APS does a fantastic job of helping us with payroll processing and HR management. The software is easy to use. The multiple user access makes the various management approvals easy and the reporting helps out in multiple areas. We also backup all our HR records to the cloud with their secure docs module

This program is an easy program to roll out to employees as it is very user friendly. If you are a larger company, this will definitely eliminate questions or concern from employees who fear they may not be able to use the program

Pros

  • CUSTOMER SERVICE. They are so helpful and you get a really quick response. You don't ever sit on hold for hours on end and you get the RIGHT answer or resolution to your problem. We previously had ADP which was a nightmare so APS Online customer service has made our bi-weekly payroll runs a breeze.
  • Customizable - we were able to make any adjustments as needed to our different departments, types of rates, types of vacation accruals etc. With the great customer service we can explain exactly what needs to change and they take care of it right away.
  • Transition from your old provider - APS Online worked with us and pulled in all of our old information. It made our workload a lot easier. They even helped pull reports for us to use from our old system which has helped us complete various workers comp audits.
  • Reporting - through APS Online you can create SO many custom reports. Its easy to use and very intuitive.

  • It is very user-friendly. From a user aspect, it is hard to mess up any entries.
  • It is flexible, so it allows users to go back and adjust any issues before submitting timecards for approval.
  • It is easy for managers to approve and add comments once the time card has been submitted.

Cons

  • State by state rules - In a few states that we work in they have very strict rules on overtime, sick leave, etc and APS didn't have the time and attendance pre-configured correctly for these. Their development team has really worked with us to handle it but it just took a bit longer. Overall though they have been very upfront about it and have been able to make the necessary changes.
  • No scheduling - I think this is something in development right now but I know that other larger companies do have this capability. It would be great to have but it truly hasn't "hurt" our ability to do payroll.

  • I think that the backend setup could be a bit more user-friendly. It can be a very manual process to add employees in.
  • If there could be a an easier way to mass import a group of employees with the same set up, that would be amazing.

In general, it's a great system to use. We were looking for simplicity and ease of use and have received raves from our employees in their ability to access and make use of the system. There is still so much more that we have yet to gain as we continue working through each of the modules.

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

Implementation

It would have been helpful to understand the phases of the implementation up front so I could have prepared differently for enrollments, billing, and transfer of information to payroll. At the end of the day, I'm happy with the selection and the system and anticipate I will like it better as we go along. We have done a number of other system implementations in the past few years, and this has been pretty painless, however, I've had a few surprises.

Alternatives Considered

APS OnLine is a cost-effective solution compared to the other big name timekeeping/payroll software options on the market today. A quick demo will show the benefits of this simple, easy-to-use yet powerful solution. They are also quick to address issues and to work with the customer to create custom reports. Overall, a great choice

Having used ADP in the past I think ADP is a little easier to use from the employee's perspective but they are relatively similar otherwise.
