Airtable

Many business processes can be improved with a collaborative relational database, but few know how to create and use one. It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve. The combination of a minimal learning curve and features make Airtable a win. I've already recommended it to colleagues at other universities who've started using it.

Planview Enterprise One (formerly Planview Enterprise and Troux)

A company should have a strong grasp on their planned use cases before purchasing a tool with as much capability as Planview Enterprise (PVE). This will help ensure that they are picking a tool that matches their enterprise roadmap. For example, if time reporting is the primary use case, then PVE would be a very expensive timesheet when there are many less expensive and less complex tools that would do a fine job in this area.

Pros

  • One thing Airtable's power comes from is the fact that you can relate databases to each other. So you can have one table for your organizations that you work with, and another separate table for the contacts within those organizations, and then tie them together individually. After doing so it is very easy to jump between the contacts and their organizations profiles, and switch as contact to a different organization instantly. Very powerful when you have multiple contacts within single organizations, or any type of multiple data points that are linked to the same record.
  • Another thing that makes Airtable powerful is the views. You can filter, sort, and group a big table to show only the things you want to see at a particular time - but then save that view, and many other views, for later use. That way you can switch between different views of the same data on a continual basis, easily and quickly. Or different people can have different filters and sorts and different columns showing on the same table without interfering with each other.

  • Reporting - It allows users of differing levels of product/data understanding different ways to get to the data they need using tools including tiles and reports in the app, a portal for more standard reports, and an excel add-in for more technical users. And, of course, the capability of querying the database
  • As a cloud application, our downtime has been negligible. It's great having a company managing the application so we don't have to worry about patching and downtimes and the like. They do a great job as a partner of ours in keeping the product accessible and stable.
  • The all in one package for Project Management is one of the best parts of Planview. We capture all manner of reportable project information in Planview and use it in our project, team, and executive level reporting.
  • Being a flexible tool for adding fields and customizing screens within a SaaS solution was one of the primary reasons for product selection as well as one of the reasons for on-going product adoption, satisfaction, and expanding usage.
  • The people at Planview are a core strength. When I have a question or an issue, they are always helpful. They have a can do attitude and regularly are willing to go (and often do go) the extra mile.

Cons

  • I'd like to see the forms capability have more features. For example, with richer forms features, we could use Airtable to solicit and manage applications from individual students who apply to our programs.
  • It might be helpful to have some sort of automated fill in for dates and times. It would be great to have less clicking and scrolling to select dates and times. For example, an end time could auto-populate as an hour after the start...or even if the default start time was 8 am or some reasonable hour.

  • Data entry of scheduling information is cumbersome. PVE13 appears to be making improvements but it's still not as simple as Microsoft Project to enter and edit tasks and timelines.
  • Like many PPM Enterprise solutions, PVE does not offer the ability to plan work using a PERT chart format. Our planners have adopted PERT for early planning efforts so this is a real handicap planning in PVE.
  • Adding a Critical CHAIN planning methodolgy would provide a key feature that none of the Enterprise PPM tools offer. Our organization has used Critical Chain for years and finds it valuable to deal with the variations that are typical in most high risk new product developments.

We are long time Planview users and its availability is only limited to our internal SLAs for nightly backups. I have never experienced any unexpected or prolonged software downtime from Planview itself.

Always have a pre-implementation meeting or conference call with Planview to ensure all are on the same page, disclosure of all and any customization (including reports) and plan for support after implementation of a specified amount of time with the assigned implementation resource. And document everything

Return on Investment

  • Time saved in developing our in house employee management tool is massive! Was able to create a full-fledged HR system in 1 hour, v.s. at least 4-5 hours using Google Sheets or creating a custom web-based solution
  • We have also implemented it for managing our in-house PR process for managing journalist relations and task management for PR activities. This is in the process and we are yet to do a formal ROI analysis here
  • Project Management - We earlier were using a clunky and difficult to use software to manage our projects, but Airtable seems to be a great option for improving productivity and ease of use by at least 30-40%

  • Quicker impact and IT data analysis do you a central repository. Faster then sending out inventory lists for managers to fill in about IT systems.
  • Better insight into under-used systems or licenses, ideal candidates for cost reduction
  • Hard to indicate ROI, it speeds up different use cases which are not known upfront.
