Use Cases and Deployment Scope

My team uses Optimizely to track briefs for
content/images, editorial drafts, content strategy reviews,
legal reviews, and more. The program makes it easy to manage and track
workflows, so you know who is responsible for their desired deadline. It also
provides reminders regularly to promote timeliness and ensure deadlines are easily met.

Pros and Cons

Easy to edit and adjust workflows if needed.
Provides reminders in advance and day of deadline.
Upload images, drafts, or edit directly in the platform.

The calendar view can be difficult to see everything unless you select specifics.

Return on Investment

The program has allowed us to meet our content goals more easily (e.g.: we publish X articles per month and track where each article is at).
It's helped us improve the accuracy of our information. We have SEO, content strategists, and legal teams involved in the workflow now because it's easy to manage.

Usability

It's extremely easy to create new assignments and attach documents or links that people can click on for more information. I've primarily created new assignments or worked within assignments. It's nice because you can see who checks off their step and it's pretty fun to be able to check on your own too once you're done.

Content Marketing Campaign Performance

I haven't used the platform for any campaigns. We have used them for large batches of information and visuals though. For example, editorial articles, state and destination pages, or graphics. Each type of article gets its own brief and workflow so you can easily manage them and nothing gets lost in the process.

Alternatives Considered

DivvyHQ

We started with DivvyHQ and moved to Welcome for reasons that I cannot remember at this time. The migration was a couple of years ago now. I enjoyed both tools, but I do think Welcome makes it easier to track workflows, edits, and comments specifically. These are all key elements when dealing with content and it has made a huge difference.

I think if you have a decent-sized team (15 or
more people) with multiple projects needed daily/weekly, you will enjoy using this platform. It really does streamline each workflow and holds everyone
accountable for their part in a friendly way. You can be interactive, take
notes, leave notes, etc. There are many interactive features, which adds
to its collaborative nature.
