As I have only used it in one business I can't say too much how relevant it would be for other types of business, eg Retail or Manufacturing. It doesn't appear to be specifically set up for ecommerce.

We wholesale products and it works well for that kind of business model.

Xero

  • For the price point, it's better for SME's and less good for freelancers who just need some basic services or enterprises who need way more functionality.
  • Functions SME's would likely add and would likely want to pay extra for include Sales Tax, Invoicing, and perhaps foreign currency.

Pros

  • Generic Inquiries are a very easy way to create custom reports.
  • The automation schedules are useful, we use these for confirming of shipments, creating invoices and emailing them. Reduces workload.
  • Open for integration with other software. We find the ease of connection to MS PowerBI very useful.

  • Find and Recode - This tool is amazing. You can easily search for similar transactions and recode. For example, one team member accidentally coded a transaction from a specific vendor to two different accounts. You can search for the transaction by vendor and recode all of them in one shot. Saves a lot of time.
  • Cash Coding - We have been able to take write-up clients and code a full year of transactions in a matter of hours (it used to take days). A little time invested in importing the transactions from the bank and then you can group and code the transactions quickly. Highly recommended.
  • Integration - The ability to synch with add-ons has been invaluable. Open API's allow us to even consider building some of our own dashboards. It also allows us to pay for what we need as we grow. We don't have to pay for all the bells and whistles for areas we (or our clients) won't use.

Cons

  • The CRM module is very basic.
  • There is no supplier remittance function.
  • The API is basic, our ecommerce integration has had to be built nearly from scratch.
Justin Leflaive profile photo
  • Bank Feeds - Xero much like other software is reliant on Yodlee feeds for many accounts. It's great when it works but can be a pain when the feeds go down.
  • Reporting - Xero is continually improving the reporting but there is still room for improvement. There are however some great reporting add-ons that can help supplement when needed.
  • Expense Reporting - The Xero expense reimbursement portion can be hard to manage with a large number of employees. There are very affordable add-ons that are better at scale.

It is very customisable and good value for money. It is also scalable for the future. The CRM and ecommerce integtration are the main downsides.

Simplest answer - it works for us. For our own company, I don't think we are looking for any options other than Xero right now. Everyone in our company uses it - Finance uses it for bookkeeping and follow ups, Sales for quotes through to invoicing customers, we all use it for individual expense claims. So far so good! No reason to change.

All of Xero's training is online and available for anyone (business owner or accountants) to learn and become experts in their system. There is a range of content from product training to real world webinars from their partners. Xero is beautiful accounting software and their training is the same.

Alternatives Considered

NetSuite is much more expensive and is difficult to customise or integrate.
SAP is a more complex and powerful system, but several times more expensive to implement and run.

Four years ago, Xero was the market leader. I had written an article on cloud accounting and compared all of the offerings. I had concerns as Xero was from New Zealand and preferred to use a UK company. However, Xero had more flexibility via its APIs and was, at that time, better than all other products on the market. Our first implementation required a full stock control system. At the time no other web based system had that kind of technology for SMEs.Xero was designed from the ground up as a web based solution. It has no desktop version that it tries to keep synergies with. Many new features have been added over the four years. As Silver partners we have what I would call a very good relationship. Xero has kept pace with the chasing pack.

I have considerable experience over the last 35 years with software. Solutions like Xero would have been unaffordable to SMEs. There are always new features being added although my only concern is a rushed through payroll system for 2015-16. In reality Xero was not ready and our practice suffered as a result. we trusted Xero that it was really tested. That trust was based on our involvement with the payroll development. That said, it is saving our practice time in processing payroll. There are some glitches still and reporting such as P11's are still not available.Occasional Payroll glitches and the slow development of the new more flexible reporting is the only reason this is not a 10.

Return on Investment

  • Time to match customer payments has decreased by approximately 30%.
  • Time to enter sales orders has decreased by approx 10%.
  • It has enabled up to easily access our system remotely, meaning we are able to be more flexible in our work.
Justin Leflaive profile photo
  • Xero continues to bring new clients. More and more clients now come to us looking for a Xero implementation. Originally we had to introduce all clients to Xero, so the market place for cloud accounting is certainly gathering pace.
  • Our practice works closely with Bills Entryless to streamline paper flow and minimise date input. Clients love this. This delivers great efficiencies with book keeping.
  • Our staff creates bank rules and this also creates efficiency.
