Our organization adopted email encryption to provide an enterprise wide solution to protect sensitive data.
  • The integrated Outlook add-in is a simple to use option which allows on-demand email encryption.
  • The DLP configuration allows our corporation to detect and encrypt email messages which may contain sensitive data.
  • The hosted solution makes it easy to manage and effectively ensure the system is functioning as designed.
  • Granular levels of customization needed to detect unique corporate detection rules (beyond the standard level available).
  • Reporting options are limited.
  • Weight threshold would assist in modifying configuration for one-off instances rather than standard allow/encrypt rules.
Zix works well in preventing data loss as it relates to standard compliance regulation rules. Customized rules are limited which makes any configuration adjustments for managing email improperly encrypted difficult. As a hosted solution, the service works as designed with little intervention by IT staffing to maintain. Reporting can be challenging with search capabilities specific to those built in rules.

We use the server version to encrypt outgoing emails to protect member privacy.
  • It is seamless and does not require the end user to select or remember a password.
  • Administration by our Email /Exchange admin group is quick and painless.
  • We can assure our members that their emails and information are protected.
  • Actually we are pretty happy with it as is.
Since we are dealing with financial issues most of the time it is perfect.

It was being used across the organization. It addresses the problem of employees carelessly emailing sensitive data to someone outside of the organization that they didn't intend to, or that they shouldn't have sent it to in the first place. It enables an organization to take more control over what types of sensitive information is being sent out via email.
  • It does a great job of quarantining emails with certain data patterns.
  • It is easy to manage quarantined emails.
  • It is easy to tell why an email was quarantined.
  • Working with the policies can be confusing at times.
  • It would be nice if it were possible to remove attachments from quarantined emails and then send them through to the recipient.
  • It would also be nice if a thumbnail was displayed for image attachment so I wouldn't have to waste time opening a .jpg file to only find that it is someone's signature.
It is well suited for an organization that needs to meet PCI compliance or other such regulations. It also is good for anyone that wants to prevent bad publicity and other problems associated with leaking sensitive information to the wrong people.

The entire organization of 500 employees use Zix for secure messaging with our clients (it is our email gateway.) We went with Zix in 2010 to improve our security posture with such frameworks as HIPAA and PCI DSS.
  • Email encryption is easy to use, at both end-user and administration levels.
  • Support is fast and effective.
  • Seamless integration with Zix community of users. There's no need to go to a secure portal/website to send/receive messages.
  • It is cumbersome and difficult to reconcile license/user counts each year (true up).
  • Very expensive compared to alternate solutions.
If you want best-in-class email encryption and can afford the high price tag, then Zix is well-suited for your organization. Another good fit is for companies that need to easily comply with sections of HIPAA and PCI DSS. And finally, we as an organization are at a point where we will evaluate the business case to move this important service to the "cloud" or hosted platform. I believe this will be well-suited for those migrating from an on-premise solution to more and more hosted solutions.

Our organization is currently using Zix for our email encryption as sensitive information is many times included in our emails (social security numbers, account numbers, etc). Data needs to be protected and that is why we are using this encryption tool.
  • Zix will pick out numbers that look sensitive and encrypt the email so the recipient will need to provide a login.
  • Zix will pick out words that are not acceptable and trash the email.
  • Zix allows you to set blocks on receiving certain emails sent by businesses, people, etc.
The software use depends on your business needs. We are in the banking business where it is working great.

We use three zix products. One is for data loss prevention. We have a filter set up that scans outbound emails for potentially sensitive information. The second product that we use is for encrypted email. The final product that we use is ZixOne to provide encrypted access to email via mobile devices. All products are used by our entire organization.
  • Zix DLP does a great job of identifying the potential loss of customer information.
  • ZixOne allows a secure method while still servicing a bring your own device scenario.
  • Zix customer support has always been fast and provided excellent solutions to any problems I've had.
  • Documentation could be better.
  • Self help support needs improvement
Working in the banking industry, the importance of being sure you're securely transmitting customer information is key. With the suite of zix products that we utilize, we are able to provide secure solutions both internally and to our customers. I'm not sure how useful zix would be for a much smaller organization.

We utilize a ZixGateway virtual appliance to handle all of our email encryption services for the entire agency. It is also utilized to provide email encryption services for a smaller agency that contracts IT support through our agency. Since we deal with sensitive information that is shared across a number of healthcare service providers, Zix was a good choice for us, since it was already in use at many of those agencies as well. It's been very reliable with very little maintenance needed to keep it working optimally.
  • ZixGateway allows us to inspect and auto-encrypt emails even if the sender does not specify whether the email should be encrypted. This is important to us as it helps reduce the chance of data be sent in an insecure fashion, whether it's intentional or not.
  • Zix support has been very helpful in the few instances where they needed to be engaged to resolve issues.
  • Having the ZixGateway virtual appliance makes it easy to manage and has been very reliable for the many years we've been using it. Very little maintenance is needed.
  • Cost is a big con for Zix. I believe it's expensive for what it does, however, seamless functionality with existing customers was a big selling point for us.
Zix is great choice if you're in the healthcare services world. There are a lot of providers we work with that use it so it was an easy decision for us. The cost seems a bit higher than some other solutions and for small agencies this may be big deal.

We use ZixGateway to protect sensitive information in our outbound email communications.
  • The biggest benefit of ZIxGateway is the transparent encryption between our users and other Zix customers. In 12 months nearly 70% of our encrypted messages have been with other Zix customers and get delivered to the user's inbox without any extra effort for the users.
  • Zix support has been phenomenal! The few times I have had to contact them I was in direct contact with a technician who could actually fix my problem and didn't have to wait for a call back or sit in a phone queue.
  • The web configuration interface is a bit confusing and mail rules can be a bit tricky to configure until you get the hang of them, but any questions I have had are always well explained by Zix support staff.
This product works well for us as many of the organizations our users communicate with are also Zix customers.

It is being used by the whole organization for encrypted email. We also utilize the DLP for troubleshooting purposes mainly. You can use it to quarantine messages and release them upon discretion, but we're a small shop and that was more overhead than we wanted. We set the gateway up with policies. It's set it and forget 90% of the time.
  • Automatic Encryption
  • Notification of Alerts
  • Support
  • Zix Portal Management
It's great because it is set it and forget it. We spent 2-4 weeks monitoring everything, but once it was in a happy place, it just worked. We get emails daily showing the mail log so we can periodically check and make sure it is still working as expected. It is well suited for any size organization - maybe more so with ones that have to communicate with sensitive data. Either way, security is top priority for all businesses and email encryption is included in that.

We use Zix across our whole enterprise. We needed a policy-based email encryption system to protect us from unintentional disclosures of confidential information. We didn't want to have to rely on individual employees to decide what email messages need to be sent securely and which ones do not. Our ZixGateway takes care of that for us and that makes me sleep better at night.
  • Scans every message to determine if it needs to be sent securely according to the policies we defined.
  • Our ZixGateway uses what Zix calls the "Best Method of Delivery" to send messages securely. We particularly like the TLS First feature that attempts to send messages needing security via a TLS connection directly to the recipient which is more user-friendly than other methods of secure delivery.
  • The whole system is very reliable. We rarely have any support issues, but when we do, Zix Support is always very dependable, knowledgeable and professional.
  • The initial configuration of the ZixGateway is pretty involved. You have to put some serious thought into how you construct your policies because you are going to be depending on this logic to decide what gets sent securely.
Zix is very well-suited for companies in the insurance and health care industries. There are a lot of Zix users in these industries and this makes secure communication seamless. It might be the same for other industries. I'm just not as familiar outside of the ones I mentioned. If you don't want to have to depend on your employees to decide what needs to be sent securely, then Zix is definitely the company you want to work with.

We use Zix for a secure way to send emails. We also use it to block emails leaving our company with NPPI type data.
  • Blocks emails with secure data from leaving the building.
  • Portal for external users to access emails.
  • Easy management of the system.
  • Resetting user accounts used to be difficult.
Seems to be one of the leaders in this field so I think it's suitable for all companies.

  • Add additional functionality to web interface from command line
  • Add search functions to web interface, real time logs

We use ZixGateway for our email encryption and ZixOne as our mobile email app.
  • Automatically encrypts email that may have sensitive data like an SSN or account number to protect customer information.
  • TheZixOne phone app allows us to control email access to phones without having to wipe a mobile device in case of theft, loss or termination.
  • The ZixOne portal is easy to use.
  • ZixOne - reading attachments in calendar events does not work
  • ZixGateway - support has not always been the best. Sometimes great, other times not so great.

Zix has helped us remain compliant with industry regulations regarding email encryption and data loss prevention. It is easy for end users to encrypt and send emails through the Outlook plugin. It also protects our users from accidental disclosure by automatically encrypting mail using the rules we have configured. Zix also transparently encrypts emails to other organizations using Zix which is fairly common in our industry.
  • Automatic end to end encryption to other Zix users.
  • Easy for users to specify they would like mail encrypted with the Outlook plugin.
  • Prevents against accidental disclosure of sensitive information over un-encrypted email
  • Zix management interface could use updating.
  • Zix reporting interface could be more granular.
  • Zix management and reporting interfaces are separated.
Zix, with the Outlook plugin, makes it easy for users to ensure they are sending mail in an encrypted fashion. It is used very often by departments sending sensitive information across the Internet.

[It's being used] to encrypt any email that contains PII information.
  • Errs on the side of encrypt, vs. don't encrypt.
  • The amount of lexicons that get processed and the speed at which they process is amazing.
  • Zix to Zix works well.
  • Our users get frustrated when there isn't any reason for something to be encrypted.
  • Otherwise I don't see any changes needed.
It's great for our financial industry.

Zix is used throughout our entire organization and has given us the ability to encrypt only emails containing private information, while still having the ability to also send regular, unencrypted, emails to our customers as well.
  • Allows for easy log in and access to encrypted emails.
  • Allows for ease of ability to encrypt or not encrypt informaton
  • I have had no issues with Zix, so there are no examples for improvement here.
Zix is very well suited for a business looking for the ability to still communicate with its customers in a regular fashion, without customers having to log into a secure system to receive emails for each one sent/received, yet also allowing them the ability to protect its customer's private information and encrypt when needed.

We use Zix to encrypt outbound email to comply with federal privacy regulations. We use it across the entire organization. It has worked seamlessly and flawlessly. It works in the background so our users don't have to think about encryption. That is one of the main reasons we implemented this product.
  • Seamless encryption of outbound mail
  • Decrypts many inbound encrypted emails without user input
  • Daily reporting is very nice
  • The management interface is a little clunky
Any environment that has email encryption as a requirement will benefit from the ZixPort.

We use ZixPort as the outbound email gateway for 17 executive branch state agencies to secure outbound messages that contain sensitive information. We also host an external customer facing portal for external senders to send secure messages into staff that work at these executive branch agencies.
  • Automated content scanning and application of lexicon libraries. Keyword and individual account and group rule application is quick and easy.
  • Quick response to any technical issues or questions.
  • Easy to access and use public facing secure message portal for external senders to send encrypted messages to intra-domain recipients.
  • More flexibility to customize lexicon libraries at individual business units without having to apply that customization across all customers. We have some agencies that don't send HIPAA data for example but they do send healthcare terms related to Public Health aggregated data and it's difficult to apply customized exclusions or rules in Zix's current state.
  • Scaling across large, complex organizations is difficult with Zix because of the one size fits all approach that Zix takes. We are an IT service organization that serves 17 executive branch state agencies each with unique business requirements. As currently designed, we would need to have 17 different instances of Zix to accomplish the level of customization that each agency would like to have so it's a balancing act in serving the greatest number of customers with "One Size Fits All" service and realizing that no one is completely happy with the service provided due to the platform constraints.
Zix's strengths lie in the automatic application the lexicon libraries that no other vendor has been able to replicate thus far. I believe this is due to their corporate focus in securing email communications as opposed to being a security company that provides a variety of services including email security. Scanned PDFs are a chink in the armor for Zix as well as their competitors. Forms that people fill out in handwriting that contain HIPAA, PII, e-PHI, SSA data are not caught because they have not been OCR'd. We receive a ton of this type of correspondence that goes through Zix and it's not recognized and not auto-encrypted. Zix could be a market leader hands down if they integrated OCR technology and the application of a second scan post OCR so that these messages could get the same lexicon library rule application as other components of the messages.

We are a third party managed service provider, we have deployed Zix at two whole organizations. Zix keeps both of these organizations in compliance and helps keep private information in the right hands.
  • Easy to access portal for recipients who are not Zix customers.
  • Completely compatible with Exchange - including Office 365 - making implementation a breeze.
  • Responding to issues and requests in a timely manner.
  • Ability for non-zix customers with Outlook to utilize a plugin instead of a portal upon receiving zix encrypted mail.
  • Would love to see even a low level amount of spam\virus protection on inbound mail.
  • For the portal, possible support for 2FA or ability to require more secure passwords.
I feel Zix is critical and helpful in banking, real estate, loans, etc. However I feel it could be less useful in environments where less compliance is required. Another great industry would be education. Essentially Zix is irreplaceable in any environment where personal or private information is sent via emails.

It is being used across to the organization to send sensitive information via encrypted email to internal and external users.
  • ZixMail plugin for Windows Outlook is fairly easy to install and use for most of my users so far. This means less hands-on support on my part.
  • Zix at least provides an option for users of all platforms for all users, regardless of what platform they use.
  • Make a plugin for Outlook for Macintosh that works the same as the one for Windows Outlook.
  • Update their documentation and alert/error messages. Some messages during installation, and during use contain references to outdated products, software or equipment that make it obvious that Zix hasn't properly reviewed and/or updated their product and documentation in several years. Quality control is lacking in this regard.
  • Support can be difficult to work with. They seem to know their products well, but may not be able to make good (logical) inferences about what I as a customer really wants, or am asking for or about. It's like they know the standard Zix answer to some problem and give that without really knowing or understanding the nature of the question.
Works well in large environments (esp. Windows) where the systems are homogeneous and reasonably well managed, but not quite so well in mixed (Windows and Macintosh) environments (like universities), as users of the different platforms have totally different user interfaces and user experiences.

It probably works well for a small company.

Zix is being used by our inter-company email for companies to provide secure encrypted access. This process helps in providing secure email that can possibly have confidential personal information. This information is communicated securely for the client.
  • Encrypted Email
  • Notification of the messages
  • Expiring Emails
  • Customizing the portal to brand with company.
  • Additional add-on tool with Zix that has to be installed.
[It's well suited] where corporate secure messaging is required. The financial, real estate, intellectual property or healthcare industries can particularly benefit. [You can] customize the portal to provide branding as well. You will not use Zix for day to day communication and it will create overhead. There are other solutions that are more easy to use in those circumstances.
