AceProject

It is well suited if you have a specific work force or are working in a production or an assembly line style environment. It is also well suited if you have small teams that have to get out a certain amount of product in set periods of time. AceProjects is great for monitoring how long each individual spent on their specific task and subsequently how long the team took to complete their work.

Clarizen

Clarizen got the job done with time tracking and expense reports, but it didn't do enough to make our organization continue using it. We ended up switching because the key stakeholders (resource management) were unhappy with its offerings. This might be a good fit for smaller organizations that require less feature and capabilities. Instead, our company switched to OpenAir, which has more robust time tracking, expense reports, and PTO accrual and monitoring programs.

Pros

  • Time Tracking
  • Resource allocation
  • Easy to implement, small adoption curve.
Kyle Culpepper profile photo
  • Time tracking functionality. This was probably the most important aspect of Clarizen for us, and as far as time tracking software goes, it gets the job done.
  • Expense report functionality
  • Backend reports and analytics of time tracking

Cons

  • Expand on data tracking
  • Improve report generation
  • Break out from just being a time clock manager.
Kyle Culpepper profile photo
  • Assigning multiple managers to work items
  • License structure supports anemic customization capabilities (Professional) or robust (Enterprise); nothing in between.

We found MS Project with Sharepoint and Office 365 was a better solution.

Sometimes it is slow when everyone is entering their time on Fridays or Mondays but other than that we rarely see downtime and maintenance notifications are well in advance.

• We worked with a Project Manager on their side. He was very good about developing a project plan to hit our goal. I think we had weekly or twice weekly calls – very steady cadence over 3 month period.
• Their PM skills were great – kept us on task. For the last week, they sent 2 people on site and they did training for power users. After that a couple of them revisited here

I performed the implementation with our Clarizen provide trainer, who knew the product 100% and it went quickly and without a problem. It was a pleasurable process without the problems other software implementation often encounter. Kudos to the Clarizen team for making this a worry free process for their clients because it is worry free.

The decision makers in my agency ended up switching back to Open Air because it was a much simpler way of having employees track time and seeing bookings and availability. It was less expensive and did all of what we needed it to do and none of what we didn't. It wasn't as overly complicated as Clarizen.

Return on Investment

  • We were able to track our production teams work and refine our methods to improve deliverable dates.
  • Once our staff reached a certain size the capability of the software began to lag. Diminishing returns.
  • The lack of reporting features made data regression and extrapolation difficult.
Kyle Culpepper profile photo
  • It helped us keep track of scheduling.
  • It helped us manage resources for projects.
  • It helped us know when resources were overbooked and we needed to delegate or loop in a freelancer.
