Overall Satisfaction with Apricot by Social Solutions
We serve victims of domestic violence and sexual assault. We use Apricot to track crisis hotline callers, residential and non-residential clients and rehousing clients. in 2021 we answered 1,841 crisis hotline calls from people seeking services. We provided safe shelter to 372 individual clients, with 5,862 of safe nights in shelter. We served 202 non-residential clients as well. Apricot tracks services, financial assistance and demographic information that is requested by multiple grants we receive. I've built forms under our client profiles to better streamline requests for services and assistance provided. We track engagements in the community, such as tables and booths at fairs, fundraising events, community education, media coverage, and professional training for outside organizations. We use the Reports section to show staff what data has been entered incorrectly or is missing. I've built reports to turn in monthly, quarterly, and yearly reports to grant funders, and our Board of Directors, as well as collecting data for applying for new grants.
Pros
- Form rules are great to use the same form to track different clients served based on what options were selected.
- Email triggers keep supervisory staff aware of financial requests, transportation requests as well as hotline callers requesting specific services.
- Customer Care is always quick to reply to requests for assistance and give detailed answers in a timely manner. They are always polite.
Cons
- This may just be my problem, but being able to build a report to show household records and the clients associated with the household record.
- We are better able to track household income for the clients we serve. This is almost always requested in grant applications.
- Employees are able to work from home if needed because it is cloud-based software. This was not possible with our old database system, which was server based.
I am able to custom-build reports based on each grant report required. Our previous database did not have this functionality. My previous supervisor spent countless hours handwriting spreadsheets to track data requested by grantors. Now I am able to adjust the dates of reported data and get everything needed at a quick glance. I've built a client budget form so our staff is able to see at a quick glance a client's monthly income and expenses with the 'quick view' function. Or they can fully open the form and see in detail the income revenues and detailed monthly expenses.
As previously mentioned, a lot of grants are focused on supporting those who live at or below the poverty level. With Apricot, I'm able to find that information and put it all together in an exported spreadsheet. Other grants are focused on the underserved, such as LGBTQI, veterans, the homeless, and those with disabilities. Apricot tracks that information as well.
Our previous database was hosted on a server. It was called Alice. They quit making updates for Alice years ago and quit selling it all together shortly after. We were limping along on a server based database that could only be accessed by being on-site and plugged into an ethernet cable. The database was huge and took up a whole server on its own. It often crashed, and only one person knew how to reset it. If they were off work or not available, staff had no way of accessing client records. With Apricot being a cloud-based database, we are able to access it at any time from any location. I have not experienced a 'crash' with Apricot, and if Apricot is doing a systemwide update, they are good to let us know before it happens and the days and times to expect interment access to the site. They do these updates on the weekends and at night or late evenings.
