What is ApptioOne?

ApptioOne from Apptio, an IBM Company, unifies financial and operational technology data into a unified model built on a taxonomy of cost categorization. Utilizing sophisticated allocation rules along with focused metrics and KPIs, the solution enables organizations to answer strategic questions about their technology investments and accelerate budgeting and forecasting processes. By explaining investments and variance to plan more quickly to constituencies and executive management, organizations can uncover opportunities to optimize cost structures, reduce risk, and accelerate growth. The higher tier ApptioOne Plus also unlocks the resources to accelerate business strategies by streamlining applications and operations and deepening business unit partnerships with a collaborative approach to investments.

For CIOs and IT Finance Leaders in organizations with $75M+ in IT spend who need to make quick decisions to capitalize on market trends and drive business innovation. These decisions need to be based on a complete view of their IT cost structure and its value to the business. ApptioOne is financial management software that creates a shared understanding between technology leaders, finance, and the business of the fully burdened cost of technology and accelerates analysis, optimization, funding allocations, and planning cycles.

Unlike spreadsheets coming from multiple systems of record, ApptioOne unifies financial and operational data into an industry-standard taxonomy of cost categories and allocation rules and provides a standard set of metrics and KPIs to ensure organizations can answer the most strategic questions about investments faster and reduce time spent budgeting and forecasting.
  • Financial Management is the fastest Apptio solution to deploy and utilize. It requires one person with no advanced programming or DB skills needed, and data sets that are already in place.
  • Customers don't have to start with the annual budgeting process, but can purchase and deploy within the first quarter of their new year. Starting with a monthly variance analysis and/or first quarter forecast, user can get up and running with a budget that is already built, to eliminate the annual budgeting process when moving into rolling forecasts.
  • Through insights and analytics into their labor, vendor, cloud, asset and project spend, customers can find discretionary spending as a percentage of their IT budget.
  • Customers can reduce budget variance via increased budget accountability and accuracy, to save money that was tied up in contingency.
  • Custom reports and data visualizations can be created, or users can select from a broad menu of out-of-the-box content for rapid distribution of executive ready, actionable insights.
As a whole, ApptioOne helps organizations classify, categorize, and consolidate IT spend so technology investments are directed to the highest value-add opportunities.

Additional products in the ApptioOneMX product family include:

ApptioOne Demand

Budgeting for demand is a challenging process, as spreadsheets and other customer solutions do not provide enough fidelity to generate accurate forecasts. Without specific insights into demand from business units, IT orgs do not know how much to budget and how to forecast costs.

ApptioOne Demand provides collaborative demand capture, planning and management tool that aggregates demand for IT services from the business units who consumer them to help organizations plan for the demand of the resources they provide to inform their overall IT spend, with integrated collaboration tools to communicate cross-organizationally and build plans as teams.

ApptioOne Demand enables users to cohesively structure their demand planning processes to more accurately and efficiently manage demand and reduce budget inaccuracies caused by limited oversight.

Why is this important? Inaccurate projections of future demand encourage budget padding and undercut investments in growth opportunities, which undermines partnership cross-organizationally. Chasing down demand estimates from business units slows down the planning process and makes it almost impossible to deliver timely, accurate unit rates and project costs.

From a supplier perspective, users can capture business service demand on internal IT services/resources to help owners understand their incoming demand needs and its variance to previous years. From a consumption perspective, Demand users can capture technical service demand from internal IT services to help owners understand aggregated demand needs for the upcoming period and variance from previous periods.

ApptioOne Demand helps users to:

Source and aggregate demand for services with a standardized, shared framework to streamline, and reduce time taken to complete, the planning process.

Plan, track, and manage consumption to lower overall IT spend or redirect investments by reducing waste, eliminating duplications, and aligning investments to strategic priorities thanks to collaboration, active management and analysis tools.

Improve unit rate accuracy to reduce the time spent forecasting, increase Showback clarity, and utilize variance analysis to redirect resources to higher-value activities.

Influence Demand: Strategically price services to shape Demand and recover costs with transparency and accuracy from the business.

ApptioOne Billing

Mature IT organizations with Costing and Planning incorporated need a proper chargeback process for their organization. ApptioOne Billing aims to provide a defensible and predictable bill to business consumers that communicates IT costs in the language the business understands - providing increased transparency around the cost of delivering IT services and have shifting conversations with the business from cost to value. This leads to better partnerships with business stakeholders and more time for value-driven activities.

Homegrown systems are unwieldy and time consuming, delaying decision making and prevent defensible communication, Apptio delivers an automated cost recovery system for monitoring consumption by business units, delivering a bill with accurate IT costs and defensive allocations and setting pricing strategies that influence behavior. It also allows users to reallocate the time spent supporting manual consumption cost models (salary and effort costs) to higher value uses.
  • Cost Recovery: Determines the proper billing amount from each business unit using business rules.
  • Consumptive Billing: Ensures the amount being billed is not only accurate, but also explainable to business units.
  • Unit Rate Billing: Exposes the levers business units can use to mitigate costs and reinvest in higher value IT activities.

ApptioOne Benchmarking

The value of on-demand, self-service benchmarking is that it allows users to look at their actual data against benchmarks in order to understand where they stand, as well as to use as objective data points in communication with the business to justify or defend spend decisions, demonstrate efficiency, or recommend optimizations. Benchmarking allows users to do their own discovery to find opportunities to improve based upon variances they find from benchmark data. It is not like traditional consulting in that it does not provide recommendations for improvement.

In addition, Apptio Benchmarking provides self-service peer comparisons of IT spend over time, enabling an ongoing process for tracking performance, validating decisions, and identifying areas for improvement. Users can compare actual IT costs to benchmarks side-by-side to create demand plans and budgets, conduct scenario analysis and explore variance drivers with access to underlying actuals. Access to a full benchmark data set helps IT organizations understand how each metric is calculated.

Users can:
  • Validate spending levels with a view of actuals vs. self-selected benchmarks to know where the business stands relative to peers using trending comparisons.
  • Monitor progress by identifying areas of risk, setting targets, and evaluating improvement efforts.
  • Identify improvement areas and use relevant, credible peer benchmark data as objective reference points.
  • Set targets and track progress with trending comparisons.
  • Know where a business stands versus the best and worst in its class with box plot distributions for each data point

As the Financial Manager for IT, we use ApptioOne to plan & manage our IT spend. Vendor contracts comprise a significant portion of our spend. IT Planning allows us to amortize current contracts, project increases and manage expirations. ApptioOne helps our team translate our SAP financials into IT financials. We are currently working on building out our Capex project reporting and developing a metric dashboard for our IT Leadership Team.
  • Vendor Contract Tracking
  • Reporting
  • Support
  • IT Planning - lining up the contract tab to the summary tab when you are doing a forecast & actuals are involved
  • New Customer Support - today we are working with a Premier Resource who is fabulous! We had worked with TAS, and I do not feel that it was nearly as beneficial.
ApptioOne is well suited to support your line items, however excel is still needed to perform the detailed calculations to input information into ApptioOne. I think Excel is easier to manipulate and move around in. Also, as we are working with our Cost Center Owners, we are finding that exporting data from ApptioOne is simpler than trying to input/move around directly in ApptioOne.
We have not worked with modeling and are just starting to actively use ApptioOne for budgeting & forecasting.
  • Strengthened our relationship with the IT Team
  • I believe we will be doing forecasting quarterly next year with ApptioOne's help.
Customer Support has been pretty good. We have a ticket open right now which is very business critical due to our upcoming budget deadline. I am anxiously awaiting a response. Our Premier Resource is extremely responsive, and I feel confident she will see us through.

We are not using either.
We looked at Upland at the same time as Apptio. We were much more impressed with the Apptio Team and the time they took to show us the product.

I am seeing the value Apptio can drive. We have some much potential and room to grow. I am excited to lead us into the future.

  • Ease of Use
We evaluated another tool at the same time as Apptio. We were impressed with the Apptio Team and their willingness to work with us. Work with what we had today as far as data with the potential to improve in the future. Crawl, Walk, Run.
I wouldn't change it - Apptio & TBM is where we need to be. The only part of our adoption that I would change would not to have tried to incorporate Bill of IT at our inception. We were not ready for it at all, and I feel that we paid for it for 2 years before it really drove any value.
During the budget/forecast period this year I was very hands on in Apptio. This was really my first time. I did run into some hiccups of which have been reported to Support.
  • Vendor Contracts
  • Reporting
  • Fixed Assets
  • Forecasting 6 months into the year. I need to forecast quarterly to make it easier.
  • Concept of perspectives - we did not know about this at all.

We use CT and ITP for IT financial planning, budgeting, forecast, and var. analysis.
  • Drill down capability
  • Dashboard
  • By IT tower
  • How to consolidate and align actuals with budget/forecast line items to easily identify areas for under/over budget
  • Excel upload capability is not good and need to improve
  • Need to integrate IT planning and Cost Transparency data and produce meaningful reports to help analyze data instead of toggle through two separate CT and ITP to try to figure out actuals vs. budget line items
Our struggle with using ApptioOne for planning, forecast, or var. analysis is:
1. When looking at thousands of actual line items posted in SAP, how to consolidate them into our budget line items which are more consolidated basis by vendor initiatives
2. End-user adoption has been challenging due to users being overwhelmed with too much data
We don't use this.
  • We can now able to compare actual vs budget by vendor details
  • We need one dedicated person to support ApptioOne, currently using 3rd party support
  • Eventually we plan to use our internal resource to support ApptioOne
We used a few times, it was good.
  • Targetprocess

We use it for budget planning, periodically checking and validating budget status. We also have product, service and other type of contracts added to Apptio. IT leadership also uses it to for departmental budgeting. Before Apptio we did not have a proper tool for the mentioned use cases, we had complex Excels for this purpose.
  • Financial data management
  • Simple menu structure
  • Extensive capabilities
  • General training for usability
  • Dark mode
  • Ability to edit and share views
Tracking budget and spend for a department seems relatively easy, but heavily depends on the data source. Also a cool feature to manage user access based on required privileges. Easy to connect to other tools. Visualization looks good, but sometimes menu options are not straightforward for users who are not spending a lot of time in the tool.
We have a CMDB, which is one data source, we have contract management which is another, and we also have planning data and budget allocations for different part of IT. We need to correlate our infrastructure data, our planning to our actual spending. High level leadership can have a view of this data to make budget decisions.
  • More visibility into IT spend
  • Better overview of contract spending
  • Easier planning based on previous year spending
I only had one use case where we wanted to connect our ServiceNow CMDB with Apptio. The support team were really helpful, quick to answer and seemed like they know their stuff. In a couple of days we were able to set up a read-only database connection to our CMDB and use that data in Apptio.
  • Cloudability
I don't use any other Apptio products currently, but I would love to have a look into Cloudability as many companies are moving their infrastructure and application portfolio to the cloud. Having correct data about on-prem and cloud spend is a big task and requires a proper tool to run an effective IT department.
We had multiple ITSM tool demos for setting up CMDB, Service Management, etc. from ServiceNow, EasyVista and others. ApptioOne was already purchased in our company. While these tools also have spend and business management capabilities, Apptio seems superior. Although I was not involved in the selection process to properly answer this question.

Mostly IT leadership, function leaders, procurement professionals who are helping IT. Sometimes, approximately a couple times a year maybe more users who are involved in budgeting exercises from all around the company. Senior leadership, finance and executives. Regular, daily users are less then 15, but that varies based on the time of the year.

  • Price
  • Product Features
  • Product Usability
Probably usability to serve the needs of the IT department, making sure it is easy to learn, but has extended capabilities.

We used Apptio one for cost transparency of our actuals, planning and resource analysis. The problems addressed were which department was over plan and why.
  • Provides context to financials.
  • Enables data driven decisions.
  • Easy for everyone to understand.
  • Could be faster.
Allows sr. management in IT and Finance to each understand tech spend.
Project reporting. The integration with ServiceNow is terrific.
  • Resources by location.
  • Total vendor spend by criticality.
We had a concern regarding an update, and we received a very quick answer.
  • Cloudability
  • Targetprocess
I thought the demo was quicker than Apptio, better graphs.
