I use two different instances. One is for an agency, where I project manage campaigns and projects in Marketo, assigning work to other team members and tracking time. The other is for my freelance operations management business where I have 5 clients and I work by myself and use ClickUp to track projects, tasks and time.

Pros

I really do think they do a good job of minimizing how much you have to click to do things!
There is so much functionality and customization available so I can build out projects and tasks however I want
I absolutely love the board view and sorting by due date, so I can see what is due now and drag things around. And I love being able to filter and save views so I can have a different one for each client. I would not be able to manage everything without it!

Cons

The time reporting on mobile does not seem to work. The time always displays in XX:XX:XX:XX format which does not make sense. There is also nowhere to filter the time that displays so I really have no idea what timeframe I am looking at.
Tags don't always show up, I have to create them again and then the system usually figures out it's the same one. the colors also seem to change randomly on the tags.

Before ClickUp at my agency, we were using spreadsheets to track our client work. ClickUp made it all so much easier and more effective.
It helps me track down to the smallest details so I don't miss anything, and it is easy to view the information I need when I need it
I don't really have quantifiable numbers but I can't imagine going back to spreadsheets or what other terrible alternative we may be using otherwise!

I use ClickUp to manage my sales pipeline including prospecting, deal progress, onboarding, and daily task planning. I use the custom fields and AI logic to help me keep a pulse on the pipeline and my performance metrics. I also use it to keep whiteboards and docs of reference workflows and SOP's which has been massively helpful, as well as document bases to manage client deal rooms, resources, and insights. Being able to DM AI agents and Brain has been massively helpful as well.

Pros

Visualizing your work in a digestible way, far better than the default tools my company suggests we use.
Easy intake of projects/tasks and working on the fly in conjunction to desktop work.
Cleanly structuring knowledge bases and being able to use that info in your projects and tasks/deals.
Flexibility in being able to build the workspace around your personal workflow, without it being fragmented or confusing.
Keeping all context about deals/tasks/projects intact and easy to access with simple workflows.
Being able to run the same abilities of so many other business tools, all in one place, in a far more connected and simplistic way.

Cons

Maps functionality is basic, would be great for it to help with routing logic and daily planning.
Keeping track of task default locations when working on the fly can sometimes be hard to keep track of, but that's mainly an issue with me letting my AI's via MCP boat the workspace structure.
Permissions can be confusing and buggy, so you need to monitor and plan them really intentionally; sometimes they'll get mixed up, and your permissions to add fields, delete/access items, etc. can get buggy.

I use it for project management for my marketing team, keeping track of tasks. I like the priority tags to help make sure we are working on the right stuff. We also use the due dates. I also like that you can assign different tasks to multiple people if needed, I hadn't seen that before on other pm software.

Primarily I use it for project management in my boutique marketing agency. My small team is made up of remote contractors, so ClickUp has allowed us to easily collaborate on projects and keep track of tasks while working in entirely different states.

It helps keep things consistent across projects with its templates and automations. It also helps us keep everything we need for a client/project all in one place. Being able to link related tasks and documents, integrate with Canva and Google Docs, and have chat channels tied to each project has made everything super easy to find.

I also use it for team management. I use lists to keep a library of tutorials, resources, and SOPs. I use docs to keep all of our SOPs in one place that's easy to navigate. I also love that I can see a breakdown of everyone's workload and activity so I can assign tasks accordingly.

Simplifying UI — many of my clients find it too overwhelming to use.

I use ClickUp as a project management system, CRM, and firm management resources. The main business problem ClickUp solves is organizing firm clients, their information, our communications, and their document files into one consolidated place. Secondly, I solved the business problem of needing to track leads and contacts from initial contact to client and referral partners.

Pros

Tracking email communications externally per client projects.
Directing internal communications to specific projects and tasks.
Keeping a list of tasks that need to be completed and organizing them by priority.
Automatically adding a notetaker to meeting calls and summarizing next steps for those calls.

Cons

The AI synthesizing cannot parse through large amounts of data to get proper answers.
Emails can't be automated.
Tasks for managed persons can't be fully tracked.
Docs from AI Notetaker can't be automatically shared with other team members.

Return on Investment

ClickUp allowed my business' efficiency to drastically increase due to the consolidated project information, client communications, and task organization in one place.
It has increased my ability to visualize the effectiveness of my staff's work product and efforts instead of relying on their self-reported project completion.
