I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

Smartsheet

The best uses I have found for Smartsheet have involved project management and content indexing. If you are looking to replace Google Sheets or Excel, this is not the right tool

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.

Smartsheet

  • We have found that Excel and Google Docs "super users" get frustrated with some of the nuances of Smartsheet compared to their regular programs. Making sure that Smartsheet is not "just another tool" that our staff has to use, discussing the differences between Smartsheet and those programs, and explaining why we chose to use Smartsheet for a particular program, makes a huge difference in staff perception.
  • A lot of front end planning and organization is needed for some of the larger projects in Smartsheet. It is best to start small and play in the software so you can learn how everything works, before developing a robust program Gantt and reporting system.
  • Our organization has looked at expanding the use of Smartsheet to report consistently across our seven divisions. However, the dashboard functionality is not quite where we need it.

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

Smartsheet is very easy to learn. However, while I have been able to pick it easily, Microsoft Excel and Project super users that I have trained on Smartsheet get bogged down in the differences and can find it frustrating. Explaining the differences ahead of time and why Smartsheet is being chosen instead of a different software seems to counteract those reactions

I usually get a response within a few hours. I even followed up with a tech support specialist that I met while at the Smartsheet headquarters and he was able to help me out with another (very complex) formula.

Know your team roles and the expectations of your supervisor—from the top down. Implementing Smartsheet was definitely an iterative process that required (and still requires) maintenance and fine-tuning. Although we have a new working tool and process, I expect that we will continue to improve both through the next few years.

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it

I have used Microsoft Project, Basecamp, OmniPlan and Excel to organize projects. Smartsheet, by far, is my favorite. Although Smartsheet is not quite as detailed with Gantt charts as Microsoft Project and OmniPlan, it is much more user friendly. Smartsheet also has the capability to do similar functions that you find in Excel such as formulas, sorting, etc. However, my favorite [thing about] Smartsheet is the collaboration features and real-time updates. Linking cells across sheets together, leaving comment threads, adding attachments, using Google Hangouts, entering a sheet at the same time as your teammates, and sending updates and reminders are just a few examples of how teams can work together. Collaborators don't even need a license - they can simply log in if you invite them! Lastly, Smartsheet has solutions for so many different kinds of projects that I have used it both at work and for my many volunteer projects for large project management, planning events, managing grants, developing/conducting surveys and more. This does not even include the additional platforms I have not tried such as employee hiring, budgeting, and document routing. There seems to be a template or solution for just about anything. You just have to get in there and play!

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.

  • As a project management tool, it has a positive impact our implementation team as it allows for a single space for them to manage multiple projects with ease.
  • It met expectations when it came to flexibility in use case and project size.
  • It has provided our team with an additional option for our customers when it comes to project management and co-collaboration in one space, as opposed to more static ways of managing a project.
