Why I choose and have stuck with Shortlist, despite a few setbacks

I use Shortlist every day to manage our freelance vendors. We have thousands of vendors across the country in every major city and all states. We use shortlist as our payment system and as our project management system for these vendors. Shortlist allows us to collect bids in the same location that we pay our vendors based on their bid/project amount, and also provide them with the project details all in a single linked system. The ability to have all those very different pieces live under one digital roof is helpful.
  • Managing payments.
  • Managing year-end tax documents.
  • Allowing for minor customization to profiles and platform.
Cons
  • Shortlist only allows for minor customizations to their platform. It would be great if each company could create their own view/usage set for the system.
  • The help chat box needs some work for sure. It takes days for someone to respond if they ever respond and often there is nothing they can do to remedy the issue at hand.
  • Payments should be able to be made every day, not just on Fridays.
We haven't found another system that can do all that Shortlist can do (payments, tax paperwork, profile management, project management, on-boarding, etc...) but it doesn't mean we always love using Shortlist. Shortlist is cumbersome to work in and requires LOTS of redundant clicking. Something as simple as being able to right-click to open on any profile/page/account/link would save hours in a week where as now to get to two side-by-side items on some lists, you have to click back a page, re-load, and scroll down to select the next option. I appreciate that Shortlist manages all the tax paperwork and has created for us a on-boarding system that flows nicely and allows multiple team members to manage their piece of the process.
  • Overall shortlist has helped us because we don't have another way to collect and accept bids, create project information, and conduct payments and contracts with vendors.
  • The negative side is the extremely time consuming nature of navigating through the platform. It takes hours of team members' time to complete simple tasks.
We've never found another platform that does exactly what Shortlist does in terms of payments, taxes, project management, and on-boarding. We use other sites to source our new vendors (like Indeed, craigslist, etc...) but ultimately we direct all those applicants to our onboarding in Shortlist. I wish some of the more "minor" platform issues we've had over the last year were fixed sooner (or fixed at all) but it does the job!
I've found Shortlist support to be at very best, mediocre. They take up to days to respond, if they respond at all. We message them every day with the same issue until they eventually respond. They seem to never be able to fix the issue at hand so much so that we don't feel value in even reaching out to them, other than to just let them know that there's another issue. The support team responds in a friendly manner, but when they're always saying NO to our requests or presented issues, the friendliness doesn't seem to matter.

Shortlist is used by our vendor services and client success teams to manage our internal vendors/employees. We use it to distribute project information, to collect bids on projects, and to pay our vendors/freelance employees. For our vendors/freelance employees, Shortlist is the only platform they use to interact with us. We have the platform branded so it looks like our own platform and we call it The Collective.
  • Shortlist allows us to pay our freelancers without having to personally manage the back end paperwork of payroll
  • Shortlist handles all the year end tax paperwork creation and distribution
Cons
  • Shortlist's chat box is not great. They are super slow to respond and when they do respond (if they ever respond...) they are over-the-top friendly and never seem to have helpful answers. It's become so bad our employees don't want to even try to ask the chat for help fixing something because they know it won't lead to any solutions.
  • Shortlist's payments are not great. Payments only process on Fridays no matter when you create and approve the payment.
I think Shortlist is well suited for a simple company that doesn't need to pull much data from their employees (the BI tool is only available for the high-spend accounts although it seems absolutely ridiculous that any company paying for any platform would be unable to pull data on their own people in the system). Shortlist is great for what it does, it just seems to be limited. I think the groups feature is quite cumbersome and often it seems that the "upgrades" made are not actually an upgrade, but a hindrance. For example, the IM style sending of messages within a project, but not within other areas to send messages. It just leads to typing issues and is in a place that would never be IM style.
  • Shortlist allows us to pay people and provide tax information which is a positive.
  • Shortlist doesn't integrate with many other platforms which causes us huge delays in employee work time which is a negative.
We've never used another platform that does exactly what Shortlist does in terms of "sort of" project management as well as employee management. There are plenty of better project management software out there but the ability to combine the payment/bidding/employee onboarding piece with the project management part is just what we need for this part of our process.
30-40% of the time there is no response when you contact the chat/help feature.
30-40% of the time if they do respond, it is to say they can't do anything about the issue.
Maybe 20% of the time the chat is actually helpful, but that seems like a high estimate when I think about my experience asking for support.
