Cvent Event Management

For any type of event/activity that you are expecting more than 30 people. Cvent has all the tools to manage 30 - 1000+ person event with different complexities being able to used per type of event. For instance; we hold our Graduation week on Cvent this has multiple activities for both our students, faculty and staff to attend depending on the type of program they are graduating from, Cvent makes it easier on both planner and invitee to know where they're going and what to expect. We do not use it if we have a smaller event (10-15 people) or do not need to know who is coming (i.e. open forum/community walk-up)

Pros

  • I like the appearance of the booking confirmations - it is more visually appealing.
  • The booking module is fairly simple and user friendly.
  • It works with our campus financial system and allows the system to take payments for bookings, which we cannot do with EMS currently.

  • User friendly for those registering, by answering a few quick personal questions and any custom registration questions (i.e. dietary restrictions).
  • Customer support, if you can not find an answer within the Cvent Community (Cvent's google of all things) then you know that you are just a phone call away to have someone not help fix the problem but also walk you thru it in a teaching manner as well.
  • Proactive with technology advancements making it easier on both the planner and invitee. Example - On-Arrival, badges can be made in advanced using Cvent registration with seating assignments but while checking in the invitee just needs to state name and quickly be found via tablet this information then can be transferred to all planners in the room (i.e. VIP arrivals).

Cons

  • I really like the look and feel of ActiveNet Reporting, but it isn't extremely customizable. Maybe there is something I am missing, but other employees have shared that same feedback.
  • It would be nice to have the system synchronize with other software we use. (EMS, StarRez, etc.) When planning conferences, we currently have hotel guests and registration that we would like to share information for through each system. Currently it is just double data entry.
  • Would like to be able to add more resources and details to a room booking and have the corresponding departments be notified of the order/track inventory.

  • Training more virtual, although you have most of the resources it can be overwhelming as you are not going to learn everything all at once. Though there is always Cvent Community and a phone that can be made.
  • Images it would be great if there were some stock photos or backgrounds that could be used that already to the sizes needed.
  • Flex - logic questions and being able to put in more sub questions on top of each other.

We've had some customer service issues. Support is great for those just getting started who need to understand the basics. It is much less helpful if you are looking for work-arounds or ways to creatively solve a problem.

For advanced issues, the support team doesn't seem able to offer work arounds or alternative ideas. They often refer you to the support center and articles there, which is somewhere I typically check before reaching out to them in the first place. I understand how Cvent functions and how to set up typicaly sites, it's when I need out of the box thinking that support is often disappointing. We've also had trouble with our account reps not following up on questions or issues that we have and it takes repeated follow up on our end to get any answers.

It would have been nice during implementation if we had received more pointers on how to organize our parked report folders, libraries, etc. to avoid the mess we find ourselves in today. If we had known ahead of time the limitations we could have planned better.

Alternatives Considered

I would continue using ActiveNet over EMS only because it connects and talks back to Banner, which EMS currently lacks. Otherwise I am not sure I would choose it over anything else as the functionality isn't quite the same as the competition.

Cvent is by far and away one of the best platforms I've used for event management. I was not at my organization when Cvent was purchased, but I did some research and went to one of their success group lunches while at another organization. RegOnline is or was an antiquated program that was used at a prior position. I didn't have any say in this purchase, but the unfortunate position to use it while there. I used Etouches at a conference where I assisted the registration table and found it to be problematic with its syncing capabilities. None of these other programs have the size or scope of what Cvent can do that I have experienced.

  • More than anything else, being the sole person responsible for our organizations events and marking, this program saves me time with logistics, reporting, registration, contact information, creating marketing, posting with social media for these events, finding locations for hosting these events, onsite assistance with the event in a box and the event phone app.
  • The Event in a Box is one of the best tools any organization can use for meetings large and small. The smaller option comes with all the tools (2 iPads, 2 iPad stands, badge printer, router, cords and the first 500 badges) you need to have a high-tech registration desk for events up to I think 300 ( I may be low balling). The attendees can check in and print out their badge right there on the spot. The program allows you or the attendee to edit what is written on the badge instantly, you can use ANY amount of iPads or iPhone with the app to check them in to keep the registration line to a minimum. There is no need to ship a regular printer for badges, or pre-print badges. This tool has transformed our registration table into an efficient process and helps to make sure everyone who shows up DID register and has paid up if there is a fee. We were able to raise our revenues a few hundred dollars for our last seminar (56 attendees) because a handful of people showed up who did not register beforehand and pay the registration fee.
  • While I do actually have a third party person who takes care of our hotel contracts because she has more experience with contracts, Cvent has an amazing tool to search for your perfect location with super granular filters and discounts to some locations just for using Cvent to contract your next meeting. I have used it to find venues with my specifics in areas I am not familiar with and pass them along to my contact. She too also uses Cvent to find some of our venues.
