Overall Satisfaction with Paylocity

We have 3 companies with Paylocity. We use HR, Time and Labor, HRA, COBRA and Onboarding. The new system in submitting payroll is a bit complicated and not as intuitive as it previously was. For one company we submit two payrolls each time, one for hourly and one for salary. Getting the calendar dates in is not easy. Our payrolls don't fall on the same pay dates each month. This presents a challenge for Paylocity. For the convenience store it is hard for Paylocity to do the different pay levels for the shifts that people work.

Pros

  • Able to enter payroll and have payroll be paid the next day
  • Able to track commissions well
  • Like the onboarding feature and processing of E-Verify
  • Like the online features for employees and the employer
  • Nice to get a person when you call into support, usually the wait is not long at all
  • Love the ability to process payroll even when out of the country

Cons

  • Submitting payroll with new process is not intuitive
  • Wish there was an area where notes could be kept on each employee if necessary
  • Front load vacation time is giving me a really hard time and can't seem to get fixed
  • Wish there were templates available to do reviews and have them kept online with the employees information
  • Would be nice if Paylocity did OSHA tracking
  • Reduced time expenditure - not having to cut checks between payrolls
  • More visibility for the employees for their time off balances, HRA, etc.
  • Consolidation of the payroll processes, HRA, COBRA, etc.
Consolidated our COBRA and HRA into Paylocity recently to allow more time for every day work. Continue to struggle with staff shortage so any and all automation, providing that automation delivers correct information, helps.
Do not like Community and have not turned it on for employees. Fear it will turn into Facebook and employees spending all their time on it. We are small companies. They all can currently communicate by email and/or see each other in person.
We were with Paychecks for a while but then they decided they could not handle our unique payroll calendar and were going to force us to change. The owner was not happy with that. We haven't looked back.

Our payroll is difficult. Paylocity was able to accommodate our unique timeframe for paying our employees, hourly and salary and then putting the two together into one payroll each time. It messes with the calendar, for sure. The time clocks are helpful as well. It is harder for one of our other companies in keeping track of the different pay levels for each shift. A lot of that has to be done manually. That part is not so great.

Using Paylocity

2 - One is the Controller, which is me, and the other is the Executive Manager. We are the payroll processors, but all employees have access to their accounts with Paylocity. We have integrated Paylocity with our Benefits Administrator and providers.
2 - This would be the same 2 who process the payroll. Myself, the controller and the executive manager. We do the onboarding, oversee the integration of the benefits into the payroll system, take care of COBRA in the system, take care of the HRA attached to the payroll system, etc.
  • Verification of Hours Worked, properly calculating overtime.
  • Verification of Time Off accrued and time taken.
  • Verification of amounts paid for benefits
  • Verification of Quarterly and Year End Numbers
  • Accurate and Complete W-2 reporting to all employees
  • Accurate and Complete processing of payroll taxes, both federal and state.
  • The employee's ability to do their own onboarding and enter their own direct deposit information is a gift and a blessing.
  • Keeping track of employee documents, all of their onboarding documents that get signed electronically.
  • Keeping track of employee benefits and being able to integrate with our Benefit Administrator is awesome.
  • Being able to access COBRA and having that processed is also critical and time saving.
  • I would love it if we could process background checks through Paylocity. That would make life so much easier.
  • I would love it if we used Paylocity's employment screening process but I don't know if we would be able to afford that.
  • It would be great if there was a place in Paylocity where meetings with employees could be recorded and/or notated about what was said etc., to be able to keep notes.
  • It would be wonderful if there was a section of Paylocity that could keep track of information necessary for the Department of Transportation. To be able to keep it all in one place.
We like the product and the versatility of the product, along with the accuracy and integrity of the product.

Evaluating Paylocity and Competitors

Yes - We were previously with Paychex and Paychex told us they would no longer be able to support our dual payrolls of hourly and salary people with different pay periods and only 2 days of overlap and processing time. It was rather abrupt and caused us to seek help elsewhere.

The ability to handle our dual payrolls at the same time with hourly and salary and having two different pay periods for each. The owner of the company was adamant about keeping this setup.
We have 3 companies with Paylocity. The convenience store has a hard time with Paylocity in calculating the hours worked. This creates some manual calculations each pay period. If they were to have to change again, it would be to make sure the system could handle the calculations. Paychex did do that part well.

Paylocity Implementation

With any new software there are always growing pains. You have to learn the software. Having people accessible to answer your questions is key.
Yes - Imported employee's information before running the first payroll. Didn't have benefits to import at that time. Them imported past history. Didn't go real smoothly but in the end it worked.
Not sure - Not sure what you mean by organizational change management. We didn't have a change in management.
  • Getting all the history in. Didn't go as planned. I think I had to manually put in some.
  • I think once the installation started the salesperson was nowhere to be found and he had promised us something, but has been a while, don't remember the particulars.

Paylocity Support

Most of the time you can get a person right away. Even though that person is not necessarily your rep, they are able to answer your questions. If they don't know the answer they reach out to others. Some are more knowledgeable than others but overall the experience has been good.

I don't think we have premium support. I don't remember having to pay extra for that.
Yes - Our payroll is difficult. We run 2 payrolls each time, one for hourly and one for salary. Our pay periods are different for each. The system has a really hard with this. Most issues get resolved pretty quickly.
My payroll dates were really screwed up for the payroll I was trying to do. I was concerned I wouldn't be able to get help in time before the direct deposits wouldn't go. I was able to get a support person who was able to get my dates fixed - although she couldn't fix the previous payrolls with the wrong dates -- but we were able to get the current payroll fixed and the direct deposits didn't get canceled. Very grateful.

Using Paylocity

Processing the payroll in the new format is not always easy. It is not as intuitive as the old way. I do still get lost at times as to where I am supposed to go next. You have to remember to look in the lower part of the screen and to the far right. It gets confusing and sometimes if I have to change something, that is no picnic. Plus I do hate it when they change the way you access the reports. You think you have it all down and they go and change it. Some days everything is a test.

Yes - As far as I know it works well. I think we only have 2 employees that are allowed to punch in and out online, using their mobile device. Haven't heard any complaints.
