Use Cases and Deployment Scope

We use Diligent One Platform for our Board of Trustees and governance council agendas as well as our board policies and administrative procedures. Diligent One Platform addresses the strict risk management and compliance standards we encounter as a district in Higher Ed.

Pros

  • Ensures we're in compliance with Federal regulations
  • Approval workflows

Cons

  • Linking to specific agenda items
  • While working on an agenda, it would be extremely helpful to be able to switch to a full page view. There's a lot of wasted space that sits blank when viewing/editing your agenda.
  • Ability to have multiple users edit an agenda item simultaneously.
  • Better search function for agendas, attachments and minutes.
  • Ability to view timestamp of time and person who last made an edit to an agenda item.
  • Better public facing user experience. You can only click the banner of a "box" to view the page but most everyone clicks the image to view a page.
  • For policy publisher, the name of the "draft" policy/procedure is the same of the published policy/procedure so you're unable to label your draft policies/procedures as "DRAFT v2 - Policy Name" so it's easy to view what's a draft and what's published. You can sort by published and draft but there's no easy way to view multiple versions of the same policy.

Return on Investment

  • I'm encountering extreme push back from my internal users so the ROI is nil at this point in time. Diligent One Platform has not included the BoardDocs features that were most relied upon in BoardDocs and the user experience is lackluster. Two of the main sticking points for my team is the inability to link to specific agenda items and the agenda view layout. Our agenda memos are extremely detailed and often include links to past agenda items. This has forced us to create agenda item template documents to build our agenda items in. This allows us to link to specific documents "agenda items" and doesn't make the agenda 39 pages long

Running the Internal Audit function for all projects.

Pros

  • Intergrating Observations with the report and management action plans
  • Maintaing testing templates and audit workpapers
  • Generating the reports

Cons

  • User Permissions should have more options to regulate roles
  • When implementing, it would be great if data from the system previously used could be integrated for reporting (e.g., old audit findings).

Return on Investment

  • Time savings with performing and reporting on audits performed
  • improved quality on reporting... more consistent in quality.
  • Significant time saved on management action plan tracking and follow-up

Use Cases and Deployment Scope

Our use of Diligent One Platform is in direct response to our directors needing a centralized database for documents, meetings, and scheduling.

I work with a small, but global non profit that provides certification for EHS professionals accross the world.

Pros

  • Administrative control
  • Customization of brand details
  • Documentation uploads

Cons

  • Outlook calendar integration is unreliable
  • Add documents to library without needing a folder
  • The scheduler function is extremely cramped and hard to navigate as a creator of the scheduler

Return on Investment

  • Currently not sure how well the ROI is playing out for us - used for under a year.
  • Positive impact on internal teams time management and resource management
  • Negative impact is the challenge of getting volunteer members to use a third party they are not familiar with

Diligent One Platform BoardEffect Review

Use Cases and Deployment Scope

I use the Diligent One Platform BoardEffect platform for board and committee meetings. To be honest, I do not understand if there is anything on the Diligent One Platform that relates to BoardEffect (other than housing BE).

Pros

  • Diligent One Platform BoardEffect building agendas
  • Diligent One Platform BoardEffect building surveys
  • Diligent One Platform BoardEffect taking minutes in the minutes module

Cons

  • I would like to understand the Diligent Academy and how it relates BoardEffect
  • It would be nice to log in to BoardEffect and go directly to that application rather than Diligent One Platform.

Return on Investment

  • Saves times in preparing meeting materials
  • Houses historic documents
  • Houses directory of users
