If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

SAP BPC (Business Planning and Consolidation)

SAP BPC would be an ideal system for a company that handles budgeting and actuals for any of the expense, revenue, human capital, or capital expenditures areas, and is great for a company needing all of these areas in one place with full integration between them. One downfall that I see is that it can be difficult to start with the consolidation only (like many do) and then years later implement the planning cubes. Due to changes in the system over time, turnover in consultants and personnel between implementations, and evolving needs of a company it can sometimes be difficult to get the planning side to line up perfectly with the originally implemented consolidation cube which, although may not limit capabilities, can cause confusion when talking between different models.

Pros

  • End user ability to customize Business Intelligence Reporting Tools (BIRT)
  • Actuate Support is usually prompt and helpful.
  • Ability to embed in other applications, has extendable code for authenticating/authorizing users.

Cons

  • The debug tool that came with the Actuate 8 developer was poorly written in my opinion; compiling a report could be very difficult when a number of functions were being called.
  • There wasn't any reporting that could be run to download Actuate utilization statistics. Analytics had to be done by manually reviewing who had been running reports.
  • At times when the Actuate Server would become overloaded the only solution was to restart it. There wasn't a way to clear up the list of pending report requests.

  • Web interface (reports and input forms) have limited functionality
  • Difficult to maintain large dimensions
  • For database reads or complex logic, script logic may not be best and need to do ABAP coding

SAP BPC training content and trainers are very good. The training is structured and provides a very good understanding of the product features and functionalities. I attended 6 separate training sessions of week-long or more. I had very good experience in all the sessions. The training is organized very well.

Alternatives Considered

We looked at a few other competitor's products but based on value for features chose Actuate for its total cost of ownership.

With S/4 HANA SAP, BPC blends very well, compared with other consolidation and reporting tools. The roadmap of BPC projected by SAP are promising with add on features to the product and integration with SAP S4/HANA and other visual analytics tools. The integration with SAP Analytics for Cloud is also great.

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.

  • Before BPC, planning was done in silos across departments and geographies.
  • BPC combined the planning and removed all silos. Provided a tool for real-time planning and analysis for corporate teams.
  • With work status, BPC is able to control the changes to outlook data and thus able to close the plan as per schedule.
