Overall Satisfaction with Workfront

  • Centralize projects in one solution
  • Manage digital work processes
  • Review and approve digital work
Many clients request for us to work on multiple projects. Workfront allows us to log in any and all projects (large or small) to be sure we accomplish the project and it doesn't fall through the cracks AND we are able to be sure we bill for our time on each and every project we spend any time on. It's an easy way to provide an end of the month billing report to accounting department and the scope of the project is clear. It allows us to stay on task and manage projects in a way that's more efficient that trying to manage manually as before. We were experiencing leakage in billing, Workfront has minimized that. We were always working on a deadline at the last minute, Workfront has minimized that issue as well.

Pros

  • Workfront contains al the necessary details and documents in one location for easy reference.
  • Workfront allows anyone within the company to review a project and know exactly what has happened through the work on the project and also the current status so anyone can pick up the project and work on it if need be.
  • The organization of types of billing is a great tool to be sure we charge appropriate rates for our time. Example: Wed hours are more expensive than studio/design work, so we are able to manage billing quicker and easier.

Cons

  • It would be nice if Workfront allowed a 'middle' category between a project and a task, so we can have subtitles to projects.
  • It would be great if Workfront could link to Outlook - our project orders come in through email, our project revisions come in through email, so we are always duplicating time in cutting and pasting each and every order or revision into Workfront system and then taking the update out of Workfront and pasting it in to an email, it would be great if that process could be streamlined.
  • Managing the end date for the project is difficult, the project status can't be in "complete-pending approval" if we want to push the finish date out further, so we have to adjust the status for the project, change the date and put the status of the project back to it's original status - sometimes we forget to do that after changing the date and the project goes into a place where the proper staff doesn't see it to manage it.
  • The rejection process is clunky. If the task is updated and then requires a rejection, it should carry forward the details from the update rather than requiring us to cut and paste the same information 2 times into both the update and the rejection.
  • Workfront has impacted our team and individual accountability for accuracy on projects.
  • Workfront has helped keep us on deadlines and timing for projects. We meet our deadlines 100% now that we use Workfront.
  • Workfront has helped us eliminate errors on projects by 80% so we don't have to do them over.
We reviewed 7 other project systems when we were reviewing systems to use. We decided to use Workfront 7 years ago. I don't remember the other systems we reviewed but I do remember that were we especially impressed by the customer service and responsiveness we received from our first contact with Workfront (when it was AtTask) as compared to the others. Our questions were answered immediately and testing was easy - so the fact that we were speaking to many other representatives for each of our systems we were evaluating, after the features we needed were identified, it was easy to see who stood out from a customer service perspective since we were interested in the proper support as we went through the process of using a project management system.
Yes, we benefit from the internal capability of being able to communicate many project and task details to a numerous amount of people working internally all at once - no repetition required. We have benefitted from the external communication by using the automated reporting feature to send reports weekly or monthly to clients so they can be informed on the status of their projects all at one time in a concise fashion.
Workfront is well-suited for our ad agency business because projects can be outlined and managed appropriately through the necessary process. I could see Workfront working well for any business that utilizes a project management system and needs to stay organized. A developer in construction projects, or an interior designer could make use of this system nicely. Or a property management company could use the system to keep track of tenants and work orders, or a condo association for each unit's work issues or repair requests.
