ActiveCollab
Chose ActiveCollab
ActiveCollab has fewer functions than Wrike and a simpler interface, but generally, the team collaboration purpose is fulfilled.
Chose ActiveCollab
ActiveCollab is 100% better than any of the other tools we have used. We had previously spent thousands of dollars trying out different software that was comparable, but this has been one of the best decisions we have made as a company. It's also the cheapest ongoing option, …

Chose Miro
Miro offers a better user experience and options, in my opinion. While the other tools each had their strong point, it was good to find a great product like Miro that offers to do it all in one centralized location. It's almost plug and play with a very straightforward setup. …

I haven't tried Mural in a very long time - probably more than half a decade. But when we first started using Miro (Back when it was still Realtime Board!), at that point Mural was more expensive and didn't feel as usable or had all the tooling that Miro did.

I have not used many products like Miro. In the past, I have tried using OneNote, but the functionality is limited and frustrating. Occasionally, I have used Canva to organize more graphic design-focused projects, such as mood boards. But in general, my needs for Canva and Miro …
Chose Miro
Similar feature set, but I found Miro to have a better price/quality ratio and the ease of setting up the teams. MURAL sometimes seemed a bit better on the graphical side of the tool, but not enough to switch to this platform.
Chose Miro
There is no comparison on how fun and easy is to use Miro, compared with any other tool. Kamban boards, diagrams, collaboration canvas, all is made easy and super fun, bringing teams together and allowing them to collaborate an express themselves.
Chose Miro
I think Miro has way more options to choose from when it comes to templates and the diagrams just look better and more colorful.
Chose Miro
Actually, Miro is the only whiteboard application we use. We still use Lucidchart to create diagrams.
Wrike
Chose Wrike
ActiveCollab - the version from around 2013 was great. My current employer tested a newer version of ActiveCollab but it didn't give us the functions the old AC had. In the end we opted for Wrike.

Chose Wrike
Wrike does a better job providing marketers with the flexibility and robustness to achieve any sort of workflow they desire on their team. There are a ton of integrations as well. We chose Wrike because of how customizable it is to what we want to do.

ActiveCollab
Scenarios where ActiveCollab works well 1) ActiveCollab works well for small teams specifically T&M teams. Its invoicing feature is unique & can make your life easy. 2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote. 4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page. 5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etc Scenarios where ActiveCollab did not work well 1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that. 2) Sorting capability is not their under invoicing 3) It did not work well for larger teams 4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Miro
I first used Miro in a service design module at university, where we used it for personas, customer journey mapping, and more. I've since used it in marketing for SWOT analysis, RACI models, project planning, and more. I've yet to use it in a wider team setting, but from my experience, some team activities, even a SWOT analysis, for instance, where it is brainstorming-based, are better done in a physical space and then brought onto a digital tool, rather than done purely digitally.

I believe it's well suited if you have multiple jobs/projects that you need to keep organized. We work with multiple job types from print/creative to web, copy and digital ads so it helps us stay organized. I don't think it would be suitable for a company that doesn't have a lot of jobs to manage. We average over 1,200 requests a year.

Pros
ActiveCollab
  • Great for project and task assignments, project workflow and communications.
  • Solid web-based platform that doesn't require software downloads, also includes great mobile platform.
  • Great reporting tools for managing billing, estimating, project workflow and other essential project details.
  • Allows for both the agency and its clients to interact on a single platform using role-specific permissions.

Miro
  • Makes internal coordination between admin team and tutors extremely painless. It's like a single place where everyone can drop ideas, get updates and notes without loss of context which usually happens in long email threads.
  • Versioning and board history are handled very well, which drastically reduces the workload. They help me track how a policy or math guideline has evolved, and also make it easy to revert changes if something doesn't work.
  • Comments stick exactly where they are meant to, making internal reviews much clearer. Admins don't have to guess which note refers to which rule or section.
  • Exports are clean, so even non-Miro teammates get it instantly.

Cons
ActiveCollab
  • It isn't possible to set members of staff as part time, so if someone is unavailable on certain days you must manually enter them as OOO every single day that they are not in, that other teammates work. Hours also can't be edited individually - everyone is treated as working the same hours in a day, rendering capacity planner useless for flexi working teams
  • Subtasks cannot be assigned their own hours and deadlines, meaning the To Do list view can't be seen in actual date order and capacity planner does not reflect all time allocated to an individual's schedule unless every task is set up as a separate task rather than subtask
  • There is no way to see all tasks of a certain type across multiple campaigns (e.g all copywriting tasks vs all technical tasks) - support team suggested exporting data and making spreadsheets
  • Kanban view isn't available for people's own task lists ('board' view here shows a list)
  • Not possible to have one task be assigned to more than one person
  • Notifications are not sent when tasks are updated, so you have to leave comments and tag people each time

  • As a designer, I miss some more creative features. I can't even get really into designing small things (like paths). Many of my colleagues have already switched to the Figma board because it is possible there.
  • Things often get lost in the workflow, especially in teams. Working on the same file often leads to misunderstandings and can be frustrating. For example, if text is accidentally deleted and cannot be recovered, or if images become distorted.
  • The scale on the board is missing, which often leads to size differences.

  • Email alerts sometimes send too slowly.
  • If you put a project on hold, it can be hard to find it once you are ready to return to it.
  • Sometimes there are too many steps/tasks and the main page can get cluttered.

Miro saves my day. I would spend at least 4x more time on documenting my projects and work without this tool. It support my day to day role and helps me be successful while saving my capacity. It is not only very easy to start working on it without additional training required, but also adapts to any use case that I might need to implement

I wish that Wrike had more drag and drop functionality that would be connected to assignee and also I wish that the finish date of a task would update to the date where you checked completed. It does not do that. Also finishing a task doesn't move the start date of the next task it "protects your time in that way", but our management team wants us to quickly see what we have down the pipeline rather than having to scroll down the list of upcoming tasks.

It's very easy to use, while having endless features. When I start a new board, I know that there's almost nothing that I cannot put on it, whether these are builtin tools, like documents and diagrams, or whether these are 3rd party services that can be imported onto the board. Using Miro is very easy. When I'm onboarding a new user, I focus on what can be done and not on how, as everything is very intuitive.

I have not encountered events where Miro is not available. It is quite nice and reliable to be fair, even on my freemium version (startup) I don't have reliability issues. Over two years of (almost) daily usage without outages. Don't remember any errors. I give it 9 only because some Wrike plugins (for online document edit) are based on NPAPI architecture. These types of plugins are being phased out in new browsers, and NPAPI plugins are disabled by default in recent versions of Chrome so you have to do some browser adjustments when you switch browsers or move to another computer.

I took the loading quickly to be related to availability which I commented on before, so ditto with those comment on load time here. Although to reemphasize, Miro doesn't crash or just refuse to load like some other programs. The weak point of Miro for me is integration of files like Word, Excel, or PowerPoint (especially the later two). When you embed these, it gets slow, and complicated to bring them up while you're in the application.

We have never reached out to or contacted support because Miro's platform has been incredibly intuitive and user-friendly. This self-sufficiency has allowed us to focus more on our projects and collaboration without interruptions. There was a series of webinars which Miro hosted with our organization that went over the basics, then progressively became more advanced with additional sections. The instructors were knowledgeable, and provided examples throughout the sessions, as well as answered peoples' questions. There was ample time and experience on the calls to cover a range of topics. The instructors were also very friendly and sociable, as well as honest. Of course Miro isn't a "God-tool" that does absolutely everything, but the instructors were aware and emphasized the strengths where Miro had them and sincerely accepted feedback.

Easy to learn, Miro has a series of videos on YouTube that effectively taught this program to my team members and me. The program is drag-and-drop and works excellently. People pick up on how to use it efficiently, and it's great for organizing ideas more freely. This product is more challenging for some older audiences who are not accustomed to using a touchpad, but for most, it was very easy to use.

There are a lot of bells and whistles in Wrike, and not all of it is easy or intuitive to understand once it's plopped in your lap. Both FigJam and ClickUp have similar features where we can do collective brainstorming and idea mapping. We have gone back to Miro from both of those platforms because of the intuitive nature and usability of the Miro interface. Surprisingly, we do still pay for ClickUp and Figma. Miro has not been able to replace either of these for us because we use them for different use cases. Our team expressed the most comfort and ease of use with Miro versus these two platforms, so we gladly have decided to stay.

  • Miro allows me to plan work for the future without having to reference tedious spreadsheets. This gives me better insight into workload forecasting.
  • Just today, I was able to quickly put together a Miro to show a team member who was confused the workflow for a problem. The easy 'on-the-fly' tools let me create something quickly in real time.
