They are more suited to growing, nimble companies. They are soon adding employee approval to time cards and checkin by facial recognition. Additions and changes to improve functionality might not work for a very large company like GE.

Optimum Solutions HRIS

We use Optimum HRIS in a very small department and generally only one person is working in the database at a time. I would be curious to know how effective Optimum HRIS is at handling a larger number of users modifying the database on a regular basis. For our small shop, Optimum HRIS works beautifully.

  • CUSTOMER SERVICE. They are so helpful and you get a really quick response. You don't ever sit on hold for hours on end and you get the RIGHT answer or resolution to your problem. We previously had ADP which was a nightmare so APS Online customer service has made our bi-weekly payroll runs a breeze.
  • Customizable - we were able to make any adjustments as needed to our different departments, types of rates, types of vacation accruals etc. With the great customer service we can explain exactly what needs to change and they take care of it right away.
  • Transition from your old provider - APS Online worked with us and pulled in all of our old information. It made our workload a lot easier. They even helped pull reports for us to use from our old system which has helped us complete various workers comp audits.
  • Reporting - through APS Online you can create SO many custom reports. Its easy to use and very intuitive.

  • First and foremost in my opinion Optimum Solutions has great customer service. We are assigned a specialist and can work with that person for every issue or question that arises. The specialist becomes familiar with our company and processes which makes interactions with them faster.
  • Optimum Solutions knows our business and offers helpful ways for us to work with their software to achieve our goals.
  • The turn around time for any question or issues is usually 2 hours or less. If our specialist doesn't have an answer they will work diligently with other employees with the company to provide us an answer in a quick amount of time.
  • Everyone I've dealt with at Optimum Solutions is friendly and knowledgeable . You can tell they love what they do and are always willing to help. Most employees have been with the company for a long time which tells me it's a great company to work for.

  • State by state rules - In a few states that we work in they have very strict rules on overtime, sick leave, etc and APS didn't have the time and attendance pre-configured correctly for these. Their development team has really worked with us to handle it but it just took a bit longer. Overall though they have been very upfront about it and have been able to make the necessary changes.
  • No scheduling - I think this is something in development right now but I know that other larger companies do have this capability. It would be great to have but it truly hasn't "hurt" our ability to do payroll.

  • We are currently using the software designed for the iSeries but are moving to their Windows platform. We are moving to the Windows platform to gain some functionality in terms of a robust Employee Self Service module.
  • In the iSeries software the Payroll and HR functions are separate which makes it a little more difficult to see the whole picture of the employee record. In the Windows version the Payroll and HR functions work as one.
  • The security for the iSeries side is a bit cumbersome in my opinion but we hope that is not the case in the Windows version of the software. We are planning to open up parts of the Windows version to the employee supervisors.

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

It would have been helpful to understand the phases of the implementation up front so I could have prepared differently for enrollments, billing, and transfer of information to payroll. At the end of the day, I'm happy with the selection and the system and anticipate I will like it better as we go along. We have done a number of other system implementations in the past few years, and this has been pretty painless, however, I've had a few surprises.

We had used ADP for years and had always struggled with their customer service. With over 20 locations (20+ W2s, quarterly filings, etc) we had a lot of questions. We would have to call and sit on hold for long periods of time to talk to someone who couldn't always answer our questions. Then we would get different answers from different people or have to re-explain our issue. It was a major time suck for my employees and they dreaded having to call all of the time. For us - the final straws for us to switch providers were: +Numerous year end filings with incorrect names and addresses (they couldn't keep our 20+ locations separate even though our paperwork was completed correctly)+Incorrect SUI rates for several locations that resulted in tens of thousands of dollars in overpayments which was a lot of money for small hotels. We had sent in numerous requests for them to fix this but it never happened+Lack of care - even though we were having all of these issues, nobody would work with us to get them all resolved and make sure to remedy the situation. We had to seek out a manager to get them resolved but even after this, we still had more issues.Overall - DON'T stick with ADP or even think about switching to them. They might be able to slash prices but their poor customer service and lack of care will cost you in the end. It's not worth it. APS does everything ADP had the capability of but we don't have the errors or headaches we did before. I am really looking forward to this year end!

We evaluated some payroll services but found the ongoing cost greater than the initial cost of purchasing our own software and keeping the payroll process in house. Other payroll software was generally more expensive and we are satisfied with Optimum Solutions. I would say the main reason we stayed with Optimum Solutions, converting from their iSeries version to their Windows version, was because of their outstanding staff and support.

  • Optimum Solutions lets us run all our payrolls seamlessly.
  • If we have any questions or problems Optimum Solutions is just a phone call or email away. The Customer Service is the best.
  • With the purchase of the Employee Self Service module that will be implemented in January of 2019 we will be able to eliminate the printing, folding, and distribution of check stubs as they will be available through self service. Also W2 information will be available there as well so no re-issuing of lost W2s saving us time and money.
