As with any tool, the success of it will be dependent upon the attitudes and desires of senior management to use the tool. Without executive buy in, the success of the implementation would have failed for us. Ultimately, I see our relationship with Planview as a long term relationship where there will be ups and downs, but in the long run the vision of where there are going is aligning with where we want to go. Regarding specific scenarios, from a functionality standpoint, Planview Enterprise is well suited for both large and small organizations, as well as organizations that have resources overseas. Having worked in multiple industries, Planview Enterprise would be a strong addition to any organization trying to build or strengthen their PMO or just their project management processes and project tracking in general, regardless of industry.

Pros

  • All the hard work of trying to build a solution in Excel is done for you. You can create links to simple mobile-friendly forms and datasheets and it builds input forms automatically that can then be easily customized.
  • The relationships across tables are robust and deal with changes to fields and tables without the need for intervention or maintenance (like a proper database).
  • Initial set up and use require a minimal set of IT skills. Coming with an array of pre-built templates and the ability to import your existing spreadsheet and customize and fine tune it from there into a database
  • They don't contact me every day trying to sell their product (probably because they don't have to).

  • Planview's investment and capacity planning capabilities are a strength of the tool. We are able to use this info on a regular basis to make decisions around what work to approve and when to begin the work.
  • The user interface is excellent, easy to get around and find things.
  • Planview's RPM reports (out of the box, configurable reports) are great. They give you a starting point and answer a lot of the questions that our stakeholders have.

Cons

  • A little more customisation of the forms would be fantastic. The interface is simple and helps avoid making problems for yourself, but being able to take out some of the white space and select different fonts or show basic formatting would be a good addition. But such is Airtable I am likely to find out with the right knowledge you can.
  • Not being able to connect "Bases" together. This can be addressed by building all tables you need in to one base and remembering you can always export the data out somewhere else if you need this level of integration.
  • If you are a larger or growing organisation, Airtables flexibility and ease at replacing spreadsheets needs to be managed (or you could replace your uncontrolled Excel addiction with an Airtable one).

  • Managing a work breakdown structure with predecessors, etc., is a lot of work. Too many clicks and not intuitive.
  • My biggest complaint is that you cannot update resource attributes in a resource portfolio (column set) like you can in work. The administration of resources and users is very time-consuming.
  • Along those same lines, you have to set up resources and users separately and cannot copy or anything, this would be a nice feature as many resources/users mimic others.

We have been a Planview customer since 1999 and have seen it grow and mature as a tool. We have looked at other tools and have found that PV continues to meet our needs and is easy for our resources to use. They work to stay up on the project management industry and the direction it is going, keep on on current technology so that we can work more effectively, provide excellent customer support and have great pricing for what they offer. We can purchase only the modules we need versus buying a tool where we would only use a portion of the functionality.

The previous version didn't have as many rich features available on the web (right clicks, sub-menus, etc.) that would have sped up productivity on many screens.

We are long time Planview users and its availability is only limited to our internal SLAs for nightly backups. I have never experienced any unexpected or prolonged software downtime from Planview itself.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Always have a pre-implementation meeting or conference call with Planview to ensure all are on the same page, disclosure of all and any customization (including reports) and plan for support after implementation of a specified amount of time with the assigned implementation resource. And document everything

Alternatives Considered

It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve.

Clarity PPM. I prefer Planview for the following reasons:
  • Better user interface.
  • Better customer service and issue resolution.
  • Reporting is top notch. I don't remember Clarity providing any out of the box reports.

Return on Investment

  • Airtable allows us to significantly reduce staff time required to run a research proposal review process, which has a high positive ROI.
  • With Airtable, we're doing a better job at tracking which research faculty works with each other so we have an idea of collaboration opportunities.
  • Airtable will improve our organization's knowledge retention.
  • Airtable will help us improve the service we offer research faculty by better tracking them as individuals.

  • Unable to provide - most of our data is garbage. Because of resource management, most users either take the easy way out and just submit their time to whatever project is easiest or just don't submit their time at all. If Planview (PVE) could make PVE easier to use, I sincerely believe our data would be better because users would not be so against it.
