If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

Power BI For Office 365

If you're already using Office 365, Power BI for O365 is an easy choice. Start playing around with the free version and then easily add individual Pro licenses with little risk. However, if you anticipate using this with many users, it can get expensive quickly.

Pros

  • Easy data import
  • Multiple levels of user security
Lynn Kutz profile photo
  • Data visualization - it's easy for users to visualize data using many built-in controls.
  • Distributing reports and dashboards and delivering in real time on the web. Reports can be updated in real-time and display updated results automatically to decision makers.
  • Pulling data from diverse data sources. Data can be pulled from a wide variety of databases, even flat-file text.

Cons

  • Licensing is a bear.

  • Like many Microsoft products, you can get by with a small understanding of the product, but to truly realize the entire potential does take a while to learn.
  • Hooking up SQL databases to the cloud version is a more complex than just querying right into the database from the desktop version.

I am no longer working for the company that was using Actuate but I believe they would continue to use it because the stitching costs would be to high. It would require a complete rewrite of the reports and the never version of Actuate (BIRT) even required an almost complete report rewrite

It is a cheap way of exploring data and comes with the whole Office 2013 experience, including Sharepoint. For a new company, it is hard to find a better deal.

Alternatives Considered

Actuate has a HUGE number of features that can tie nicely into almost any ERP but it takes some time to learn and the development community was relatively small compared to the Crystal Reports alternative. Crystal was far easier to learn and had a massive support base. Probably because it is now owned by SAP.

Much less expensive, particularly if your already an Office 365 customer.

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.

  • It's allowed us to better visualize large amounts of data.
  • It's an easy way to tie into an existing SQL database for users that don't know SQL.
