Basecamp is a wonderful tool for teams of varying degrees of technical knowledge, teams managing lots of different types of "agifall" and waterfall projects, and teams that are remotely distributed. It's probably less useful for more strictly agile-focused development teams, compared to other more flexible software applications like Jira and Asana.

The platform has a good deal of versatility and extensibility, but I do not feel it is well suited for anything too complex. More complexity seems to bog down performance and increase maintenance to keep everything humming. As much as possible, avoid creating too many bespoke workarounds that will end up creating tech debt. The platform seems to work best for more straightforward scenarios and smaller to mid-size companies. Pricing can be reasonable for specific teams, but can feel a little too pricey for company-wide usage. It has served us well for the early stages of our company, but we find ourselves offloading the more complex use cases to other apps specifically developed for those, and reducing to just those teams that are more deeply embedded in the functionality.

For instance, multiple people can be in Smartsheet working at the same time. Also setting permissions for exactly those who need to know is quite easy with Smartsheet.   • Its hard to overstate the value of familiarity. Being able to use a tool that has some familiarity takes away the time needed to train and orient employees on a new tool and allows an organization to hit the ground running.

  • For data viewing, you get multiple data viewing options including a calendar view (good for marketing teams and those who work around scheduling), Kanban, Gaant etc

  • High Learning Curve. It's true that it can be easy to use, but to use well and effectively takes some time to learn. It's recommended to have an agreed-upon system in your team of what tools to use and when.
  • Notification Overload. If people aren't careful they could send a notification to everyone when only a couple people were meant to be prompted. And since emails are sent by default, you could have your mailbox overloaded with unnecessary updates. This is where it takes a bit of training in your team to have an agreed-upon system.
  • Lack of organization with Archived Projects. I will often need to reference an archived project to make a new one, but there is only a list of archived projects in alphabetical order, with no way to organize by archive date, or even search.

  • I would like to see our company logo show up larger on the form feature.
  • I prefer the version of the form they have now instead of the new version for 2025. The current form shows the questions in bold font, and the new version does not. This may mean it could take our volunteers longer to get to the pertinent information on the form.
  • It would be nice if monday.com staff had monthly webinars showing how to use some features. such as, using formulas effectively.

  • Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
  • Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency

I don't have to worry about teaching them the features or walking them through it, it's just incredibly user-friendly. It can only get a little cumbersome to ensure that a client can't see certain documents you might want to keep in the Docs & Files folders. I give monday.com a 10/10 because I almost never encounter any lag or connectivity issues despite all of the many templates, boards, and automations we have. As a matter of fact, I feel like the last issue I encountered was over a year ago... and I'm in monday.com every single work day. Not only is monday trustworthy, it is easy to find what I'm looking for... making the overall usability extremely hard to beat.

I've never experienced downtime while using Basecamp, or been unable to access it when I needed it. That's not to say they've never had downtime, but I've been lucky enough not to encounter any, and I work odd hours, including late nights when maintenance is often undertaken.

Everything performs fairly well. Every now and then there are user errors where an employee will not click "ok" on a note they've created and simply exit out (I do wish that something was in place to prevent this, such as a pop "are you finished?")

For the many reasons I've given, Basecamp is a very strong program. There are a few features I can imagine that might make it even better, but I don't have a basis for comparison to be able to say that there is definitely a better one out there. I've noticed that Basecamp has evolved a bit from the time I started using it until now, so that makes me think that the producer of this program values it and believes in continuous improvement. If you could use the features offered by Basecamp, I would think you could use it with confidence.

monday.com only really care about accounts that have 20 seats or more. While this is great for monday.com, it pushes smaller organisations to evaluate alternatives. We rate monday.com highly in our organisation because key staff have already got good experience with the application and we know we will get to 20+ seats one day. But, till then the billing model and lack of permanent enterprise features is a dread.

I give this rating because it fills a niche in the market. MS Project scares many away from proper task management but there are limited tools our there, especially cloud-based that are mobile-friendly. Smartsheet fills this market gap, especially for small to medium-sized businesses. IT is not fair to compare it to MS Project, but fairer to see what gaps it fills.

Someone also coming along later in the contract to see if you are maximizing the program to suit your company needs is beyond helpful. The staff that have provided this training are fun, creative and very patient.

We signed up for the accounts. Created the accounts. Ran the trial version and tested it live while we were running multiple projects and found that it was fitting our needs perfectly. When the trial ended and we were asked to purchase the full version, we did. We have found other ways to use it and it's a breeze.

It's absolutely paramount to take a few minutes to actually play with the software. It's nearly impossible to do anything wrong or make a mistake which cannot be fixed easily. Under the help menu is Live Training option. After you familiarize yourself with the commands, watch the live training for some in depth understanding of how to make the software fit your needs perfectly.

Pretty good, but [Basecamp] has its drawbacks. Honestly I find the interface non-intuitive and sometimes have trouble figuring out how to change the status of a task. Perhaps it has something to do with the way it was originally set up by the admin, but I'm not sure. I liked Jira's drag and drop obvious functionality, but the project management side of the software was lacking. Smartsheet has excellent project management functionality, but the task management isn't as good.

monday.com is cleaner, offers more customization and is easier to design out with a team project focus in mind. With the ability to automate steps as well, it is super easy to move tasks along, have stages auto-update and to go through my personal to-do list of tasks to get things done.

Jira and Redmine are much more robust and technologically advanced project management solutions. I enjoy using either when managing a very large project. However, I prefer to use Smartsheet for my smaller to medium sized projects. As for Google Drive - I would say that Google sheets and Smartsheet are almost identical in my opinion when it comes to functionality. Personally I prefer to manage smaller projects via Google Drive, but it is a personal preference!

  • It has saved me time when having to get the same message out to multiple restaurants
  • It has helped us make smarter operational decisions because we can all collaborate on an answer in a shorter amount of time (instead of calling a meeting!!!)
  • The calendar function allows us to plot out our marketing agenda for the month and add/change it together as needed. The chef will post his recipe, the managers will cost it out, the social media manager will post pictures on it, and ultimately we will get that information out on an info sheet to the staff by printing the page.

  • Much easier to review my prior month and report to clients on work completed; easy to extract the information and work done to Excel to add budget tracking etc - I see this is possible in monday.com and I will investigate how/if this is possible on our current plan.
  • Very fast and easy set-up of Boards.
  • Still lots to learn and grasp - many more opportunities to become more efficient using monday.com. I'm only just getting started.
  • The initial automations are quick and easy to set up, and if set up correctly.
  • My month-end client status and progress reports are now more accurate, and I can keep track of all the information in one place (inside monday.com).

  • This has really opened up collaboration across teams. A lot less working in silos.
  • It hasn't fully replaced any one tool so it means having to go to another place. Hopefully, we can eliminate a tool or two in the next six months.
