Adobe Experience Manager Forms

We use PDF forms for our submissions to the USPTO as well as for obtaining signature documents. With LiveCycle, I can update forms, save them, load them into my docketing database, and have them pre-populated with data. This process ensures continuity, less chance for error, and the ability to save the paralegals time when it comes to preparing filings.

Confluence

Confluence works well in a system where a lot of people are collaborating. It keeps everything organized and is located in one easy to access location. It is ideal for working on projects together. Especially projects that require information sharing. Compared to email communication, Confluence holds the information from all users. This is compared to using traditional file folders and email, whereby there are access issues and not all information is shared or searchable.

Pros

Adobe Experience Manager Forms

  • Ease of use for end users - the forms made from LiveCycle work flawlessly
  • Adding sections dedicated to pictures or other elements - there is some room for design here
  • Variety of choices for types of input to be added to each form and many options for configuring each of them
  • Works REALLY well for forms that just require text information to be filled in

Confluence

  • Organizing content so that people can find what they are looking for.
  • Putting restrictions on certain pages so that it can be seen/edited by appropriate employees
  • Letting people collaborate on documents simultaneously
  • notifying when a page has been updated
  • combining content with tasks so that things get done

Cons

Adobe Experience Manager Forms

  • A better guide or intro tutorial would have been great to have.
  • The learning curve is very steep.
  • File sizes can be improved upon as complex projects often push limits of this solution.

Confluence

  • Atlassian is not intuitive for the user. Several of our staff who have not received training on the platform find that it is not user-friendly.
  • Posting on Atlassian can also take more time than expected due to the plethora of options available.
  • Atlassian Confluence does not always look the same in different internet browsers. In talking with a co-worker, he told me it works best on Chrome. My computer has IE and Chrome, so I have to be sure I am using Chrome when I log into Confluence.

I am confident that Atlassian can come with additional and innovative macros and functions to add value to Confluence. In 6 months, Atlassian transformed a good collaborative tools into a more comprehensive system that can help manage projects and processes, as well as "talk" with other Atlassian products like Jira. We are in fact learning more about Jira to evaluate a possible fit to complement our tool box.

It's overall pretty straightforward and intuitive. You get a simple editing window that presents a live view of your formatted document, plus a toolbar for formatting options. If you're familiar with any word processing program (Google Docs, Word, etc) you should be able to master Confluence without much (if any) difficulty.

Pages load very quickly, which makes it useful for quickly obtaining information. The search functionality is also very quick and is able to parse through all of the documents to provide the most relevant results for the query. Other information based software gets bogged down, but so far Atlassian Confluence maintains its performance.

I have not had a lot of support experiences with Atlassian, but of the few I have, I wasn't very satisfied with the results. I found that multiple people would respond to the issue at various stages, requiring re-communication (even though the support system stores everything and shows it to both them and you). Often responses came at odd hours, resulting in 24+ hour turnaround on basic responses, even if you respond right away. Support often asks you to do things which require downtime, and don't seem sympathetic if your organization requires that downtime to be done off-hours. This makes it difficult to resolve issues in a timely manner, if at all.I must note that I have not opened a support incident with them in close to 2 years, and it's my understanding from colleagues that there has been much improvement. My comments and ratings reflect my older experiences.

Alternatives Considered

Adobe Experience Manager Forms

I have only ever used LiveCycle for our PDF form creation. I am not sure what other options there are, but we have never needed to look into anything else as LiveCycle works for us.

Confluence

For our needs, Confluence absolutely blew both SharePoint and Google Docs out of the water. We were able to get more granular security than with SharePoint while maintaining the collaborative tool sets found in both SharePoint and Google Docs. Additionally, the integration into tools we already had in place, rather than needing to jerry-rig a solution that would "work", was a critical deciding factor.

Return on Investment

Adobe Experience Manager Forms

  • Having LiveCycle enables me to offer more products in my lineup, so that is always a good thing. Most clients like the idea of being able to purchase a template and then making changes themselves, so I've had quite a few sales here. However it's not really something that will make me rich overnight or anything. It's just a tool that enables me to have different products.
  • If they could figure out a way to improve the limitations in terms of design capability in the form creation process, I could probably leverage this software a lot better since I would use it more.

Confluence

  • At a previous company, Confluence made creation and resolution of support tickets across a large and distributed organization very manageable. This was a major positive impact in that it allowed efficient management of many different customer deployments in a responsive manner.
  • At my current company, Confluence would have had a negative impact do to the slowness of the product, adding a significant overhead for our small team to get things done.
