Overall Satisfaction with Stampli

We use Stampli as a means to augment our AP data entry as we went from 1.5 employees down to .5 employees dedicated to AP. We have a high volume of invoices for the staff time allocated to AP, and Stampli has made it very manageable.

We use Stampli to have a more robust and meaningful invoice approval process than we had prior.

We also use Stampli Direct Pay, which has saved us hours of time each week that had been spent printing, signing, stuffing, and stamping vendor payments.

Stampli is an AP automation software first, whereas the other options we reviewed were a payment processing service that included AP automation.

The Stampli user interface is modern and easy for everyone in the organization to use.

Other options we reviewed had a "Pay for Service" model where a monthly charge would move you to the front of the line, whereas Stampli customer service (which is awesome) is included in the cost.

Stampli was the superior choice on every feature, their sales team was more engaged, and the cost was basically the same for every option. It was an easy choice and we're glad we made it.

Stampli costs about the same as 1/2 an AP salary, but it can easily replace 1 or more headcount. AP has been a difficult position to fill over the last several years, and the quality/accuracy of the work seems to have declined at the same time. Stampli can reduce the time spent on data entry down to seconds per invoice, and it gets the basic info entered accurately before AP staff even looks at it. It can handle PO match invoices better than our ERP system (which it integrates with).

1 - It's so intuitive, we just have one point person to answer questions from users. It did not require any special training beyond what was received during implementation. The Stampli support team (when needed) responds within minutes.

I cannot imagine going back to pre-Stampli processes. Our jobs in the Accounting department (not just AP) have all become more engaging because we've cut out so much mindless, non-value added work: data entry, signing checks, stuffing envelopes, stamping envelopes, etc.

Evaluating Stampli and Competitors

Yes - We were doing AP entry in Netsuite. Netsuite was a step up from our previous system (Accounting Seed in Salesforce) because it allowed us to easily attach a PDF to the invoice entry. But Netsuite wasn't fast, it was difficult to track invoice approvals, and getting to that attached PDF was not intuitive.

All the other AP automation software that we looked at all did the same basic functions. Stampli had the cleanest, easiest to use user interface, and we needed to be sure our non-Accounting staff would be able to use it effectively to approve invoices.

Stampli Implementation

We lost an AP employee right as we were deciding to implement, so we had to speed up our timeline. We went from signing the contract to fully functional system within 4 weeks. We did not dedicate any more than 4 hours per week during the implementation.
Change management was a big part of the implementation and was well-handled - We probably over-trained and over-communicated Stampli to our non-Accounting users. It's so easy to use that most users had started using it before coming to a training session.

Stampli Support

We have a dedicated rep (who was also our implementation rep--they stay with you after implementation) who we can email whenever needed and meet with every quarter. There is a chat option within the software that gets responded to by a real person within minutes.

There was not an option to purchase premium support.
We have a unique issue of paying over $600 to individuals as a reward for referring customers to us, so we need to collect W9s before we can issue payment. This program has ballooned from several dozen to several hundred payments, and W9 compliance has been difficult to manage. Our Stampli rep worked with us to come up with a solution using the Stampli vendor portal after our referral software vendor basically shrugged their shoulders (even though they acknowledged that several of their customers were having similar W9 issues).

Using Stampli

It's a modern product with easily recognizable functionality. The user interface was the main factor in our decision of Stampli over it's competitors.
