If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

Power BI For Office 365

If you want to get closer to the world of BI and work in a Microsoft environment you can definitely evaluate the tools of Power BI and see if they are right for you. I recommend you buy the PRO version otherwise you can not use the most useful features of BI. The cost is moreover certainly less than many other competitors.

Pros

  • In terms of extensibility this is the best reporting platform we have seen. You can build very sophisticated reports with different data sources, and extend the basic functionality with javscript code
  • Securing the BI system is also a strength and the system can be configured relatively easily.
  • Reports can be available on mobile devices
  • Good Javascript embedding framework does not require the site to be built in java

  • Ease of data import
  • Easy to learn the basic operation of the software

Cons

  • Report rendering can take a long time for large reports (250,000+ pages) - we run these in batch over night
  • The deployment of production code from development to test to production enviroments can be complex due to the number of components that must compile

  • I'd like to be able to use visuals based on different data sets in the same page.
  • The visuals are limited - I'd like to see a ribbon plot for example.
  • Would like to be able to use different data representations on the same visual. There's currently an ability to put lines on histograms but no ability to, for example, add points to a histogram or line plot. I understand some of these may be in development but you will never be able to create visuals for each possible combination. You need a way of combining two visuals into one - e.g. line and points.
  • DAX is very powerful but a bit complicated for some users. I think you need to make some of the functionality that's available in DAX exposed at the UI level.
  • The R visual gives the flexibility to plot a lot of stuff but it is limited by only being able to plot what's passed in the dataset.
  • You need a text entry box that you can filter datasets by.

If I were a small business owner, I would likely use Power BI for Office 365 for the sheer fact that I would get the Office licensing I need, along with powerful capabilities. As a Microsoft Partner, we continue to see Microsoft invest heavily in the Power BI capabilities, and will continue to implement and support BI solutions around this product, as we believe this is in the best interest of our clients.

Breadth of Deployment

We have about 2300 licensed users, but probably less than 1/3 actually log in during a quarter time. Less than 10% would be considered proficient users.
Lynn Kutz profile photo
At the maximum, we have had 10 users, of which 3 were data analysts. The others were consumers of the data.

Alternatives Considered

Actuate has been in the industry a while and the open source community make going with Actuate's BIRT a stable decision. Changing report engines can be expensive, so going with a company with a good reputation helps long-term

Tableau Desktop is a more mature product with more features but the price is what has stopped me going down this path.

Basic scorecard without iServer and Birt360 modules are extremely limited in reporting ability. Scheduling pushed reports also fairly technical

As long as each user has a Power BI licence, it is a 10 out of 10. However, it is harder to share with people who don't have a licence.

There is an ever-increasing range of data-sources, including SAP. Real-time is possible, but rather slow. Overall, it is hard to beat the number of different data sources it can connect to.

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.

  • It's allowed us to better visualize large amounts of data.
  • It's an easy way to tie into an existing SQL database for users that don't know SQL.
