Proofpoint Email Protection is widely used across organizations for its robust capabilities in email encryption, URL protection, and virus scanning. Users have praised the software for its granular control over inbound and outbound email, allowing for detailed overview and management. The software effectively filters all incoming and outgoing emails, surpassing the capabilities of previous mail filter solutions by significantly reducing malware, viruses, and spam. One notable feature that users appreciate is the impostor detection, which has proven to be highly effective in reducing attacks targeting executives for gift cards and other goods.

Proofpoint seamlessly integrates with Office 365, offering an added layer of protection by preventing phishing and spoofed emails from reaching users. It acts as a primary spam filter, providing daily digests of filtered mail to users. For clients who prefer not to operate a dedicated email gateway, Proofpoint serves as a shared service, delivering robust perimeter defense for all email traffic. The software's ability to block communication based on domain, content, and malicious sites or links has proven successful in stopping the spread of malicious phishing content. Overall, Proofpoint Email Protection serves as a dependable email gateway that protects both inbound and outbound email users from malicious threats while efficiently minimizing spam and junk emails.

Granular control of inbound and outbound email: Users have been impressed with the granular control offered by Proofpoint for managing both inbound and outbound email. Several reviewers have mentioned that they appreciate the ability to configure rules for mail, which allows them to tailor their email management according to their specific needs.

Extensive spam detection capabilities: Many users have praised Proofpoint's extensive spam detection capabilities. They have mentioned that the software is highly effective in detecting and stopping spam, with some stating that it can detect and stop around 99% of spam. This feature has been greatly appreciated by reviewers as it helps maintain a clean inbox.

End-user services and reduced administrative work: Reviewers have highlighted the end-user services provided by Proofpoint as a major advantage. They mention that these services greatly reduce administrative work as users are able to create their own filters and release their own mail. This self-service capability not only saves time but also empowers users to manage their emails effectively.

Confusing and Cumbersome User Interface: Users have found Proofpoint's user interface to be confusing and cumbersome, requiring extra steps and making it difficult to perform tasks quickly. Some users suggest that the UI should be improved for better understanding and easier access to all features. They find the GUI interface confusing and not easy to navigate, with abysmal default settings that make it challenging to effectively filter out unwanted messages. The layout of the email protection, TAP, and TRAP dashboards has been mentioned as inconvenient, prompting users to express a desire for a more modern-looking and streamlined user interface.

Difficulties in Validating DKIM Initiation: Some users have encountered difficulties when trying to validate DKIM initiation with Proofpoint. They find the configuration consoles and options provided by Proofpoint a bit complicated, leading to confusion. As a result, they express the need for more in-depth rule customization options beyond what is currently offered.

Troubleshooting and Support Issues: Users have expressed dissatisfaction with troubleshooting and support for Proofpoint, stating that it is not straightforward. Some users have experienced unresponsiveness from the support team, encountering long wait times for resolution without receiving acknowledgement when certain components or features do not function as expected. The cluttered support portal filled with outdated information makes it difficult for them to find documentation. To improve support and case resolution, users suggest having a TAM or CSM available. Additionally, some users feel that customer support can be too generic and unhelpful at times, recommending the addition of a chat-bot assistant for better understanding of software features and issue resolution.

Proofpoint Email Protection is used at the enterprise level. This solution acts as an email gateway that receives email on our behalf, does checks for any possible virus, spam, bulk, or other policy filters before delivering email to users within the corporate environment. The emails are further checked for any customized policies like sender or receiver level restrictions, blacklisting or whitelisting, policies around file types or extensions, size of the message or attachment, etc.
  • Easy-to-manage and secure cloud based solution.
  • Enable multiple policies that can be configured apart from lots of default rule sets.
  • Very useful dashboards and reporting features.
  • Lack of transparency on algorithms except IP reasons.
  • May not integrate with other third party SIEM and MSSP tools.
  • Lots of modules but they're sold separately.
It is suited for medium and large user base but may be tricky for small organisations. One needs technical expertise to manage or configure the tool otherwise you will have to get professional services to make full use of the powerful features of the platform. It is user-friendly and support is awesome.

It is used as the frontline in our global email program and provides a base level of management and filtering.
  • Allows for automated enforcement.
  • Allows for easy review and management by the users and administrators.
  • More granular reporting would be a nice to have.
Easy integration into Office 365 and world-class policies.

We use Proofpoint Email Protection to protect our own Mailtraffic, but as an MSSP (Managed Security Service Provider), our main goal is to resell it to our customers as a managed Service. We run a lot of PPS Gateways in our Datacenters. Proofpoint Email Protection aims to be a carefree solution for every administrator, as far as it's possible. I don't want to sell (you) anything. I am a technician, not a sales guy. Therefore, I'm going to write this review from a technical Point-of-View.
  • Best Spam protection (honestly!).
  • Extremely flexible.
  • Fast support from the vendor.
  • Expensive (but justified).
  • Needs a lot of hardware resources in big environments (RAM hungry).
  • Using old Linux kernel 2.6.32 (CentOS 6.5, still supported though).
Proofpoint is always suited. If you are able to afford it, you should do it. Proofpoint Email Security is extremely flexible, so you can cover almost any scenario and create rules for every need. There are so many criteria/conditions which can be used to build custom rules. In all the years I have used Proofpoint Email Protection Server, I've rarely reached it's limits. And in that case, you can make a Request for Enhancement. Most attacks are done via Email. Everyone should aim to have maximum security. Proofpoint has a lot of techniques to achieve that, even if you don't use SPF/DKIM/DMARC. You can also use PPS to secure your Office 365, by the way.

Our Proofpoint deployment is being used as a relay and DLP solution for external communications with our customers.
  • Provides firewall rules which can be leveraged to permit disallow or rewrite headers based on the intended recipient.
  • Leverage firewall rules to route mail through DLP for PII or sensitive information.
  • Secure endpoint for email generation/decryption and storage.
  • DLP rules can be a bit cumbersome to use beyond the default modules.
  • DKIM initiation can be difficult to validate.
  • Support is not straightforward for troubleshooting.
Well suited for secure mail. Only registered or authenticated users can open or view decrypted email. Don't use it for email storage.

We use Proofpoint Email Security for incoming, external e-mail in our organization, as our primary defense against spam and other security threats, and as a way to maintain e-mail continuity if our internal Exchange server is offline or otherwise unreachable. It prevents our users from getting flooded with unsolicited emails and phishing attacks, in most cases, which is extremely important.
  • Spam Filtering: Proofpoint does a very good job of blocking spam natively, and of course users and administrators can set up white lists and blacklists as needed to fine tune everything. There are several configuration options, but we have a quarantine digest sent to end users if it's possible but not confirmed spam. It can also be set to just stamp an email with a "spam" notice in the subject line and send directly, for anything that's suspected as spam.
  • URL Filtering: Proofpoint re-writes URLs in emails so that, if a user clicks one, it takes them to a sort of proxy site that double-checks the URL. This means that even if a malicious email gets through, there's another check before a user could potentially download some harmful file from an attacker's website.
  • E-Mail Continuity: Since email goes through Proofpoint before hitting our internal server, it can hold the e-mail in a queue in case our servers are unreachable. The mail then spools in once the servers are back, or users can log into Proofpoint from outside to check email.
  • URL Filtering: While this is a nice feature, it tends to obfuscate the URL in any readable way. Users are trained to hover over links to make sure they go where they say they're going to go, to check for anything suspicious as a security check. It's almost impossible to decipher the links once they've been rewritten by Proofpoint.
  • User Setup: Although it's fairly simple to add in a user, it takes up to an hour for the email to that user to work, and before that time, they will bounce back as an invalid user. For some reason, Proofpoint only updates its internal lists at the top of the hour.
  • User Spam Management: Since it's a third-party application, it does take a secondary login to manage white- and black-lists for users. This isn't a big deal for administrators on company-wide lists, but it's an extra, cumbersome step beyond just clicking a link for end users, which sometimes means they're not going to bother.
Depending on the circumstances, I think I would recommend a different product. The spam protection works fine, it's not terribly expensive, but there are better products with better usability out there. A very small business with little to no IT staff, perhaps using a managed service provider, might find it works for them just fine, but even then, Office 365 has pretty decent spam filtering already, and a business of that size is probably hosting their email instead of using an on-site solution.

Proofpoint Email Protection is used enterprise-wide at our organization as our email filtering and security solution. Our instance resides in the cloud and serves as the first mail hop within our receiving email domains. Along with other Proofpoint products, it helps protect against phishing, malware, impostor and fraud emails, spoofed messages, and others.
  • Spoof/impostor detection.
  • Spam detection.
  • Bulk mail detection.
  • Their policy route administration is clunky.
  • Filtering rule administration is time-consuming when reordering rules.
Proofpoint Email Protection best serves as an all-in-one solution for mail filtering and security between your mail servers and the internet. Proofpoint can be used both with on-prem email hosting or cloud-based email hosting. Proofpoint itself can be hosted on-prem or in the cloud. I'm failing to think of a reasonable situation where Proofpoint could not or should not be used for the average enterprise.

Proofpoint Email Protection acts as cloud mail relay used by the whole company. Gives protection from viruses, phishing emails, URL sandbox, and attachment sandbox. It helps the SOC team to understand trends and current security status, including alerting about potential infections, because there is no 100%.
  • URL protection.
  • Sandboxing.
  • Phishing protection.
  • Reports - not so flexible. Graphics and diagrams don't look modern.
  • SIEM integration from PoD. Doesn't come out of the box and requires additional purchasing.
  • Search capabilities - missing search criteria.
Prior to deployment, Proofpoint SE will contact to conduct sizing. Depends on the solution (on-prem or cloud), Proofpoint will send the requirements to support the needs. In case of the PoD (Proofpoint's cloud offering), all the work is done at Proofpoint side, and they will adjust your account accordingly. The cloud solution is recommended if you already using cloud mail solution such as O365 or Google.

Important to note, the TAP feature is in the cloud, so even if you purchase the on-prem solution, you'll need internet access.

Proofpoint Email Protection is deployed company-wide. It helped address multiple perspectives of secure mail customization, better email protection, and threat blocking/remediation. It also allowed us to bring our archiving into one product. Even though the archiving is a separate piece, it is at least under the same bill and better than what we had prior.
  • Allows for granular customization for the best fit for the company
  • Administration is easy
  • Threat protection is effective
  • Analytics are nice
  • Advanced protection features, such as impostor attacks, work well
  • It does miss some emails that should have been flagged. You look at the body of the email, the headers, etc. and wonder how it could have gotten through, but for the most part, it does a great job
  • The email encryption seems to have some issues. Users will get random errors sometimes - like "Service unavailable" when clicking a link on an encrypted message or "the message has not reached the server or is no longer there", which can be particularly confusing to a recipient because they received an encrypted message and don't understand why this encrypted message that they just received is not in the portal
  • Some of our encryption rules get skipped somehow. It would be nice to be able to determine why
If you want to customize your solution and tailor it to your needs, Proofpoint allows for a LOT of customization, which is really great. We customize the verbiage that goes out in the encrypted emails. It helps to set up a friendlier encrypted message for recipients to trust, which is really important to us.
One of the things that I've found more difficult than say, an on-premise Barracuda Web Filter, is tracking down malicious emails that got through the protection and analyzing how they got through. You can analyze these types of emails in Proofpoint, but it takes some getting used to and takes some deciphering as well.

Proofpoint is used to protect the organization's e-mail system, along with other components. It helps protect customer information, to provide encryption, and provide TAP Real Time Protection to email.
  • TAP protects our board members against targeted spear phishing
  • Prompt review of potential zero day email exploits
  • Very intuitive GUI, that helps you find what you need, along with the metrics and reports needed.
  • Sometimes support does lag, on certain incidents. Not able to get direct phone support for a case. Need to wait for a call back.
  • Proofpoint Online notice for potential Proofpoint Hosting issues lags when needed immediately.
  • Changing of account managers seems to be happening a lot.

Proofpoint is being used as an email gateway and it has excellent features which correspond with the global threat landscape. This helps us with better visibility to have strategic decisions and respond better. Most of the campaigns are being stopped by Proofpoint TAP appliance also.
  • Email Protection provided better rule tuning, robust email whitelist/blacklist.
  • Recipient Verification is at the right spot to analyze whether the recipient exists in the Organization or not.
  • SMTP rate control is also one of the great features to have.
  • Email Authentication & email fraud defense could also be leveraged if placed correctly.
  • Proofpoint should roll out full API capability to have automation usage for Security Admins
  • They should redesign their portal
  • I would like to have more training content to be published
It acts as a security barrier for an enterprise to prevent the most prudent attacks. Conducting known phishing campaigns so that we could run user awareness training for the most targeted end users. Correlation with threat Intel gives coverage with all the aspects of real-time attacks around the world.

Proofpoint Email Protection is deployed for the entire email domain. It adds stronger security protection and control for virus/malware, phishing, etc.
  • Ability to set custom policies and rules
  • Ability to re-route or block emails based on policies and rules
  • Proofpoint has a Dynamic Reputation feature which is more comprehensive in blocking IPs sending spam / phishing/ malware.
  • Handles spoofing and impersonator emails
  • For the cloud-hosted product, it is sensitive to disk space and database size for storing messages. If the size is too big, it affects performance of the mail flow.
  • The administration interface can be organized better for navigation
  • The Add Mailing List feature is limited as compared to a Distribution List or Listserv
Proofpoint Email Protection is well suited for granular policies and rules to control and protect organizational emails. One major protection is the Dynamic Reputation - real-time filtering of harmful and malicious emails, including attachments. Without this Proofpoint product, organizational emails - both inbound and outbound - will be harder to deal with spam, phishing, viruses, and malware. It will cost time and resources of IT staff to deal with the issues that come with not being well-protected by Proofpoint.

Proofpoint is being used across the entire organization to prevent spam and malware. The additional features, sandboxing, URL rewrite, and spoofing protection protect our organization against other threats over email. Proofpoint also provides and in depth dashboard to gain insight into what sort of attacks we are experiencing and which users are being targeted.

  • Blocks Spam
  • Blocks Phishing emails
  • Blocks malware attachments
  • Quarantines email and provides and easy to use search utility to find and release those emails if needed.
  • My only recommendation here is that Proofpoint should provide a longer time frame of logs in the threat dashboard.
I believe Proofpoint is one of the foundational controls every organization should have. You are leaving your organization open to a variety of email threats if you are not using it. I cannot think about any situation where it would not be appropriate. Proofpoint is well suited to provide email protection, secure email, and email management.

Proofpoint Email Protection is being used by across our whole organization. It is currently used to handle all of our inbound spam, malware and threat detection. The nature of our business relies on supporting corporations, so Proofpoint Email Protection allows us to securely communicate with our customers while minimizing our risk to bad actors.
  • Proofpoint Email Protection allows granular control of inbound and outbound spam and email firewall rules, providing the opportunity to narrow in on a specific threat while not introducing false positives.
  • Proofpoint Email Protection does an excellent job of managing DKIM and DMARC for our corporation.
  • Proofpoint Email Protection's email digest allows flexibility for our end users to manage their own spam inbox, minimizing the need for IT overhead.
  • Proofpoint Email Protection's admin console could benefit from a UI update. There are several modules and many settings within each module, so its easy to get lost.
  • Proofpoint Email Protection's remote syslog configuration should be made easier to setup and manage.
  • Proofpoint Email Protection's import and export of settings could be more flexible.
The product was fairly easy to install. The ProofPoint Professional Services proved to be very knowledgeable and walked us through the entire deployment. They worked with us to provide a process for migrating users for testing, and then slowly migrating the bulk of the user community while keeping the existing system running. The product has greatly outperformed our previous product with our user community also seeing a better, much more consistent outcome with spam filtering.

My only criticism is the user interface.

Proofpoint is used to process incoming and outgoing email for Canisius. The spam/malware protection is essential to ensuring our email infrastructure is operating at a high rate of efficiency. The data it collects allows us to investigate issues and track trends.
  • Smart search addon is an amazing tool that allows us to track the flow/processing of an email
  • Spam scoring is very good
  • Recently added ability to look at dmarc/spf/dkim for validating emails
  • Would like the ability to create custom queries in smart search
  • Reports need improvement...ability to create a custom report would be nice
Our organization is mid-sized and has generally had a centralized infrastructure for handling inbound/outbound email. Proofpoint would be a good fit for this type of organization.

We use Proofpoint as our incoming and outgoing email gateway. Proofpoint manages all of our spam, virus checking. Proofpoint also manages our URL and attachment checking for all emails.

Proofpoint also delivers all of our internal application traffic to internal and external email addresses. Proofpoint provide targeted attach protection and helps us mitigate any threats to our Email landscape.

  • Proofpoint Email Protection scans all of our email for URL links which provides safe sites for our user to click on when they receive their email.
  • Proofpoint Email Protections scans all of our email for attachment defense which means all attachments that we receive in emails are safe to use.
  • It would be helpful to better understand DMArc and Dkim and how they help protect our environment and how to properly set them up without user email loss.
Proofpoint Email Protection is very helpful with URL and attachment checking. We try to teach our users to not click on links and attachments but it is hard with all the email we receive daily to not click on things that may look legitimate. We know that when our email is delivered with a link or attachment that it is has been thoroughly checked and we can use the information safely.

Our Proofpoint Email Protection service was implemented on-premises and utilized for the entire organization and protects roughly 18,000 active mailboxes. Given that e-mail based threats are some of the most successful attack vectors it was critical for our organization to have a solid protection system in place. We utilize the services for anti-spam, anti-virus, internal e-mail policy enforcement, advanced threat protection along with it's reporting and smart search capabilities.
  • The services provide a very high accuracy level related to anti-spam/virus detection with very few false positives. The services are also routinely evolving to address the latest attack profiles while at the same minimizing any type of disruptions to normal business e-mail traffic. To date the service have been an extremely stable platform with very few problems. Proofpoint mentions that most if not all of their support techs have a minimum of a Master's degree. Having worked with their support over the years, I can readily say that their support is top notch compared to their competitors.
  • Proofpoint's Email Protection is implemented in a modular format where protection components can be added as needed and managed within a single framework. This has minimized the footprint for these services in our datacenter.
  • The Email Protection services have a Smart Search capability that basically aggregates all of the log data and is extremely useful in getting quick answers to any type of questions related to message delivery.
  • The services are also extremely flexible in terms of mapping one's policies into the set of services. The screens are intuitive to use and have enough aids to be readily understood without having to routinely consult reference manuals.
  • The only real stumbling block we used run into was with application updates which in recent years has been automated to the point where it can literally be as simple as clicking on a button to initiate. It can perform updates with loss of service and if it runs into problems it can readily revert itself back to the prior release. Very well engineered update process.
  • My only real complaint if any would be the pricing of the services, yet having said that Proofpoint has been pretty flexible in negotiating a price that we can actually afford.
The Email Protection services are deployed in our environment as the first layer of defense for inbound internet traffic. As such they have held up extremely well under load with very few if any issues. We utilize the services for screening and protecting internal e-mail which is routed from our Office 365 deployment through the Email Protection services.

Proofpoint is a corporate solution. It is used at the gateway for email protection. It is also used for mail routing, etc. It is our primary source of email protection.
  • Spam prevention including URL defense.
  • Bulk Mailings - Proofpoint helps us cut down on unwanted bulk mail for our executives.
  • Anti-virus protection and targeted attacks.
  • End User Digest and reporting messages.
  • Documentation does not seem to be updated and might be lacking.
  • Knowledge base could use some updating. It's not always easy to find answers.
I believe Proofpoint is probably the best solution available. I am impressed with their ability to keep up with all the latest threats and offering many modules to increase their services and protection levels.

We are using Proofpoint Email Protection for all users in our company. We host our Exchange services and use Proofpoint Email Protection as our primary spam filter. All users have their mail filtered by our Proofpoint system, and each user has their mail which meets the "bulk" signatures filtered out, and given back to them each day in the form of a morning digest. Proofpoint does an excellent job of filtering mail and giving insight and granularity into the IT team for making changes and releasing email.
  • Powerful , Intelligence-based Smart filtering system, which categorizes and filters out malicious email in real time.
  • Incredible Granularity in filtering rules, custom email policies, and user management
  • Useful Proof of Concept period for initial deployment, as well as the ability to set any new custom policies to audit mode to test for extended periods of time what impact they will have.
  • The new Technical support portal is frustrating to use. You must login and fill out web forms to create a case before you call their technical support line, or they will refuse to assist until you log into the portal and create the case manually.
  • Support can take some time to respond to cases unless they are contacted regularly
Proofpoint Enterprise Email Protection seems like a great fit for any medium to large size corporations. The powerful tools and functionality of the software scales seemlessly with the size of the user base, and can support large user bases and changing company sizes without issue.

For small companies, although Proofpoint would work great; tt's an expensive, powerful tool which may not be within an IT budget.
