Scoro would be ideal for a larger business who is truly interested in developing a stronger and more efficient workflow. I honestly would have recommended it had it not been for the cost, the hidden fees, and the fact that I'd have to upgrade to an even more expensive plan if I wanted to get the most of the program for our level. We only needed one item, so would have ended up paying much more to not use a great deal of additional features. So, if you want to increase your workflow and have the funds, use them - absolutely. You will not regret it. But I cannot recommend it to someone who is on a tight budget

WorkflowMax

WorkflowMax is very well suited for a business that wants to track time billed by project, to have an easy way to generate invoices for those projects, and to keep track of overall productivity and invoice status. I imagine it can also be adapted to different types of businesses that deal in goods rather than services and time. I am not sure for which scenarios or businesses the program is not appropriate.

WorkflowMax

  • Allows for fairly simple or elaborate project forecasting depending on the complexity of the job. This allows us to track time by a single project or multiple phases.
  • Time keeping and coordination with invoicing software has increased our firm's ability to issue timely and accurate invoices to clients. Has ability to break down projects in numerous ways to meet the needs of our various clients. This means we can invoice by project, phase, milestone, or dollar increments.
  • Interface is clean and easy to follow. The easier it is to use the fewer mistakes that are made when entering information. This is greatly appreciated.

  • Cost. I ended up not recommending this product simply because of the cost alone. There are hidden costs you will not know about until it is too late. Their pricing model is geared for bigger businesses, and can cripple smaller ones. The pricing is by user. If you get the most basic of plans (with a 900 onboarding charge), you will realize that all the things you actually need to make the program effective are on the next tier up...
  • Quickbooks. At the time I was exploring this, Quickbooks was not very well integrated. If you wanted to include billing (which they do show promise for), then you will have issues here.

WorkflowMax

  • When looking at the job distribution it isn't to scale and it isn't printable.
  • Sometimes it is confusing as to where you might find something until you realise there are multiple points of access.
  • When a job is assigned the whole task is assigned and if you work on it before the task is allocated to you, it isn't possible to enter those hours. It would be better if the employee could choose the task they did and enter the hours and then it sent back to an approver to have it added.

We prefer Scoro as it's faster and easier to use and learn. Also the fee structure makes a lot of sense for a smaller company.

WorkflowMax

Loan Assistant is a virtual business, entirely operated in the cloud. We do not have an office. Team members are located in diverse locations such as Munich, Canada and Sri Lanka as well as various locations in Australia. WorkflowMax is what ties us together. The fact that the billing is so tightly integrated into the workflow is a great strength. At this time we have been using Max for 6 years and plan on keeping using it. We have evaluated Slack but it didn't work for us.

Return on Investment

Scoro

  • Scoro could have had a wonderful impact on the workflow of the business. It allows for integrations most programs don't, including accounting and time tracking, and could have easily eliminated the need for an FTE through the streamlining of tasks alone.
  • If we had implemented this program, we would have saved time, but all of the gains would have gone to pay for Scoro. It would not have balanced out, especially if they ever were to raise their rates.

WorkflowMax

  • Biggest impact has been automation of client invoicing. Prior to using WorkflowMax, invoices were generated in Word, usually a template from a prior invoice to that client. Now the invoice is generated in WorkflowMax, saved as a draft, exported to Word, uploaded to Microsoft SharePoint, then shared with the invoice author. This has cut down on mistakes and unnecessary admin time.
