Project Estimator

If you are considering purchasing this (very expensive) software, there is a 100% chance you are doing so because you have been awarded a Government contract that dictates you use 4Clicks Project Estimator. There are plenty of easier to use estimating packages out in the world, but you can't use any of them if you have a contract that requires 4Clicks.

OmniFocus

OmniFocus is great for a single user setting. If you'd like to organize your work and home life, you won't find anything better. It can track projects by step, date, subject, context, category (home, work, hobby). It's not suited for team use if you need to collaborate on specific projects together, however, for the solo worker or a person that manages a project and doles out the tasks, it's quite powerful.

Pros

  • The estimates it produces are simple and easy to follow. The formatting is good.
  • The tech support provided is very attentive.

  • Planning. I have created templates for case management that I can cut and past into new cases. I use OmniFocus not only to stay on track with big picture items, but to keep in mind interesting thoughts that occur to me.
  • Accountability. I am better able to work ahead of deadlines using OmniFocus. OmniFocus is OS agnostic. My daily planning is done on my MacBook. I often add tasks using OmniFocus for iOS. I often use Siri to add tasks to OmniFocus while in the car ("Siri, open OmniFocus"). The dictated action items go into my Inbox, and I organize them (and clean up the almost inevitable grammar errors) when I am back in front of my computer.
  • Organizing by life focus. This is my default way to organize in OmniFocus. My big categories are Family, Work, Heath, Household. Work is then broken down by (1) administrative tasks (e.g., trust accounting, billing), (2) client matters, (3) business development, (4) miscellaneous. I can get as granular as I want to get, but can always back out to the 30,000 foot view.
  • Organizing by deadline. You don't have to assign deadlines to every task, which makes it helpful to keep in mind what is really important (e.g., the deadline to file an appeal).

Cons

  • The software feels 20 years old. It has not kept up with modern times, and practically functions like an old DOS program.
  • Clunky interface, arcane commands.
  • Even their training info focuses on hotkeys like this is 1995. Even though I am of an age to remember computers in 1995, the younger generations of managers/estimators are not. It is time to bring the software into the new century!

  • I would really like to see graphic presentations of how I allocate my time, what categories of tasks don't get accomplished, etc.
  • I would like to see OmniFocus include Gantt chart functionality, such as allowing me to see how long it took me to accomplish a task from start to finish. Allowing me to actually input time spent, and seeing it on a Gantt chart, would be icing on the cake.

Alternatives Considered

WinEst uses much the same database (RS Means/Gordion type) and has a similar interface. It is a bit cheaper.

The closest analog to OmniFocus is Todoist. OmniFocus, however, runs circles around Todoist and every other to-do list and reminder system. OmniFocus is not just best in class, it is in a class by itself. I feel somewhat incompetent saying more about how powerful OmniFocus is. I know that there are others who have done far more with OmniFocus. I am quite comfortable using it, but want to learn more so that I can improve the usefulness of OmniFocus.

Return on Investment

  • As stated before, if you are buying this software, it is because you have a contract forcing you to. While it does work, it is clunky, awkward, and very expensive.
  • The price of the software and databases has always been high, but with the fairly recent acquisition of 4Clicks by Gordion (who also bought RS Means for their databases), there is literally no competition. Prices will continue to be very high, with no check on how high they can go.
  • Again, can't fault 4Clicks tech support, as I think it is the best in the industry. They know their product and they respond to issues immediately. Considering what we spend a year for this product, however, you would expect nothing less.

  • OmniFocus keeps our tasks moving forward. Using a free script you can search all your current projects for projects that have no next step assigned to it to ensure nothing falls through the cracks.
  • When we serve our clients, the attention to detail we are able to give them comes from accurate tracking of what we need to deliver.
  • We complete projects 25% faster than before and we can see where the bottlenecks are immediate. We have also been forced to document tasks in a more concrete manner which allows for better execution.
