ActiveCollab

Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams. Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

FunctionFox

FunctionFox seems particularly well suited for tracking time where there is one billing rate for each individual rather than the scenario where one person is billed out to clients at different rates. It would seem to be most appropriate for smaller organizations (< 10 people) since those with more people would certainly need the ability to have it integrate with QuickBooks. For the price though, it's great for those smaller companies. As we've grown, we've found other applications that are more expensive and more highly adapted to Marketing Agencies in particular. Plus, we now track our expenses directly in QuickBooks vs. using that FunctionFox feature (since the two don't integrate, there's no reason to track them in both places).

Pros

  • Project Management - Makes it very efficient to manage projects using Gantt Charts, daily email reports and custom reports!
  • Collaboration - Allows to collaborate with team members, tag them in tasks, send files/attachments.
  • Task delegation - With just 2 clicks you can delegate tasks to other team members/users.

  • With only a couple clicks I can still easily pull reports by employee on a weekly basis which provide the information I need to run payroll.
  • I pull reports by client each month for our monthly client billings, which we have broken down by project so I can easily see how our time was spent on their account.
  • We set a budget for the approved number of hours we can apply to any one project for the month, and the system provides the project manager with a warning as the limit comes near. That function has been fantastic!
  • FunctionFox's Help Desk personnel are wonderful, providing an exceptionally personalized experience. They take their time, and will even schedule a call to go into greater depth, such as an entire account review just to ensure you're able to use all the product features to your company's best advantage. Our entire team jumped on a half hour call a couple months ago, and she answered ALL of our questions, including providing us with info on some features we hadn't realized even existed.

Cons

  • They don' do Gantt charts well
  • Integrations aren't awesome yet
  • They don't have task dependencies

  • FunctionFox doesn't have an accounting function built in, so isn't totally stand alone. The simplicity that brings to the program is great, but it might be nice to have everything in one package.

All of my employees are used to it and introducing a new software to them requires them to get trained again increasing the costs. TimeFox is an easy to use and understand software. Another advantage of TimeFox is that is an online software and I can access it whenever I want to.

It's a good tool for tracking hours and overall budget. It does not give you insight into why there are those hours, or what part of the project has over burned. The tool is also tough to export reports and find the correct information throughout. Not only this, but I also have a hard time changing project details - there's no real easy way to and there's a larger room for error

I haven't used FunctionFox for a lot of support requests. On the times that i've been having issues I've had the issue resolved within a day, most questions I have had i've been able to source answers online or from a colleague. From what I have experienced the support team seems great.

Unsure on implementation of FunctionFox - was before my time at the company. Everyone at the company had a good understanding of the product and how to use it by the time I joined. My understanding is we implemented ourselves with a few training sessions for the creative team and adding hours as well as training for the account team to add projects

Alternatives Considered

ActiveCollab is 100% better than any of the other tools we have used. We had previously spent thousands of dollars trying out different software that was comparable, but this has been one of the best decisions we have made as a company. It's also the cheapest ongoing option, especially if you get the self-hosted version.

Both products were very similar except in appearance.

Return on Investment

  • It has saved us a TON of money (literally thousands) in project management software.
  • It has helped us gain clients because we can show them the template of what they will see and give them access to it. When others don't have software that does this.
  • Positive impact on ROI based on the time it's saving compared to our previous PM software.
Chris Lesner profile photo
  • Increased employee efficiency
  • Employees being more aware of the amount of time they spend on a project versus what has been budgeted
  • Helped to make monthly billing more manageable
