Kanban Tool

Kanban is well suited for a fast-paced working environment for larger teams who want continuous communication with users. Kanban is good for rapid development and daily meetings for updates and statuses. Kanban is less suited for smaller teams or groups who don't require collaboration and constant communication with involved users. Kanban is time-consuming and it takes additional effort outside of your regular work to maintain and manage the tool.

Planview PPM Pro (formerly Innotas)

Planview PPM Pro (formerly Innotas) is perfect for waterfall or mostly waterfall shops. If you are an agile shop, you need to implement Lean Kit or will not have the agile capabilities. We had success linking VersionOne to Planview PPM Pro (formerly Innotas) through lean kit but it is a lot of maintenance to keep adding fields, and this does not fully support a feature team link to time tracking.

Pros

Kanban Tool

  • It provides a good basic overview of where tasks are on a timeline (particularly helpful for a pull-based approach).
  • It provides a good collaborative space to have multiple folks commenting on multiple tasks.
  • It does a good job of managing very basic visual elements of an agile development cycle.

  • The configurability of PPM Pro is the best I have seen in any of the PPM Pro tools I have used in my career. We are able to configure work flows that integrate into multiple PPM processes and integrate or isolate those processes with the others as needed.
  • The reporting capability is on par, and in many cases better, than other tools I have used. The ability to combine data elements and perform create unique calculations for reports is the best I have encountered.
  • The tools available for resource management are robust and provide great visibility into resource capacity and unfilled demand.
  • The integrations with the other tools in the Planview product line allow a full range of planning, management, and team activities in a format that suits the needs of each individual team.

Cons

Kanban Tool

  • Some of the boards we have could do with more than 22 card colors, although it is enough for most projects.
  • Really looking forward to the iOS application, which is said to be coming in 2015.

Planview PPM Pro (formerly Innotas)

  • History breakdown for time tracking per timesheet
  • Bulk edit custom rates
  • Autonomous Time tracking through 3rd party inegration
  • API capability for custom setup
  • Option to have a training video on any new capability at the new page rather than searching for it though archives

We are more likely than not to renew our use of Kanban. Even with its limits, it still is a good product that fulfills our needs.

Because I never evaluated other tools, I would be open to considering others. Given our establishment with Innotas and the value it has provided us, separating from it would cause some organizational discomfort. However, if a tool existed with a more intuitive interface for manipulating the data and factors of projects and resources, I would be very interested.

Again, this is a strong tool for software teams using Agile that are distributed across multiple geographies. It can be good for co-located teams too, but there are better platforms on the market like JIRA that provide a more built-out story.

Still cumbersome in some areas. It really depends on the individual. I've seen very smart developers who get lost just managing tasks and logging time. Whereas others use the system with ease

Their ability to assist and answer questions when needed is incredible. They create innovative ways to share information and help customers trouble shoot. I didn't give it a ten because I believe they could do a better job of personally reaching out to customers and providing improvement guidance based on where the customer is at and their needs at the time

It's been since 2009. A lot has changed. We have not grown as much as we could have because of executive backing.

Alternatives Considered

Kanban Tool

Kanban is superior to Scrum and AGILE because it can visually organize all your projects and data into one board. Kanban integrates with JIRA which digs deeper into the project data when it is needed. By integrating Kanban with JIRA, you don't need any other tool for project management that is effective for both the business and the development teams. Kanban is recommended for any user groups who wish to increase their efficiency to deliver products, transparency for all users and on-time productivity.

During a previous position I used Talisma CRM to keep track of marketing, sales, and customers. While they are slightly different, Innotas is overall better since Talisma from what I recall was rather disorganized. I have also used Ultratime to keep track of employee work hours and Innotas also has a significantly better interface and significantly more features than Ultratime with regards to employee management.

Return on Investment

Kanban Tool

  • We have been able to track projects much more efficiently
  • We have had less missed deadlines as we can see where a project is in the workflow

  • I did not have access to this level of decision making nor analysis, but since our license has been twice renewed I imagine that it is still useful to fulfill the objectives for which it was chosen.
  • From our project managers perspective they would still prefer to manage their plans exclusively in MS Project, however they do understand and accept the business needs to track resource time and their split between capitalized and operational tasks.
  • Our ability to create a process capable of handling requests from the business to IT and the integration of those approved requests into existing projects was a key decision to centralize the communication between the two organizations.
