If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Box

Box is great for uploading pretty much any file type and sharing it between people, computers, locations, anything. The file upload process is seamless, especially when you download the local file application. There is no longer a need to attach 10 different files to an email, you can now just tell them what folder they are in on Box, and they can be found easily.

  • In the business version, you have unlimited storage space in the cloud, so you never have to worry about the amount of files you upload, or buy more space in the cloud.
  • You can have an unlimited number of users making use of the same cloud, which is very good because it does not limit you to having to give priorities within the work group.
  • Box has data protection and file encryption, so you can protect your relevant information.
  • The web and mobile versions work excellently and very fast, both for entering your account and uploading files, and that is a very important factor since it allows you to work or review files from anywhere without having any problem.

  • Box has a bubbly UI that doesn't seem as serious, sleek, or "cool" as it could be.
  • Sometimes I have to perform extra clicks when I want to just have a single button, like sharing a link to a file with someone outside the organization.
  • Box is locked into the classic file explorer method of file management. I would prefer the option of alternate views such as tag-based file management as well.

As per the current market and the line of products that are available for content and document management system, Alfresco is a very good option compared to other systems in terms of features and cost. Plus the community support is great. Also since the product is open source, it can be extended or understood in a better way.

I like the security features and I like the website. It's easy to use and create and move things around as needed. The main reason for a lower rating is because the Box Sync app is just not a good program. It's a memory hog, it's slow, transfer speeds are slow, and it's not the most efficient route. If you have a large Box account and you need to get a computer up to speed on a large amount of data within Box, you are in for the long haul. Last time I had to do this, it took 3 days to sync all of the files and we are talking around 100 GB worth of data

The program is generally easy-to-use, but there are some issues with the file structure metaphor. It can be confusing for people accustomed to working with tree file structures. For example, if I share a folder with someone which is several levels down in my folder hierarchy, the shared folder displays at the root level for the person with which I shared. This is confusing and is not adequately covered in the training or documentation.”

It's good, but it's not the best either. When I first faced Box I had a shock at not knowing how it worked (I started using the web version), so I missed some startup tutorial or more tutorials on the web, but luckily there is something in the network and finally testing here and there I could use it without a problem. (Maybe for other users it is easier, I have trouble using some programs and I don't know why.)

The documentation is good. Since Box is a popular service, there were also a number of YouTube videos and other sources that were helpful as we were considering the product and planning for deployment. Also, the ability to try the free version helped to prepare us.

Be careful with settings. It is easy to get overwhelmed with updates. For example, you don’t want to be updated when doing historical data uploads. I recommend taking off notifications initially and then turn on post you have done your historical data upload.

All software has some pros and some cons. Alfresco has some good pluses, and suits our environment very well. It fit perfectly in the place that we are working on. That is why we decided to go with this software. Overall, the kind of content management that needs to be done in an organization is what would determine which software to use.

Box

I was (and am) a very early cloud adopter. I've had accounts with all of the major players since their inception - some even on direct invite! That said - I've used most all of the cloud services, and I've found that most offer the same and/or similar services with the main variations being in plan levels; space offered; integration sets; etc. Box has really stepped up their game in regard to overt compliance and GDPR regulations, so for any company that needs these two features as their main ones - Box is the answer.

  • Instant document lookup - No paper files to mail which saves in all areas of postage, truck delivery, physical storage warehouse space, printing, etc
  • No longer losing important documents - Previously with paper files things would go missing and those could be costly reports/assessments.
  • Ability to secure documents and provide access to only those who should be allowed to see that content

  • We decommissioned a PC backup tool because Box Sync provided similar functionality. I am not part of our IT department so I don't know how many dollars we saved, but during the migration, we were told it was a significant cost saving.
  • Our prior file sharing solution was so bad that people would only use it if they absolutely had to, meaning our file sharing practices were terrible. Now, people use Box for everything because it's so easy, so we now have better access to all the content we produce across our departments
  • I don't have stats on this, but the use of Box Notes vs. standard email-based collaboration has a significant impact on project team effectiveness in several projects I've been involved in.
