It is well suited when you have several sources of data.

SAP Crystal

I'm biased because I've used Crystal for so long and there's very little that I've needed to do that I haven't been able to do with it.I particularly like being able to write my own queries instead of having Crystal write them for me. With this feature, I've been able to do some very complex reports this way. I could have done most of these reports by linking tables together in Crystal and using Crystal's filter and suppression features, but putting the logic in the query means that Crystal is processing less data so the report is faster.Crystal is less suited for showing graphs, unless you just need very simple line or bar graphs. It's also not really suited to doing ad-hoc reporting for most users because it is more technical than some other reporting tools.

Pros

  • Easy to use
  • Focus on analyzing and not on finding and loading data
  • "One version of the truth"
Christophe Wins profile photo
  • The integration using the connection as ODBC, Microsoft Access, Microsoft Excel, etc.
  • Price is relatively inexpensive compared to other tools on the market.
  • Create complicated reports with the ability to adjust display and format to the level of detail that only financial experts can easily manage and get the most of those reports.
Victor Arana profile photo

Cons

  • I would like to have more modules. Eg. : supply chain tool.
Christophe Wins profile photo
  • Although the reporting structure is highly customizable, it is essential to have a developer who is well versed in coding the reports for you in SAP Crystal Server. This isn't so much a problem with SAP Crystal because in order to get customizable reports, you really need to know how to work the system which is very flexible.
  • Data security needs to be tweaked within each report for different audiences and so if you need different vendors or deliverables to have different security settings, then you need to set this up within each report that you generate.
  • From what I hear about how the licensing model is set up, there is a bit of layering confusion. Apparently, once your business licenses the software, you must then create different licenses for various users and vendors. I could see this getting confusing especially with different add-ons and multiple users.

I've never seen its equal. Other tools either require a complex meta layer, require IT level users or don't have the distribution capabilities that are affordable for all companies. It is hard indeed to be all things to all people but when it comes to reporting, Crystal is just that.

Crystal is very robust, but not always easy to use. It create wonderful looking reports, and so deserves a high rating. However, I have to take a couple of points off for the simple fact that I cannot hand it to a user and expect them to be able to do development with it.

SAP doesn't actively support SAP Crystal Reports unless you have other SAP software, although good support is available from some SAP employees along with volunteers on the SAP Community site. (I'm one of the people who answer questions there...)

It is not widely adopted; Crystal Reports is a niche that is allowed to co-exist with the Cognos corporate standard. If it came up for a vote, Crystal Reports would not be adopted.
Greg Gurr profile photo

Alternatives Considered

Cognos is very expensive and needs heavy IT-team to implement it.
Christophe Wins profile photo
It offers a balanced set of features and flexibility with a relatively low cost. Database connectivity makes it very useful for statistical analysis of your data. It's all about impressing the clients or higher-up people, such as the boss and it does that definitely. The difference between creating dull reports and really nice ones is huge when you see what it can do for your business. Also, the feature of converting it to PDF or Excel makes it more powerful.

I am not sure what is meant by Report security. You choose who the report goes to and who its doesn't. Your security of that report would depend on the type of file and would require you setting that after the report has been created. Click export and you can choose whatever file format you desire. It has the ability to create the major ones (PDF, Excel, Word, csv, etc.) There is no automation of reports built into the software and to do so required purchasing a third party software for cheap ($25.00 or so).

I am always working with real time data and Crystal works flawlessly as long as you uncheck the 'Save data with the report' option in the file menu. The Crystal has options to connect to all sorts of different Data types the one I use most often is ODBC and Crystal has no issues. If you have access to a SQL data base you can write your own queries to pull the data however you choose.

Return on Investment

  • Employee Empowerment - Now that our Crystal Reports are written and published, all of our team members have access to run the same reports across the company. Previously, there was only 1 point person in charge of running reports, which took a lot of time away from other job duties.
  • Increased Employee Efficiency - One of the Crystal Reports my company uses has allowed me to take a task that took 3 days to complete and cut the time down to 4 hours. There was a lot of manual data collection and calculations that were done, which has also led to less errors.
  • Accurate real-time data - Since Crystal Reports are very quick to run, we are able to give real time data to our customers rather than maintaining oudated databases in other systems such as Excel.
