I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

How much information are you trying to manage? Smartsheet is great for all sizes of projects, but you should be sure to choose the appropriate platform and number of licensed users to fit your need. Smartsheet is well suited for data that comes from multiple sources or people. If you are just using it for your own personal information tracking, then I would just opt for Excel or some other cheaper software. It is also great for anything that deals with a schedule or dates. The dependency settings that are built in are nice and if you are used to using Microsoft Project then you will catch on fast. Even without Project experience though, the dependency settings are easy to learn.

  • Collapsible Rows - The ability to create a hierarchy and 'nest' rows under one another brings order to chaos. I have a Smartsheet that is over 800 rows. When collapsed, it's only 4 rows and allows you to logically dive into the parts that mean the most to you. Like a Mind Map.
  • Ease of Use and Adoption - Smartsheet is seeing viral adoption here at VMware because it looks & feels like a spreadsheet.
  • Versatility - It is the Swiss Army Knife of task management. Events, Customer Enablement, Professional Services, Sales Enablement, Sales Reporting, Lead Reporting... It's a game changer...
  • Collaboration - Internally everyone can stay updated and on the same page. The ability to share outside the company has mad working with agencies MUCH easier, drastically reducing the time it takes to complete projects.
  • Reporting - I have tasks assigned to me on several different project sheets. I have 1 report that lists everything assigned to me across all projects.

Cons

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.

  • Some basic spreadsheet functionality like Merge Cells have to be worked around.
  • I am an advanced Excel user and wish I could have Visual Basic functionality in Smartsheet.

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

Smartsheet is a spreadsheet. Everyone is familiar with spreadsheets.
That being said, comparing Smartsheet to a spreadsheet is like comparing a Golf Cart to a Tesla.
Yea, they both have 4 wheels and run on electric power, but... (:

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it

Excel lacks the share-ability of Smartsheet. In order for multiple employees to use Excel for a project they have to constantly send updated documents back and forth to each other, and no more than one person can edit or view a document at once. Google Sheets isn't as easy to use and lacks many of the project management features that are available in Smartsheet.

Return on Investment

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.

  • Smartsheet has helped us keep track of new employees via workflow processes that we did not have in place before. As a result, we have not lost track of enrollments, software logins, etc.
  • We are able to log and plan social media posts which saves us time because we can also look back and re-use posts from historical data.
  • We also save time by setting up automatic notifications when certain tasks are completed. This eliminates the need for staff to remember to manually notify staff of actions taken.
