Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

SAP BPM

It is well suited when we need to integrate business processes with SAP ERP and SAP CRM - the solution can be integrated with business rules/procedures defined in SAP ERP/CRM and NetWeaver can be used to monitor the rules and flag off exceptions. When there are multiple workflows running, it tends to slow down running of these processes. Also, it entirely depends on SAP portal for it to run efficiently.

  • Secure storage of billions of documents using precise ACLs to control access across multiple tenants, groups, users, etc. No other system I know of can do this as well for as large of systems. Security can be refined from one person to the entire enterprise OTB.
  • Integration with other EMC/OT solutions. Assuming this is still true post-OT acquisition, Documentum has over a 100 add-ons that integrate with the core solution to expand the solution to include scanning, document processing, forms, email, etc.
  • Searching. xPlore is one of the best FTI tools on the market and it is integrated well with the Documentum solution. Other systems use excellent search tools, Elastic/Lucene/ being good examples of that, but their integration is questionable. Older systems, like WCC, are still using antique search tools OTB and require integration with the newer search tools.

  • Virtual paper trail. Iterations of process and current documentation are all stored as "artifacts", leaving a great trail.
  • Configuration of users. BPM somewhat magically determines which users will be impacted and automates rules.
  • A pro (that is also a con) is the design interface. If you know what you are doing, it is incredibly powerful and malleable.

  • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
  • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

We have our own tech support for systems, I would say they probably could use more training on it, I don't really think it's anything regarding the SAP system, but more the knowledge they have on the system itself. It seems to take longer for them to fix any issues we may come across.

OpenText is stronger in the management of high volume and secure information. However, SharePoint, while less functional from a document management perspective, provides a much stronger user interface which eases user adoption and the presentation of content. SharePoint also has a significantly larger ecosystem of developers and partners that makes solutions more available.

I found the initial setup of NetWeaver is much simpler than other products especially in an SAP environment where we have SAP ERP/HRM/CRM as it can be well integrated with other SAP products. The only drawback is the need/dependency on SAP Portal. It is better suited in an environment where SAP ERP is running.
