Well suited for projects where a large number of files need to be securely exchanged with clients. Not very suitable if the engagement does not involve heavy data exchange. We have used it in multiple M&A and due diligence projects and it works like a charm. I strongly recommend DealRoom

Very well suited for data room usage. Great for project based work where you have a specific group of people who are located worldwide that you want to collaborate with together. Very useful for sharing large documents with virtually anyone. Probably not appropriate or useful for small group or one on one usage involving documents that can be easily emailed (smaller in size).

Pros

24/7 help desk is the top differentiator. Every help desk agent I've interacted with has really known the product end to end.
Cross-platform compatible with no plug-ins, software downloads needed.
Beautiful UI, looks very professional
Reporting at the page level (with timestamps)

Fixed cost pricing is unique and refreshing. Saves headache and worry throughout the process and with the client.
Internal Diligence Tracking through the requests feature is a game-changer. Prevents inefficient excel trackers and unnecessary emails throughout the process.
GUI and interface are clean and easy to use.
Customer support and response to inquires is timely and helpful.

DealRoom doesn't currently have an option for automatic weekly user analytics. I hope to see this feature implemented soon.
The software is easy to use, as mentioned before, however, utilizing the setting buttons for folder structures can be difficult to understand at first.

Alternatives Considered

I prefer Firmex. They have a strong search function and a user interface that makes it easy to identify new documents. Merrill is robust and offers the same basic tools, but I find its interface less intuitive.

DealRoom provides a superior product. We select DealRoom for most of our engagements mostly due to the advanced Due Diligence capabilities that it provides. However, the ease of use, speed, and simplicity of the product are also factors that inspire us to choose DealRoom as our "go-to" provider.

Intralinks is more robust and has a more professional user interface. I use both products but I would default to intralinks if it was an important project involving outside resources or partners. Box I feel is perfectly suitable for internal projects that involve department members or multiple company departments

Merrill DatasiteOne has had a positive impact by allowing us to review large amounts of documents under tight timelines.
Really it is just a tool to serve the larger business objective of completing due diligence for our clients.
I don't think I've ever had a negative experience when the target has elected to use Merrill DatasiteOne for their datasite.
