Nintex Workflow for Sharepoint

Overall Satisfaction with Nintex Workflow

The organization had a requirement to enhance existing business process by leveraging technology that was already on premise. Initially I was developing Nintex based solutions for individual departments, but once the organization was able to see the potential benefit of using the product everywhere, it was decided that we expand the utilization of Nintex for the entire organization.

In addition to creating complex business processes, we also used Nintex for site creation and governance, notifications and content management.
  • Visual development of complex workflows
  • State machines
  • Numerous more workflow actions
  • Ability to customize and brand workflow emails/notifications/tasks
  • Workflow scheduling
  • Ability to reuse existing workflows on other sites
  • Lazy approval (the ability to respond to an approval task via email)
  • The lazy approval functionality uses a hidden list in central administration. I wasn't comfortable with that, it would have made more sense to deploy a custom site collection for Nintex related content.
  • The licensing model needs to better reflect the concept of a SharePoint farm. Licenses shouldn't need to be purchased for Application Servers that have no workflow functionality. For example, a license should not be needed for a dedicated Search server.
  • Some of the web service calls needed more documentation.
  • We had a positive ROI for SharePoint Administration and Governance. We were able to cut our administrative workload significantly.
  • We had a positive ROI for our SharePoint PowerUser group. They were able to create complex workflows based on business processes that were compliant with numerous regulatory statutes.
  • Our Project Management Office estimated that one of the solutions they used that was based on Nintex saved approximately 8 hours per week per project manager.

We were required to evaluate two other products prior to receiving approval to purchase Nintex. We first looked at Bamboo Solutions workflow product. The pricing and support fit well within our requirements, however the system didn't have the large feature set that Nintex had. We also evaluated K2, but we didn't like the product requirements and the support model didn't fit our requirements to allow for end users to call for workflow support.
I have since moved on to a new position that does not currently have Nintex. Part of my roadmap is to purchase Nintex for the new organization that I work for. I work in a different industry now, but there are many areas that Nintex can help to increase productivity.
This product is well suited for large and small organizations since the it is not based on user licenses. Many of the functions in Nintex can replicate SharePoint Server Enterprise feature at a fraction of the cost of enterprise user licenses.

The product was easy enough for even entry level SharePoint users and since it uses a graphical development model, all of the workflow processes are documented automatically.
