Adaptive Insights

It is very helpful for budgeting and reporting. I love how easy it is to automate reports and presentations. It can be more difficult to plan specific activities. It feels more high-level than activity-level. It shows totals rather than individual transactions (either past or future transactions).

ZipBooks is really strong for small businesses (and non-profits like the ones I help manage). It may not yet be ready to handle medium or large businesses given the deep, niche functionality that is sometimes required in those cases.

Pros

  • Infinite ability to group accounts and departments for reporting. The only limitation is the number of ways that you think of in terms of consolidating the information.
  • Being able to build scalable, complex, distributed, budget models. With the data we can bring into the system and the formulas we can use we have all the functionality of the spreadsheet, but with the flexibility to allow leaders across the organization to participate and update their section.
  • The platform allows multiple forecast/budget versions which allows for version control and sensitivity analysis. I can lock versions from changes while quickly creating a new version to see the impact of a +or- scenario to the company’s profitability.
  • With the OfficeConnect tool we can leverage Excel to provide repeatable reports for the board and other business leaders that are repeatable from month to month. While the platform provides more flexibility than an accounting package it still has limitations. Using OfficeConnect I can leverage the power of the Microsoft suite of Excel/Word/PowerPoint directly.

  • Invoicing is particularly easy-to-use, quick, clean and beautiful. GREAT for branding.
  • The time tracker was unexpected, but very useful and integrates well with the invoicing. Leads to quick invoicing every time.
  • Customer support is phenomenal -- the support staff is friendly and helpful.
  • Although they are a new company, they are definitely on the right track!
  • I recommend this software to clients, colleagues, and friends alike, mostly for it quick and beautiful invoicing.
  • They do what they can to live up to their name! It doesn't take very long to get set up, or very long to create a complete invoice and send it to the right person.

Cons

  • The format of reports when downloaded to Excel or PowerPoint could use improvement.
  • Would be nice if you could inactivate GL accounts when they are no longer being used.
  • Suppress rows functionality when set by the administrator to default to suppress if not data doesn't always seem to work.

  • There is some difficulty with a need to learn the use of the menus, they are not open and click, at the moment, the user needs to open the menu then using the pad keys scroll down and use enter to select from the drop-down menu. A mouse does not work.

We have used the solution continuously for six years and been very pleased with the ongoing enhancements. Menus are easy to navigate, sheets are straightforward and flexible and you can work on your budget/forecasts without being at the office. The cloud based system makes it easy for users to complete their processes offsite and without needing there work provided computer. Creating new reports using both the web based Adaptive tool and OfficeConnect is quite simple with very minimal training.

Although having a set of spreadsheet and workbooks helps to define the logic and processes, preparing a requirements document is also an important element in a successful implementation. In addition, dedicating a knowledgeable user as part of the "Scrum" development allows focus and permits the implementation to proceed without time loss and promotes knowledge transfer. Finally, having an onsite developer speeds the process and can reduce the overall cost as well.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

My decision came down to Adaptive vs Host Analytics. Host made the claim that because their sheets were just like excel, you wouldn't need to learn any new commands. Rather, I thought that was a downside. I didn't want another glorified version of excel, I was looking for something different, something new. Adaptive had that. They were also far more willing to work with a nonprofit and become a partner, rather than just a vendor.

I've used QuickBooks which was too complicated and way too expensive. Also used the expensive but ideal subscription web based CVita software., which out priced itself for our usage. Tried other free software that did not do the job that we need, which Zipbooks does cover. Setting Zipbooks where we need it to be.

Return on Investment

  • We've completely eliminated Excel in the budget cycle. I no longer have to consolidate 90 spreadsheets to get the organizational budget. Last minute changes are saved in Adaptive. With the audit feature, I can know who made what change and whether or not it was approved at the top level.
  • KPI dashboards have lowered expenses as users have real-time information on their expense ratio for major events. We've been able to lower costs, increase gross revenue and net revenue all at the same time.
