Harvest

A project with many people working on it can be broken down into manageable chunks of time that can be TRACKED! It's nice that all of us on that project will receive a notification if we're close to the time allocated for that project, this way we need to speed up what is remaining for the project and stop brainstorming and get creating! We do NOT use Harvest for tracking employee hours for the day. We don't use it as a time card tracking purpose when used that way, it becomes too cumbersome and we found it could water down actual time worked on projects, because people will utilize project time for bathroom use, coffee refills, etc.

Toggl

Any scenario where you need to track time spent on projects or by customer. The customization of setup means it should work for almost any type of customer. We utilize the software to track time spent on projects, support, sales, customer service and software development.

Pros

Harvest

  • Consistently making updates to better serve their wide variety of users
  • Allows for a decent amount of customization - you can put in different tasks for different departments, you can put in project costs on a one-time or recurring basis to compare time to money, etc.
  • It's pretty easy to pull customizable reports to fit what data you want to look at.

Toggl

  • Lightweight interface. It is very simple to start and stop tracking.
  • Categorization, tags, projects, and clients. Make it easy to categorize time tracking and pull accurate reports
  • Reporting: their reporting system makes it simple to slice and dice our tracked data to get precisely the intel we need.

Cons

Harvest

  • We would love to see Harvest build a feature for more detailed proposals that could be signed by the client and then automatically be turned into a billable invoice. The estimate falls short of this for larger projects.
  • Sending an invoice directly to the client from the Harvest dashboard can sometimes fail. Because it's coming from a spoofed email- some clients never get the invoice because it get's trapped in their spam folder.

Toggl

  • When I generate a report based on a long date range (as opposed to a single day or week), Toggl provides logged time entries per project, user, or client, according to my search. Each time entry in the report is itemized and includes a description. However, the date and time per entry is not generated with this data. When I create invoices, I have to manually find what day the work was done.

Support Rating

Harvest

Harvest 8.6

I have not actually had any customer support issues as the product just works for me and I have not needed it. So using that as the basis of making my assessment on support I would reckon the team are pretty responsive and attentive to customer needs. I have only used the solution on Chrome and Android so have no idea what the experience is like on other browsers or phone operating systems.

I haven't needed much support from Toggl, as it's mostly come from a small team trying out the tool. I'm not entirely sure what the best way to reach them would be if I did need them. I'm also not sure how responsive they would be to support requests. But I think it's positive that I have not needed them

Alternatives Considered

Harvest

Harvest is significantly better than Jira. I think Jira's is not originally intended to be used as a time logging/management system, but we had been previously using it as that. It was much clunkier, and many employees had a difficult time using it as a user interface goes.Harvest is much more user friendly and has simplified the daily time-logging process for everyone in our office

Toggl

Toggl is sleeker and so much more user-friendly than Time Doctor. The Chrome extension with the intuitive power button icon really does increase compliance, which I think is one of the most important, and sometimes overlooked, considerations when choosing a new software for your team. If people won't use it, it doesn't really matter if it's more affordable and even more highly recommended.

Return on Investment

Harvest

  • Quick onboarding for new staff. Less time training means that the staff member can ramp up more quickly
  • Low impact on productivity in daily use. Less time tracking your time, means more time on projects
  • Easy to pull data, and use it for data driven decisions/estimates for future projects

Toggl

  • We replaced our in-house time tracking tool easily
  • We could incorporate the previous few months of tracking via CSV/Spreadsheet import
  • We still don't have the full discipline to track everything for everybody. It's only as good as the data you put in.
