on this tool are available in the market. For some projects we hire contractors and we find most contractors are well versed with this tool, so it makes easier for us to hit the ground running.

Wrike

Wrike is a great fit for teams who need significant reporting capabilities, strong collaboration tools, and the ability to create dynamic project templates. It might be overkill for small teams who don't need as much cross-team visibility, who prefer in-person or chat-based project collaboration, or whose work doesn't require repeatability of project templates.

Pros

Microsoft Project

  • Being a Microsoft product, Project integrates extremely well into the Microsoft family of applications!
  • Furthermore, the user interface is similar to other Microsoft applications. Therefore, there is a valuable familiarity out of the box.
  • Project is incredibly detail-oriented and always receiving valuable updates. Project Online is now the cloud-based version of Project.
  • Scheduling works really well for the most part. One can be extremely detailed with Gannt charts and other project management metrics!

  • Their interface is intuitive and easy to use. It's clean, and I really like both their mobile app (iPhone) and their desktop app (Mac).
  • Customizing workflows and approval processes is relatively easy, and adding to multiple projects with multiple assignees and watchers is excellent.
  • The organization is excellent and intuitive. Search functionality is pretty great. Both make it super easy to find what you're looking for... new, old, completed, etc.
  • Really like the different views - Konbon, list view, etc. If you're used to Trello, Basecamp, Asana, etc... there's a view that's pretty comfortable to you.

Cons

Microsoft Project

  • Expertise Needed: The software is not always easy to use or intuitive. I took several Project courses, on top of my project management certifications, to understand the software better. While all the elements are there for anyone familiar with standard project management processes, it takes experience and training to really get the best out of the software.
  • Collaboration: Project does not work well with multiple users simultaneously. There's no real-time updating, and if we had multiple project managers, there'd be no way to work together on the same projects.
  • Price: Project is expensive, largely due to it being an industry standard.

  • Minor - assigning a default user. Each time I add a task now I have to assign a user. With me as the primary user, I would love to be able to set myself as a default. I've read some discussion on this and it can be done if you add the task under "My Work." When I'm adding multiple tasks, that extra step seems counterproductive.

Wrike is a free resource for us currently, we moved off the subscription as the team had some adjustments. If we were to go back to a paid model or require more time reporting I'd have to look at alternatives such as Podio. I am the sole manager of Wrike currently internally, and would like to get more people on board to justify the cost

Microsoft Project was for many years the reference tool when you were talking about project management software, even if it has some gaps. However, in the last several years, other tools emerged and covered those gaps and are getting more and more users. Microsoft needs to keep up with the trends as they did with adding Project Server. However, that needs a significant rework.

Wrike provides a great deal of flexibility that allows you to structure it to best serve your needs. The interface is well designed so that features are convenient to use. Some features are limited to the Enterprise license which is more expensive which stops me from providing a 10 rating.

Over two years of (almost) daily usage without outages. Don't remember any errors. I give it 9 only because some Wrike plugins (for online document edit) are based on NPAPI architecture. These types of plugins are being phased out in new browsers, and NPAPI plugins are disabled by default in recent versions of Chrome so you have to do some browser adjustments when you switch browsers or move to another computer.

I’m giving MS Project an 8 because in general this is a solid scheduling program. It’s definitely designed with the professional in mind, and they have done well preparing the program to integrate with their other Microsoft products. The program is a workhorse so if you have serious scheduling needs then I would highly recommend MS Project.

Our broader team loves the platform, and our account manager has been very responsive in assisting us with questions on how to best leverage the solution. We are currently in the process of bringing on point-collaborators from other departments to test out potential for a multi-department rollout. While our technical teams leverage Jira there is an opening for the non-technical teams to leverage Wrike for stronger and faster project collaboration

Wrike does a great job of provide a breadth of videos for learning their program. This includes a 'getting started' sett of videos along with a collection of more in depth videos to assist more experienced users. Combined with their excellent chat support learning wrike is easy and it includes easy access to best practices.

Alternatives Considered

Microsoft Project

In all cases where I didn't use Project, i used an application given by Excel freely as a template, when you open Excel 2013 or higher. It is basically a Gantt chart, with several capabilities built in. All what is necessary for you to do in order to quickly get a basic Gantt chart, is to create a basic Work Breakdown Structure (WBS), including names assigned to each task and the estimated number of hours that will be expanded on each task. This information is filled in the lower side of an Excel sheet displayed in landscape view. On the upper portion of the sheet, a Gantt chart is immediately created. It is a very simple tool, no learning curve required and is free. I do like it a lot and use it a lot, since lately I'm involved in many simultaneous projects, however, each one of them has a short span, not exceeding two weeks.

Wrike feels a lot like a more powerful Asana. And Workfront - well - we had a lot of issues with that system. It may have just been too big for our needs, but Wrike felt just right for an organization of our size with our needs.

Return on Investment

Microsoft Project

  • We are currently only now opening the door to these opportunities but do see ways to implement and save in areas that include a reduction of man power and gaining efficiencies and reducing cost and schedule by providing more real time relevant data to our project team which will allow them to make better informed and timely decisions.

Wrike

  • General organization! We have everything in one place and less falls through the cracks.
  • We are less likely to lose clients because we do our work more efficiently and can fully communicate what we've done for them.
  • We are more of a team because we're all on the same page instead of struggling to figure out where everyone is at with a project.
