Accelo

Pretty good as a basic CRM, decent as a support desk. Tries to do a lot, but doesn't excel at any one thing. Reasonably priced, though, and can be a component in a larger setup.

JIRA

We use Atlassian JIRA for development projects. It seems to work well for us for this. We run around 50 projects at any one time in the system. Users don't typically need any specialized training as it is pretty intuitive to work with. We have it integrated with Active Directory for credential and user management. It would probably be a good idea to determine just how many projects and how many items you can reasonably manage.

Pros

  • Retainer Management - I am not sure we could run retainers effectively without it.
  • Hour Logging and Tracking.
  • Customer Email Tracking.

  • Linking issues to Stash repositories. This is critical for any technology development project. It also allows us to see how much work is being performed on each issue.
  • Highly Flexible. The nature of JIRA is one of flexibility. I have the same program servicing our Technology Development teams, help desk, Systems Administration team, and our project managers. We have several distinct project types and I have been able to make issue-type schemes for each of them to better organize the work needed to be done.
  • Cross-platform integration. While I am not a huge fan of Java applications, it does mean that it can be readily deployed on multiple systems and architectures. Since JIRA is almost exclusively website oriented, there is also no need for deploying client side applications onto workstations. This will ease the burden on Admins operating mixed-system networks.

Cons

  • Difficult to upload targets
  • Not easy to modify a target
  • When uploading targets you can not attach them to tags until after they are uploaded.
  • When listing opportunities in the system, you are limited with what stage the opportunity is in and the star system is not very helpful. The status' are very vague and not always accurate.

  • JIRA is missing an iOS app. Even though there is a mobile version of the site, it is not easy to work in. As a manager, I receive a lot of JIRA related emails. Being able to answer questions or make changes on the go would be very helpful.
  • You are able to embed a form outside of JIRA that would upon submitting, create a new JIRA task. We use it for submitting tickets. Once a ticket has been closed, there is no automatic way of informing the requester about the resolution.

I used to get immediate support from the Jira helpdesk; also most of my issues are already explained in the user manual which is really helpful.

Take your time implementing Jira. Make sure you understand how you want to handle your projects and workflows. Investing more time in the implementation can pay off in a long run. It basically took us 5 days to define and implement correctly, but that meant smooth sailing later on.

Alternatives Considered

Accelo doesn't really exceed any competitors in any one area of their product, but in 2015 when we made the move this was the best option that included all the tools we wanted. However, user adoption was low in some areas due to the UI, so we scaled back Accelo and added other tools.

JIRA blows Sharepoint out of the water. I've been a heavy user of both and the JIRA implementation we have now has reduced so many headaches within our organization. At one time, we had physical cards to track Sharepoint issues and were forced to stand around a board for 15 minutes, twice a week, fighting for urgency. JIRA has made it easier to enter tickets, prioritize them, watch them through the entire process and sign off upon completion

  • It substantially reduced the number of systems we use to run our business.
  • It reduced the need to train our staff on a variety of platforms.
  • It gave us the ability to have a client-facing portal that directly integrates with our backend systems.

  • A lot of accountability.
  • Every developer can see their progress and how they did. No one needs to be told.
  • Excellent communication - don't email etc, just add a comment in JIRA.
