Airtable

Good for replacing administrative spreadsheets, creating resource assignment and calendars, planning activities, creating on the fly data stores, outputting simple mobile data entry forms. Dealing with mobile staff needing to enter simple data quickly or with managers and officers who need to see real-time snapshots of information. When dealing with smaller data sets and not requiring blocks, then for a non-profit it is useful to have the free workspaces where everyone can fully collaborate and update records.Less good for complex financial work you should stick with Excel or your finance system. If you have a very large number of records and need many people to be able to update records then you need to consider the costs (however most off the shelf products you will be looking at to do your specific tasks will probably cost more when you evaluate them).

Workamajig

I think this holds true to almost any CRM, but if you want to truly utilize it you sort of need to go all in. This can become tough with WMJ because it doesn't offer some critical options that many other CRMs do, like the ability to create and send emails, e-newsletters, to throttle and invite outside clients to look at projects, etc. As such we're pairing Workamajig with Hubspot (and slowly phasing out Mailchimp) and trying to keep the data clean and flowing between them all is pretty tough. I'm also not aware of any API bridge from Wordpress to Workamajig so while I can program and feed my leads from my site into the other spaces, Workamajig remains a manual entry for any insertions you want, even if simply as a CSV import.
But - if you're not worried about that and simply want to manage projects, budget time, and scope things, it's a robust system allowing you to do so.

Pros

  • It's very easy to use. I was able to start from scratch and get a pretty complex workflow set up in just a couple hours.
  • The ability to create one "master table" with every piece of possible information is good for the "deep dive" members of the team, but then it's easy to create views and calendars based on just a few pieces of data that are better for one specific use or person.
  • Being able to store draft content on the system as attachments means that the review copy/image can be included in the workflow rather than as a separate email or in another tracking system.
  • The ability to quickly group, sort and filter on the master table make it easy for the power-users to work with the full set of information, but still find a specific project quickly.

  • Workamajig provides a way for anyone to look up any job and be able to check statuses or even pick up where the last person left off.
  • As a designer, Workamajig has streamlined communication between the design team, account managers and accounting departments.

Cons

  • It would be great to have multi-tiered selection options. So if I check a box-like, "Does this need social support?" I could then pick from a multi-select drop-down based on the choice.
  • It would be good if we could have a kanban view built off a selection from a multi-select since some projects might be part of multiple strategic initiatives.
  • It would be cool if forms could have some basic if/then functionality. As it is, we need to create different forms for different media requests that share 75% of the same data.

  • the timeline feature is not intuitive- it does not allow you to have different timelines interconnected with other projects and makes it different to put a large scale plan in place.
  • They do not have a mobile app and the mobile page's functionality is not very intuitive.
  • Workamajig requires a lot of up front training to know/understand all of the functionalities and can take away from team productivity.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

Personally WMJ is my least favorite project management program of those I've used in jobs past, but it was not my decision to use it and I believe our company has been utilizing it for many, many years. To be fair and put this in perspective, my interactions with WMJ probably only are utilizing about 25% of it's full features, and those are primarily for job assignment, time tracking, and setting scope of work. I do not have extensive experience with any of the rest of its many features as say, a project manager would. However for my uses, I often find the system cumbersome and while Platinum is a HUGE improvement on the GUI, there's still a lot of features I'd like to see, down to addressing various types of permissions to help facilitate the people who are doing the work that is being tracked in the system.
I think it's heavily geared toward the project management side of things which is great, but it can be cumbersome for the channels creating the work.

Return on Investment

  • Too early to tell. I hope that it will allow for both a task-specific view that helps people keep on schedule with projects and higher-level views that help with tactical and strategic planning.
