Aspect Workforce Management

I would say Aspect is less appropriate with smaller businesses or businesses with a smaller amount of clients. Aspect is really useful if you have a lot of customers and employees as you have to schedule the employee breaks and time off around the business needs. A lot of smaller businesses don't need that ability since they might not have the demanding customers like a lot of larger companies would have.

HotSchedules

Absolutely appropriate for restaurant workers. Less so for manufacturing, but it does gather the labor data effectively when everyone logs in properly.

Pros

  • Long range forecasting as well as forecasting using multiple models.
  • Schedule Testing - Being able to test your current or proposed schedules against various forecasts.
  • Real-Time Tracking, a lot of insight is given around if an agent was available and when.

  • HotSchedules tracks our labor hours and dollars. Being able to do quick labor analysis helps us make sure our pricing is in line with our estimates for clients.
  • HotSchedules tracks our employee trainings. Because we are a third party audited food manufacturing facility, we have both formal certifications (CA Food Handler Cards) and monthly trainings on subjects such as Food Safety, GMP's, Pest Control, Allergen Control, HACCP and Sanitation. Being able to have a record easily accessible for each employee to prove to our auditors and keep those employees up to date with training is invaluable as an organizational tool.

Cons

  • Back office support. Aspect needs to expand its product offerings to back office (processing) integration (forecasting and staffing)
  • Ability to combine forecasting and staffing capabilities for front office (call centers) and back office (processing) units.
  • Seamless integration with non-aspect phone systems (such as Avaya, Cisco, ...), call recording systems (Nice, Etalk...etc) and other non-Aspect solutions

  • I find that the system of assigning jobs and rates is a little tedious, but understand the need for it.
  • I'm not familiar enough with the copy and setting the next week's schedule, but it's not necessarily hard to use.
  • The whole assigning welcome letter and with log in and password is difficult with the Spanish speakers even though you have a Spanish version.
  • Many of our employees do not have email or smart phones, so I find that HotSchedules is not as useful to them or us.

Aspect as a tool and as a company are both great. Working with the Aspect team, will make you feel like you are their most important and only customer. They admit when they are at fault and are willing to offer any assistance they can. We obtained many tools from Aspect as a respected and valued customer.

Once the initial set up of the software is complete and/or you are familiar with the software, it is easy to use and runs like a dream. However, if you are unfamiliar with the software or have used a competitor's product, some features can seem difficult to learn or get used to.

6 Years of Experience provides me the insight on the upgrades and changes that HotSchedules has done to improve the experience of its users. There are so many features that we still have not started or used to the fullest, but we believe that we are currently getting a strong value out of the money that is paid for this product.

I was impressed with the support I received. There were never any long delays when I had issues and the representatives that I worked with were always patient and eager to fully understand not only my problem but our business processes surrounding the problem.

HotSchedules Support is fast and VERY informative. I can generally solve any issue I have within 30 minutes or less. They are helpful and I do not have to go though MANY channels to a simple issue.

Implementation

Implementation of the software was not difficult but it was tedious for us due to the fact that our processes had not kept up with the times and we had to make a large number of process changes along with setting up the software.

Alternatives Considered

One of the primary reason why we selected Aspect eWFM solution was because of the scenario based modeling functionality. In other solutions (such as IEX, Blue Pumpin..etc) this functionality is not available. In our industry it was critical to be able to use scenario based modeling and quickly react the call volume spikes.

I believe HotSchedules is a premier tool for our businesses. Our last scheduler app did not provide the store log feature, where as HotSchedules provides all of the features that we need and MORE. Reports, Staff Journals, tracking task assignments, handling multiple time off requests. Best part, we still haven't used everything it provides.

Return on Investment

  • Staffing cost
  • Identifying gaps in the day, using intra-days to map out and foresee trouble areas and plan for them
  • Cross functioning teams, using the tools this application has to help manage different LOB's

  • Saving time on scheduling means our managers can focus more on guest experience, managing the floor and other areas that contribute to the success of our business.
