Able2Extract Professional

Simple conversions from Acrobat PDF docs that have been created by Word, Excel, etc., probably do not need this program. But if you are ever faced with anything more than simple, straightforward conversions, this program is definitely worth it and will save hours of work. I have not found anything else that even comes close.

PowerDMS

PowerDMS is suited for organizations that need a consolidated place for documents and training that provides the ability to easily track usage, task completion, and revisions. The ability to distribute documents to staff for signature and have that documented is a huge time-saver. For example, policies and procedures that should be periodically reviewed and/or signed off on can be maintained, revised, and distributed to staff all from withing PowerDMS. PowerDMS may be less suitable for smaller organizations, 15 people or less, where tracking can be done manually and the cost of the product may not support the benefits gained.

  • Creates editable spreadsheets from Excel documents that have been scanned.
  • Allows certain segments of documents to be selected for editing.
  • Allows bulk conversion.

  • PowerDMS has a very simple method of organizing documents in folders and for granting appropriate access to groups or individuals, as needed.
  • The user interface is very straightforward and easy to explain to new users.
  • The administration of users, folders, and other elements is very simple to navigate.

Cons

  • It's a little challenging to edit the row breaks.
  • Sometimes selecting all the pages in a document is cumbersome. "Select all" with custom conversion does not always choose all pages.

  • Sometimes if I get too deep into my folders I end up having to just return to the home page because backing up only one or two steps gets messy. This may be simply a user comfort level, though, and not a flaw in the system.
  • I have come across a few reports that I would love to have, and I am positive that PowerDMS would listen to user suggestions, but as of right now, there is no easy "suggest this" button or options.
  • I genuinely cannot think of a third issue/con that I would mention because we are always pleased with our experience with PowerDMS

The AS400 database was very old and did not offer the capability of uploading policies and having them signed off and recorded. This was the main reason the Orlando Police Department purchased PowerDMS. There were some things in the AS400 we could do for training, that we can not do in PowerDMS, and vice-versa.

  • I save hours of work when dealing with client information. It takes only a few documents for me to recover the cost of this software in time saved.

  • The biggest positive impact is 100% accountability. For a department that never had an automated Document Management System, I don't know how we operated without one before.
  • The only negative impact is 100% accountability, LOL. When someone is now held to task, they don't like the fact that with the click of the mouse you can show them, they know how we want it done.
