What is Kissflow?

Kissflow is a low-code platform for custom application development tailored to business operations. Kissflow empowers process owners and IT developers to automate and build processes and applications for internal business operations.

Kissflow helps to solve two main challenges in the enterprise:

The first is the custom application backlog. Enterprise IT teams say “not now” to most custom application requests from business teams. While important to a department, they aren’t vital enough to engage limited IT bandwidth. Kissflow gives internal developers a platform to build various applications quickly.

The second is starting a citizen development program. Process owners are scattered throughout the organization and need a standard, approved, and governed way to build automated applications that are a step up from spreadsheets. With its no-code design, patented rules engine, and comprehensive governance module, the Kissflow platform fulfills the requirements for citizen development.

Teams can build a wide variety of solutions on Kissflow, from custom multifunctional applications to automated human-centric processes, workflows, case management, and project management.

Kissflow states that brands such as Pepsi, McDermott, Motorola Solutions, and Danone, currently rely on Kissflow to transform middle-office operations.

KiSSFLOW has proven to be a versatile tool for streamlining business processes in a variety of industries and organizations. Users have found that by digitizing forms and automating workflows, they can eliminate paper trails and significantly improve efficiency. For example, local companies have been able to replace their manual approval processes with KiSSFLOW, allowing for cloud-based submission and approval from anywhere. This has not only saved time but also improved responsiveness to requests as users can easily track the progress of workflows and take necessary actions to move them forward.

One of the key strengths of KiSSFLOW is its flexibility in accommodating different workflows. An entire college, for instance, uses KiSSFLOW for approximately 25 different workflows ranging from new employee requests to new course requests. The integration with G-Suite has also been highly appreciated by users, as it allows for easy editing and the convenience of receiving workflow requests via email with reminders. This has made it approachable for users who may not be familiar with complex workflow management systems.

The benefits extend beyond administrative processes as well. KiSSFLOW has been effective in managing media campaign project proposals, ensuring form enforcement, centralized information repository, and streamlined workflow management. In sales teams, KiSSFLOW helps submit prospective client credit and setup information, reducing reliance on multiple emails and expediting the account setup process.

Overall, KiSSFLOW proves to be a valuable tool for businesses looking to automate their workflows and improve operational efficiency. Its ability to handle various use cases across different departments and industries makes it a versatile solution that addresses issues such as lack of information, operational control, and improves overall efficiency and service quality.

Clear and Intuitive User Interface: Users have consistently praised the clear and intuitive user interface of Kissflow, making it incredibly easy to use and navigate. Many reviewers have expressed their appreciation for how easily they can see workflow tasks assigned to them, as well as workflows they have participated in or are pending approval from others. The user-friendly interface allows for quick and efficient completion of tasks.

Cloud-based Accessibility: The cloud-based nature of Kissflow is highly valued by users, with many expressing their appreciation for the ability to access the software from any internet-connected device. This eliminates the need to be on a specific network and makes it convenient for users who are always on the go. The accessibility ensures prompt response to tasks, avoiding bottlenecks.

Automation Capabilities: Users have highly praised the automation capabilities of Kissflow, noting that it significantly reduces the need for paper in menial tasks and enables the automation of entire processes. This feature has been particularly appreciated by educational institutions as it eliminates manual paper-based processes such as obtaining signatures or initials.

Difficulties in Reusing Existing Tasks: Some users have expressed frustration with the lack of a copy-paste function when creating workflows in Kissflow, making it challenging to reuse existing tasks across different branches. This can be particularly inconvenient when only minor tweaks are required.

Limited Flexibility in User Interface: Reviewers have noted that the user interface of Kissflow lacks flexibility. They feel that having options to group apps under categories or customize the look and feel of the page would greatly enhance their experience and improve usability.

Learning Curve for Transitioning from Paper-Based Processes: Customers who have transitioned from paper-based processes to Kissflow have mentioned that there is a learning curve involved, especially for non-visual learners. Additional training and support may be necessary to help employees adapt to the change effectively.

Users commonly recommend the following:

Start with simple apps and gradually build skills. This approach allows users to develop the necessary skills and understanding of the platform without overcomplicating workflow processes.

Set up a proper step-by-step flow from the start. Ensure that all necessary users have access to approve, which helps maintain an efficient flow and prevents bottlenecks or delays in the process.

Utilize Kissflow's customization capabilities to create customized workflows tailored to specific business needs. This allows for more optimized processes and better alignment with company requirements.

I consulted with a local company that was having trouble with their workflow. As a small company, they were having the kind of issues you get when you have few employees, a lot to do, and little time to do it in. The kinds of activities huge corporations tackle with 50 employees and a fully stocked breakroom. The school I worked with had no idea how to approach their organizational issues and my current position recommended I consult with them for a short time to help resolve the issue. At the moment, KiSSFLOW is solely a workflow solution for them and they use it strictly as such. This is why the program works so well, too -- it doesn't pretend to be anything else. It is a workflow process program and it knows how to use its strengths for exactly that.
  • They know what they are. You aren't going to get a Workflow program that also wants to be a CRM. You will get the equivalent of an electronic assistant going from station to station, taking care of business and giving you the end result.
  • Paper. It reduces the amount of paper needed for menial tasks tremendously. You can automate an entire process. As an educational institution, you may still need paper copies, but you aren't waiting for John Doe to sign Line 3, then Jane Doe to initial, and so on and so on with a paper form.
  • Tracking. If you need to know where things are in the process, the fact that this program is dedicated to workflow makes it incredibly easy to identify where people are in the sales flow.
  • Customer appreciation. When your workflow is stronger, faster, and better, the customers feel it. They feel like you are right there with them and getting things moving.
Workflow. I would absolutely, 100% recommend it for a school, in Admissions, and I would recommend it to any small company who has an issue with workflow. The best thing about the program is that it knows what it is, and knows what it wants to be. You aren't going to sit down to work with KiSSFLOW and end up being sold an HR program. To make it work just right, find the person who truly understands how your business works. Have them build a workflow which takes care of the tedious tasks, and then let them train others on the process. You will find that your productivity increases, and that your paper costs decrease.

  • Budget ROI. Mistakes happen. People have to throw paper away because they make a small mistake in pen and have to start all over. But when you automate these tasks -- like using business rules -- to make sure certain steps occur in tandem with what NEEDS to happen, you reduce the number of mistakes and, in turn, your budget for paper. You can also say the same for the amount of time it takes to actually get things done.
  • Employee retention. When you give time back to your employees, taking them away from incredibly boring tasks, then they don't get bored. They enjoy their job more. You should always be focused on your employees, as they are what keep you running - so your goal should be making sure they aren't sitting around thinking about how they now have 6 hours of paperwork to complete.
  • Business intelligence. If you use this program, test your employees to see how well they understand the process of your sales team. Or refine the process. When I did this, I found that employees began developing empathy for their teammates - they understood what the others were doing simply because they could see how the workflow was designed and needed to be designed.
KiSSFLOW wants you to be able to increase productivity, make it possible to "manage the chaos" (their own words) and simply make things better. It is exactly what it sounds like. For a visual learner, KiSSFLOW is perfect. It really does make good on its promise to help you manage the chaos, and it makes it easy for your employees to understand how your business works. More specifically, I recommended this program for a small school that had never automated anything. They knew nothing about the process. Bringing in KiSSFLOW allowed them to not only refine their process, but it gave awareness to other employees and ensure that they could work as a team, knowing the intricacies of how each department works (so, the Director would understand the many steps of Admissions before taking over after enrollment -- they would know what each family experienced).

We use KiSSFLOW throughout the organization. KiSSFLOW helps organize the decision-making process by making sure all the steps in the process are followed the right decision-makers and taskmasters get the materials needed at the right time in the process. KISSFLOW has really reduced the decision-making time and the entire process function time making us more efficient. we use KISSFLOW for several multi-step decisions and multi-step processes.
  • Process - Course changes, additions, and cancellations.
  • Decision-making - Program course substitution requests
  • Decision-making - Course prerequisite waiver requests
  • Decision-making -Approval of intern site requests
As mentioned, KiSSFLOW really excels with the routing of questions, decision-making, and the execution of tasks when those entities are not in close proximity. KiSSFLOW instantly delivers the question or task to the next decision-maker or taskmaster using the internet. Thus distance is not an issue, snail-mail does not apply. KiSSFLOW does a nice job of tracking and archiving all activities for complete control and verification.

We use KiSSFLOW across multiple departments to streamline our business processes. The way our company is structured, administrators have forms, emails, and paper coming from every direction. KiSSFLOW allows us to generate a form containing all this information that is then digitally passed along a chain of approvals, while also retaining the information acquired and making it searchable.

From Capital Purchase Orders to Travel Requests, we've found a multitude of ways to automate our processes. Instead of leaving a paper trail from desk to desk among offices, to having a cloud-based platform that allows users to submit and approve from almost anywhere and keep track of the progress, KiSSFLOW allows us to focus on other aspects of our business.
  • Ease of Use: It's easier to use and see workflow tasks that are assigned to you, workflows that you've participated in, or workflows that are pending other peoples approvals. From a development side, it's easy to pick up and begin creating processes if you know Excel formulation, which is easily researched as well.
  • Ease of Access: Since KiSSFLOW is hosted in the cloud, you can access the site from any internet connected device. All you have to do is sign in with your account, as opposed to needing to be on the network to access like our previous system.
  • The App: This is a feature we really hope to get a lot of use out of. With the way our business is structured, there are a lot of Regional positions that are always on the go. Because our current system requires a user to be on the network to access, this makes it hard for these roles to respond to tasks, causing bottlenecks. With an app available, along with push notifications, we can keep these tasks responses on pace with the associates required in that task.
KiSSFLOW is very flexible to company size, and with webhooks and Zapier functionality built-in, it's great if you want to run automated or manual workflow processes, or a combination of both.

With our company structure, there are many paths a workflow can take that get funneled up the chain, which would be a mess of paper (and desks) trying to approve, track, and retain. With Reporting features built in, it's easy to do all 3 of those, while streamlining the processes and being able to retain the approvals behind them.

  • Our current cost for licensing is on par with our cost for Nintex, SharePoint, third-party support, hardware, and maintenance; with the additional benefit of being cloud-based, thus easing our Support and Network maintenance in field offices where no domain network access is available, or while on the go through a mobile device.
I've received a wealth of support and interaction from KiSSFLOW right off the bat. As soon as we reached out for a demo, KiSSFLOW was communicative above and beyond what I ever got from ProcessMaker. They gladly extended my KiSSFLOW demo for another week so I could test everything I wanted, and were always available via email or the built in chat to answer any questions I had, even though we were only in demo phase. The only thing I ever got from ProcessMaker were emails on signing up (and paying for) their own university to learn how to use the platform. With KiSSFLOW, once you get the basics, and with their support so readily available, it's easy to create apps in minimal time. On top of that, the KiSSFLOW team has been very receptive to any ideas presented to improve the platform, and genuinely welcome them as they want to improve upon their platform, and it shows.

We replaced a SharePoint/Nintex environment. Our main goal was to move to a cloud platform for accessibility as our users are spread out in field offices and properties, as well as Above-Property users being very mobile. Maintenance costs, time, and energy for the SharePoint environment was getting inflated as well.

Usability. The product had to do everything we need, easily. Beyond that, if there was something we needed that wasn't already built-in, we needed a partner who would listen and work with us to improve the product for us, as well as others, and meet all our needs as they progress.
We were very detailed in our selection process after the pains of living in a SharePoint/Nintex environment. We created business requirements, placed them into a spreadsheet, broken down by category. We then weighted the requirements individually, and as we demoed products, we filled out a rating on the sheet. Once all demos were complete, we ran calculations (rating*weight, averaged across category) to determine to 2-3 most viable products to do an in-depth demo (based on our business requirements which we supplied to the vendors) to see how they matched up with our vision.

Again, due to the pains of our previous workflow solution, we weren't messing around this time and wanted something that would go above and beyond our expectations, and not become a sticking point for our business processes.
