It is very helpful for budgeting and reporting. I love how easy it is to automate reports and presentations. It can be more difficult to plan specific activities. It feels more high-level than activity-level. It shows totals rather than individual transactions (either past or future transactions).

Kepion Planning

The solution works extremely well for companies in complicated operations or with the ambition to forecast their operations on a driver based way or wanting to have the ability to create different scenarios based on external or internal drivers. It is a perfect piece of an existing analytical infrastructure (DWH/BI) lacking a planning solution on top.

Pros

  • Adaptive handles the concept of "versions" very well. This makes budgeting, forecasting, and scenario planning particularly easy. You can compare actuals vs budget, vs budget @ different rate, vs forecast or vs prior year all at the quick click of a button.
  • Multi-user, multi-location, multi-currency handled with ease within the system.
  • Adding or removing GL codes, levels or dimensions is really easy and is updated across the entire model.
  • The reporting writing part of the solution is excellent. Once the data is in, you can report any parameter against any other.

  • Customizable platform: Enables its users to handle just about any kind of budgeting scenarios tailored to each customer needs, whether based on drivers, allocations integrations with other systems (such as S&OP processes).
  • Easy integration with other systems: As data is stored within an MS SQL database it is very easy to integrate other applications with it for reporting, such as Tableau or PowerBI or from other downline systems such as S&OP.
  • Real-time: Enables the possibility to calculate bottom line results for all applications immediately allowing the possibility to calculate easily what-if scenarios.
  • Not stuck: within a single way of budgeting. as part of the beyond budgeting movement, companies have been creating a more driver-based high-level forecasting which is often a problem with specific budgeting systems that are locked within the P&L statement. Here you can make it as simple or as complicated as needed.

Cons

  • For reforecasting (e.g. doing 3 + 9 or 6 + 6), it would be useful to do constant currency analysis for versions that are "hybrid" (i.e. contain actual and plan data). At the moment, the virtual version functionality only works properly for actual or plan only versions.
  • We are a company going through a process of changing financial years and trying to plan over multiple financial periods of different lengths. I have found it very difficult to handle this in the system elegantly.
  • It would be good if there were more "template" models for various common business scenarios (e.g. sets of standard modeled sheets available for personnel and fixed assets) or sets of standard cubes for revenue or projects.
Andy Clifton profile photo
  • Silverlight functionality is outdated which makes the front end solution a little bit old compared to latest UI. They will be tackling it in Q2 2018, but it leaves users wanting for more.
  • Reporting functionalities: Are not state of the art, we recommend users creating official reports within Kepion, but focusing on Tableau or PowerBI for reporting purposes as this is not and will never be Kepion strengths compared to the likes of Tableau.
  • Being customizable is great, however, the solution is not an out-of-the-box solution and does require a little integration to work. For smaller companies (under 5M USD) I would still recommend Excel.

Support requests are always handled promptly and resolved favourably. Many user support requests arise during initial deployment and use and often represent questions relating to best methods or how to approach their particular situation, which we gladly assist with as we provide the appropriate skills transfer training and assistance. As clients become more knowledgeable in working with the product suite then they tend not to ask many questions.

Implementation

Adaptive Insights8.2
Based on 13 answers
Although having a set of spreadsheet and workbooks helps to define the logic and processes, preparing a requirements document is also an important element in a successful implementation. In addition, dedicating a knowledgeable user as part of the "Scrum" development allows focus and permits the implementation to proceed without time loss and promotes knowledge transfer. Finally, having an onsite developer speeds the process and can reduce the overall cost as well.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

We previously only used Excel for budgeting and reporting. We now use Adaptive for all budgeting and use an add-on product called Office Connect to build reports that automate our data each month. We find the Office Connect reporting a little more user-friendly than the in-house reporting feature.
Amy Kee, CPA profile photo
We are a Microsoft gold analytics partner. As such, we were looking for a Microsoft friendly solution which would fit into our analytics stack with Tableau on top. Kepion is a lightweight easy to use solution which integrates perfectly with the Microsoft framework. It is much easier to use and intuitive than the heavy Cognos and SAP/BO systems. However, if my existing infrastructure is Cognos, SAP or Oracle I would consider using that technology. For Microsoft SQL companies this is a great choice.

Uses the MS SSAS security functionalities to control access to who does what and then has a second layer with dashboards. It works very well in doing this with both AD and Azure capabilities for connections

As Kepion uses a Microsoft SQL Server it's very easy to integrate other tools into it. You can paste from Excel or import CSV manually. It is perfect to read data in or export data from the tool.

Return on Investment

  • Adaptive offers plenty of flexibility with what-if scenario modeling. It's very easy to save different versions of the plan/forecast and to control access rights to the versions. It's possible to hide versions from all users or to set them as read only.
  • Adaptive makes month end variance analysis very straightforward. Comparing actuals with budget/forecast is quite simple and efficient. It's easy to do a high-level comparison and then to do a deep dive where needed. Also, the budget managers can perform their own reviews simultaneously.
  • We've been using the software for 5 years and our budget/forecast cycles change all of the time. Adaptive offers the flexibility needed to create rolling forecasts that extend out several years. However, I wish that it was easier to roll forward historical results into future periods - there's a mix of actual/budget data that gets rolled forward and there's a lot of editing required to arrive at a baseline budget.
