Adaptive Insights

I am unable to rate Adaptive Insights higher than 7 out of 10 because I have not fully explored the functionality. Based on what I know and what I have seen, I would definitely recommend Adaptive Insights. I would love if more people at my company used it, so then we could share content with each other. There is a lot of content for one person to explore.

It's a really great system for small to medium organizations that are willing to spend some time thinking about how their workflow can be improved by designing processes which will allow them to streamline and automate their business. For people who are not serious about making a commitment to bettering their business, Workbooks may not be a correct fit. For instance there are a lot of features which many people think they don't need, but they haven't really spent the time to figure out what the needs of the business are. The nice thing about Workbooks is that you can turn off things you don't need, and then when the business demands, they will be there for you to utilize.

Pros

  • Discovery - monitoring KPIs. The new Discovery interface is the easiest dashboard I've ever used. I can have a new report on a Dashboard in under a minute.
  • Reporting - the click and drag graphical user interface makes it easy to design reports to answer almost any financial question. It also makes it easy to adapt a single report for 100 different users.
  • Planning - having multiple versions and multiple levels allows us to compare, contrast, monitor and manage with ease.

  • Automation - It allows you to create automated follow ups and reminders based on updating fields or other criteria
  • Reporting - In depth reporting and dashboards allow you to keep track of your business from following up on sales leads to what is in your pipeline. You can even automate reports so that they are created and sent in real time so you don't even have to be in the system to get your reports if you so choose.
  • Integrating with other platforms. We have integrated Workbooks with things like Quickbooks, MailChimp, HelloSign and others to make our processes more automated and streamlined.
  • High amount of Customization - No limitations on custom fields that can be created, multiple form layouts per record type, create your own relationships between people and/or organizations.

Cons

  • Users need more visibility for external reporting. If this already exists, then I would suggest more training or webcasts that cover this topic.
  • On the sales side of things, I would suggest ensuring that your NEW users are aware of the amount of training involved in learning to be an ADMIN for Adaptive Insights. Users need to be able to move beyond the implementation to active use. Yes, Adaptive makes things easy, but only if you know how to write the formulas and set things up correctly to run in the background. Hands-on training is a must! Our implementation was 3 years ago, though, so maybe things have improved somewhat since then.
  • More problem/solution-specific forums for users to interact with each other and find new and better ways of handling unique issues. Since Adaptive is so flexible, it often takes bouncing ideas off others to figure out the best way to plan for certain types of revenue or expenses.

Support requests are always handled promptly and resolved favourably.Many user support requests arise during initial deployment and use and often represent questions relating to best methods or how to approach their particular situation, which we gladly assist with as we provide the appropriate skills transfer training and assistance.As clients become more knowledgeable in working with the product suite then they tend not to ask many questions.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

We previously only used Excel for budgeting and reporting. We now use Adaptive for all budgeting and use an add-on product called Office Connect to build reports that automate our data each month. We find the Office Connect reporting a little more user-friendly than the in-house reporting feature.

We felt the high amount of customisation available from Workbooks was much more beneficial to us than the offerings from the larger CRM companies. We also liked the smaller company mentality of Workbooks as it reminded us of ourselves. Ultimately the price also paid a factor as Workbooks was more affordable for what we needed.

Return on Investment

  • Adaptive offers plenty of flexibility with what-if scenario modeling. It's very easy to save different versions of the plan/forecast and to control access rights to the versions. It's possible to hide versions from all users or to set them as read only.
  • Adaptive makes month end variance analysis very straightforward. Comparing actuals with budget/forecast is quite simple and efficient. It's easy to do a high-level comparison and then to do a deep dive where needed. Also, the budget managers can perform their own reviews simultaneously.
  • We've been using the software for 5 years and our budget/forecast cycles change all of the time. Adaptive offers the flexibility needed to create rolling forecasts that extend out several years. However, I wish that it was easier to roll forward historical results into future periods - there's a mix of actual/budget data that gets rolled forward and there's a lot of editing required to arrive at a baseline budget.

  • Tracking of customers who are in active support or not has benefited the support team's time by not supporting non paying customers.
  • Keeping track of why sales are won or lost has meant we can call upon times when new leads have the same characteristics as old wins/loses.
  • Creating auto invoicing scripts has drastically cut the finance team's invoicing time.
