Alfresco ECM

If you have regulatory or business needs that require saving email into Alfresco and you are using Outlook for Mac, you may need to perform significant customization to make it work. Additionally, if you will have users that will be members to a large numbers of sites over time, you need to thoroughly explore what functionality will be degraded or lost and how to mitigate the impact. Other than these two scenarios, I cannot think of any scenarios where Alfresco would not be well suited to an organization's needs.

Works great for organizations with distributed personnel and has the ability to allow segmentation based on organizational rules, and for organizations who need to split storage costs for documents. Good support for a variety of file types and best suited for a primarily Windows environment. While it is possible for non Windows users to interact with OnBase through a web client, the experience will be less than ideal. For heavy scanning environments its best to stick with the traditional OnBase Client as the Unity Client (OnBase 16 SP2) still struggles with handling large batches of documents.

Pros

  • Integration with other applications, namely Drupal and Moodle, was simple and works beautifully.
  • The UI is intuitive, clean, and friendly. Users have required little training for basic functionality.
  • We have been pleased with the overall system performance of Alfresco Enterprise Content Management.

Cons

  • Alfresco is a bundle of technology packaged together, so this solution requires a lot of expertise if you want to customize a lot your solution.

  • The main downside is that it has to be connected to another software (UIS) to accomplish everything we need. This makes it particularly slow over VPN connections.
  • The way that decisions are integrated with other programs makes it hard to "undo" a decision or backtrack. It would be nice if it required fewer steps.
  • It would be great if there were more tags available for documents so that there could be more options for filtering and sorting.

Process was relatively smooth and overall, downtime minimal. MSI was very responsive to our needs and made the transition easier than it otherwise might have been.

Java based open source wide community and popular ECM which is used by fortune 500 companies.

Again, I am not involved in the purchasing of OnBase for my company. However, I would say that even though OnBase does many things well, many of its downsides are related to having to communicate with another product (in our case, UIS). A traditional CRM is much stronger, in this respect, so I imagine a lot of products would be stronger than OnBase

  • Community version is free/open to use so small business owners can use all features without investing.
