As I have only used it in one business I can't say too much how relevant it would be for other types of business, eg Retail or Manufacturing. It doesn't appear to be specifically set up for ecommerce.

We wholesale products and it works well for that kind of business model.

  • For the price point, it's better for SME's and less good for freelancers who just need some basic services or enterprises who need way more functionality.
  • Functions SME's would likely add and would likely want to pay extra for include Sales Tax, Invoicing, and perhaps foreign currency.

Pros

  • Generic Inquiries are a very easy way to create custom reports.
  • The automation schedules are useful, we use these for confirming of shipments, creating invoices and emailing them. Reduces workload.
  • Open for integration with other software. We find the ease of connection to MS PowerBI very useful.
Justin Leflaive profile photo
  • Xero makes reconciliation incredibly easy. It remembers how we reconciled a particular transaction last time and you can set up rules to auto code transactions so all you need to do is press OK. This makes keeping track of sales tax pretty simple too.
  • Reporting is a breeze, as long as you code all your transactions correctly it takes seconds to bring up a balance sheet, Profit & Loss and many other types of reports. It also allows for all kinds of custom layouts and exports.
  • Once your templates are set up with all the relevant information, sending invoices is simple and fast. It's also easy to track different line items on your invoice, say your keeping track of a project which is only part of the full invoice and is necessarily a specific line item, tracking codes make that very easy.

Cons

  • The CRM module is very basic.
  • There is no supplier remittance function.
  • The API is basic, our ecommerce integration has had to be built nearly from scratch.
Justin Leflaive profile photo
  • Notifications are really limited and surprisingly disappointing given what we've become used to in Saas tools. There's an area for discussing a transaction with the team but there's no way of at tagging those people so no one will see the discussion unless they actively look for it. Also, if an invoice is overdue, Xero will send the client custom reminders but it won't notify us, and same for bills, what if I just forget to pay a bill that's loaded up...? Xero knows but doesn't care. And the same for expense claims, you can upload a receipt and request reimbursement for it... but no one will be notified!
  • Integrations via Zapier are disappointing. Xero has done nothing to develop this area. Many of our other favorite spas products have really focussed on integrating well with Zapier. eg. Airtable, Trello, Helpscout, Gsuite, Slack but Xero has left a lot to be desired.
  • The dashboard doesn't give that much power for analysis and reporting. I'd like to be able to hack the widgets, add my own graphs and custom reports so I can see useful information.

It is very customisable and good value for money. It is also scalable for the future. The CRM and ecommerce integtration are the main downsides.

We have been actively using and 100% Xero based for our ecommerce accounting practice for over 4 years. There has on been one real outage for more than 5 minutes. Xero was open and transparent about the outage, what they were doing to resolve the issue, and provided 15 minute updates. Showing how they care about their customers and partners. Plus, showing that their customers care too, were understanding, and went surfing or in our case took a nap. Couldn't run our business without Xero as a partner.

Alternatives Considered

NetSuite is much more expensive and is difficult to customise or integrate.
SAP is a more complex and powerful system, but several times more expensive to implement and run.

Four years ago, Xero was the market leader. I had written an article on cloud accounting and compared all of the offerings. I had concerns as Xero was from New Zealand and preferred to use a UK company. However, Xero had more flexibility via its APIs and was, at that time, better than all other products on the market. Our first implementation required a full stock control system. At the time no other web based system had that kind of technology for SMEs.Xero was designed from the ground up as a web based solution. It has no desktop version that it tries to keep synergies with. Many new features have been added over the four years. As Silver partners we have what I would call a very good relationship. Xero has kept pace with the chasing pack.

There are two primary reasons for the 10 rating - UI (including platform stability) and the open API/add-on ecosystem. This allows a CPA to provide value-add services beyond traditional bookkeeping, and to truly fill the coveted "trusted advisor" status.
