This is an excellent system for any college/university or scholarship provider that offers a large volume of scholarships to a high number of applicants. The price point might be a little high for a smaller school/provider and may not be worthwhile if their numbers are lower.

DonorPerfect

DonorPerfect is great for gift entry, maintenance of clean data, tracking mailings and correspondence, and exporting that information to provide to someone else.

Pros

  • Ease of set-up of the scholarship applications every year.
  • The report functionality allows us to be able to sort through the applicants easily.
  • The review functionality is user-friendly that anyone new to the system can easily learn it.

  • My impression of DonorPerfect has grown over the years because they continue to address any issues that come up as well as expand and improve their product. DonorPerfect is truly a cost effective solution for donor tracking/accounting, contact tracking, and general database keeping.
  • We use WebLink to provide our donors an online way to make a donation. The page is easy to set up and works like a charm!
  • I love that I can create and change the "thank you" that the donor gets whether it is through WebLink, EFT, or manual entry.
  • It is so helpful to be able to access it anywhere we have an internet connection and that we can share information through the database.
  • It is great that I can create custom fields that are useful for my agency and what our development team wants to see. And I have the ability to hide what they don't want to see or what they don't need.

Cons

  • There could be improvement when attaching documents. Students sometimes get errors on uploading documents due to file names with certain characters.
  • Room for improvement could be mobile functionality.

  • Recently there seems to have been a change in how Screen Designer works. Now I don't have the different requirements: plus, hidden or show, like on fields that I used to. I reported this and was directed to Smart Screens. I spent a lot of time getting Main and Bio screens like I wanted them and now I have to figure out something different. I don't really have time to fix this. Upgrade or changes usually don't happen like this, but once every few years it does.
  • When adding a link (soft credit, etc.) to a gift, it would be nice if we could search directly from the field that appears instead of having to hit Lookup for another screen.
  • Year end recalculations are handled in a very odd manner. Any gift entered after midnight on the last day of the fiscal year automatically recalculates totals for that donor moving what you thought you were entering for what is now Last Year to the New Year. This is very confusing in that the database asks you if you want to recalculate. Until 2 years ago, I thought I was in control of this. For most non-profits, I am willing to bet that end of the year gifts -- especially if end of year is December 31 -- are not all entered in the database before midnight on December 31. The DonorPerfect administrator truly needs to be in control of this function so that they can be assured that the reports they run reflect the data they think it does.
  • On the Bio Tab, it would be great if it were by default set up to handle occupation, education, etc. of both spouses.

Poor cash batch interface. Almost half of our receipts are generated by cash and this interface does not support our needs very well.

It's always up when we need it. There are some errors that happen and are not reproducible and cannot be resolved. But [they are] very few and none that cause disruption for the organization.

DonorPerfect is as reliable as your internet connection. It is a cloud based application and therefore you cannot pinpoint where the bottleneck is should you have one. But for the most part the app runs quickly.

Alternatives Considered

At the time that we made the switch, NextGen was not able to offer the option that committee reviewers could rank a student and that their ranking could carry over into multiple scholarships. We already had over 70 committee reviewers and the process to review some of the more general scholarship applicants was taking more than 10 hours. The AcademicWorks System allows each applicant to be ranked by a number of committee reviewers (you set the number of reviewers) one time and the score can be propagated across multiple scholarships. This is an efficient use of the reviewers time and keeps the time commitment manageable.

There really is no comparison between Microsoft Access and DonorPerfect. Microsoft Access is not a donor database, and it is very hard to use and understand. Data can very easily be lost or overwritten in Microsoft Access and there is no customer support to help you when you're stuck and need assistance.Softerware, from the President down to the support team, all take pride in their work and their product. They are there to help you and your organization succeed and to make your job easy

  • Having DonorPerfect has increased our staff and board of directors' capability of understanding trends of our donors. It has also given us the ability to learn more about our donors and driven us to get to know our donors better.
  • We have been able to produce clear and precise reports in a faster way than our old way of reporting without a proper database. The variety of standard and customizable reports offered through DonorPerfect has helped the organization to see where their strengths and weaknesses are in types of solicitations, volunteer activities and event planning.
  • The add-on features that are offered for DonorPerfect have helped our organization to save money and time efficiency. For example, being able to process credit cards in DonorPerfect saves so much time of having to process the transaction else where and then having to enter that data into a database, it's all done in one place. There is also Weblink Pro, where you can customize your own online donation form to use, and then have each transaction download right into the database, adding the gift to a donor already in the system or creating a new donor record.
