I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

Abila MIP Fund Accounting

Because I work in the FQHC world, I would recommend this product specifically for any business or end user within that field. This product allows people in this field to comply with federal reporting requirements, makes it easier to track grants, and allows for the slicing and dicing of financial statements in many ways which is important in this field. This product is good for most day to day accounting functions and is pretty robust as well for an FQHC. This product is probably less appropriate for large healthcare systems where you want to keep track of statistics which this product cannot currently do.

Pros

  • Tracks freelance resource hours.
  • Tracks multiple small projects and milestones within the projects.
  • Tracks budget information and scope creep.
  • It allows you to create folders in which you can scan invoices, business associate contracts, and contracts in general by vendor. This allows us to keep everything in one place digitally. The good thing about this is that it speeds up finding old invoices, and allows you to send audit selections to the auditor faster due to the items selected already being scanned in digitally.
  • MIP allows for the creation of distribution codes. These are nice as they allow you to charge out common costs to multiple departments in a quick manner. Without this feature, one has to key in manually many line items into the system each and every month. Plus this feature allows for consistency, and elimination of keying errors.
  • If you have the Chart of Accounts set up properly, this system allows you to better track items by departments, Revenue/Fund codes, Location, and by GL. This is important as it allows for better analysis, tracking and reporting.
  • As for the budgeting module, this is also nice as you have the ability to upload your budget via a CSV file or you can manually cut and paste your numbers from excel into the system as well. The key thing though is setting up your budget template to match the format in MIP when cutting and pasting.

Cons

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.
  • Sometimes pulling reports or building the reports to give you the results you want is difficult to achieve.
  • Creating budgets was a challenge at first as was updating those budgets when revisions occur.
  • We would like to see a copy and paste function added so when entering or changing descriptions you don't have to continually keep typing them over and over.

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

Since our system has been in place for almost ten years, we occasionally talk about doing a new implementation. We do not talk about moving to a different product. Abila has many options for support, including cloud support, that we can evaluate. The overall satisfaction between HR, Payroll and Accounting is high. We have taken advantage of training and have developed a good level of expertise and the program upgrade features do not require reworking our processes. We have not found the product to impede any of our process improvements and find new ways to utilize the features as time goes on.

When MIP is not available because of computer challenges my team freezes. They rely that heavily on it on a regular basis. It is the foundation of our entire cash management, budgeting, our entire finance accountability system. It is the go to for data to track vendors, use, customers over the last 15 years. It is one of the key bricks in our business management foundation. It has never let us down.

I highly recommend using a business partner for implementation. The business partners have implemented this product for numerous years and have a wealth of knowledge from working with various non profits and governmental entities. Some are close by and can provide on site training.

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it
I have used QuickBooks Premier for Non-Profits in a previous job, but not at my current position. They have used MIP for several years prior to me coming on board. QuickBooks was much easier to learn, but I don't feel it has as much functionality as MIP does with the use of multiple federal and state managements and reporting

I have had some issues with the software suddenly closing with no reason given.

Return on Investment

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.
  • Having all the modules in one convenient place has saved our company money as well as time.
  • Our finance team is much more efficient because of the combined modules, its a one-stop shop!
  • One negative impact is how long it takes someone to be trained to use the software effectively and efficiently.
