Overall Satisfaction with SAP Ariba Procurement

The SAP Ariba was configured and integrated into our system to create the initial evaluation and assessment of new suppliers. Record the required documents during the initial engagement, determine the flow of the type of supplier, and send out the initial request to the new supplier. The new supplier is invited to set up their user account. Determines the requirement to engage with our company, upload the requirements and submits the data. Ariba provides status of ongoing evaluation and assessment based on the flow. Alerts internal users when new data becomes available. The flow of review assessment if satisfactory assigns the new Supplier account (master data) and is integrated into other required systems (i.e. Coupa, ERP SAP).

SAP Ariba has ease of integration, we already heavily used SAP solutions. So we have internal knowledge based already of data integration and mapping support within our infrastructure so it makes sense to stay with SAP.
Certainly with the ease of training and simple workflows the users in my group have adapted fairly quickly. Once the users gone through the steps a few times it was fairly easy to use. Supplier onboarding user experience have also been positive. Centralizing the documents upfront gives the evaluating members ease of use in making their decisions. Focusing more on the content of the data provided. Any outstanding or incomplete data are visible and can be easily addressed.
During the bring-up, I have provided the workflow inputs to our internal project manager and drove our requirements as a part of the bring-up. There were some minor workflow fixes that were scheduled and addressed timely and accordingly. Tests and bring-up was pretty seamless. User training was simple and therefore the user early adapters were quick to adjust and change.

The SAP Ariba has been able to successfully meet our needs with initial evaluation and assessment of new suppliers. The workflow has been generically implemented; however, not all suppliers have the same requirements and the flows can be varied. So it creates a little confusion when something is required and not required. The maintenance of the master data and integration has been clean so far between various systems. Some of the documents during the assessment have expiration dates i.e. ISO 9001 certificate, NDA, Conflict Free certificates. It would be great when dates are associated with these documents and sends out alert when they do expire so we can reopen a new assessment and request for the latest updates from the supplier.
